How to Send Invites for Your Listings on Cademy

How to Invite Customers to Your Cademy Listing

Once your course is set up on Cademy, inviting students to enroll is simple. Follow these steps to send invites using different methods:

Step 1: Open the Invite Dialog

  1. Navigate to your course dashboard page.

  2. Click on the “Send Invites” button. This will open the Email Invites Dialog, where you can begin the invitation process.


Step 2: Choose Your Recipient Method

You can select your recipients using one of the four available options:


Option 1: Enter / Paste Emails

  • Enter or paste the emails directly into the text box, with one email per line. You can also include first and last names by entering them as email, first name, last name.

  • After entering the emails, you will be prompted to map the columns to the appropriate fields in Cademy (e.g., match the email data to the “Email” field).

  • Confirm if you want to “Update existing Contact” by enabling or disabling the toggle. This ensures that existing contacts in your list are updated with the new information if necessary.

  • Note: After the mapping is done, the contacts will be imported into your Cademy profile. You will receive a successful import confirmation email or a failed import confirmation if some contacts were unable to be imported.

💡 Tip: If you are pasting multiple emails, try copying them from a spreadsheet where each email is already in a separate line. This makes pasting easier and error-free.

Example: Enter emails like this:

johndoe@example.com
janesmith@example.com

or

johndoe@example.com, John, Doe
janesmith@example.com, Jane, Smith


Option 2: Search & Select Contacts

Use the multi-select dropdown to search for and select specific contacts from your existing contact list.

💡 Tip: If you have many contacts in your list, start typing the first few letters of their name or email address to narrow down the search results quickly.


Option 3: Use Contact Filter

Choose a saved contact filter from the dropdown menu to quickly target specific groups of contacts. These filters can be customized and created on the Contacts page.

Example: If you have created a filter for “Returning Students,” you can select this filter to invite only students who have previously attended your courses. This is an excellent way to engage your loyal learners.


Option 4: Upload File

  • Upload a CSV or XLSX file containing your recipient list.

  • Map the file columns to the appropriate Cademy fields.

  • Confirm if you want to “Update existing Contact” by enabling or disabling the toggle. This allows you to update existing contacts if needed.

  • Ensure that your recipient list does not exceed the 5,000-contact limit.

  • Note: After the mapping is done, the contacts will be imported into your Cademy profile. You will receive a successful import confirmation email or a failed import confirmation if some contacts were unable to be imported.

💡 Tip: When preparing your CSV or XLSX file, ensure that each column is labeled clearly (e.g., “Email”, “First Name”, “Last Name”). This will make mapping easier.



Step 3: Compose Your Email

  • Write the subject line for your email.

  • Compose the email body using the provided text editor. You can fully customise the content to fit your invitation needs.

  • If needed, attach relevant files, such as course brochures or schedules, to the email.

  • Use existing email templates: If you want to save time, select a pre-made template from the “Select a template...” dropdown.

💡 Tip: Keep your subject line short and to the point to increase open rates. For example, “Join My New Course on Digital Marketing” works better than a longer, less direct subject.


Step 4: Confirm & Send

  • Preview your emailFor a few recipients using the arrow buttons.

  • Once you are satisfied with the email, click “Send Email” to distribute the invitations.

What is "mapping" and how to do it?

Mapping refers to the process of linking the data from your CSV or XLSX file to the appropriate fields in Cademy. Each column in your file contains specific information (e.g., emails, first names, last names), and you need to tell Cademy how to handle that data by mapping each column to the corresponding field in the system.

How to Map Your Data:

  • After uploading your CSV/XLSX file, Cademy will display a mapping interface.

  • You will see your file’s column names on one side (e.g., “Email”, “First Name”, “Last Name”).

  • Next to each column name, there will be a dropdown menu where you can select the corresponding Cademy field. For example:

    • If your column is labeled “Email”, map it to the Email field in Cademy.

    • If your column is labeled “First Name”, map it to the First Name field in Cademy.

  • Review each mapping to ensure the correct data is being matched to the appropriate fields.

  • Once you're satisfied with the mappings, click on Continue to confirm the mapping and proceed.

How many recipients can I invite at once?

You can invite up to 5,000 recipients at a time. If your list exceeds this limit, you’ll need to reduce the number of recipients before proceeding.

What should I do if some of my contacts fail to import?

If some contacts fail to import during the CSV or XLSX upload, you will receive an email notification with details. You can check the failed records, correct any errors, and try importing them again.
