Choose the Currency for Your Course Prices

Set prices in pounds, euros, dollars or another currency for the account, a course, one date, a membership or gift cards, and check what customers see.

Written by Artur Binzaru

Use this guide to price your courses in pounds, euros, dollars or another currency. It covers your account’s default currency, the currency for one course, one course date or a membership, and how currency affects gift cards (vouchers), discount codes and what customers see.

A currency is the money unit used for a price, such as GBP or USD. Your account currency supplies defaults for new items. A course, scheduled date, membership, existing order or gift card can have its own saved currency.

System Admins manage account payments, memberships, gift cards and discounts. A Course Owner with access to a course can edit that course’s currency and the currency of its scheduled dates. If the required page is unavailable, ask a System Admin. Memberships and Gift Cards also depend on the corresponding app being installed.

Changing a currency is not an exchange-rate conversion. Review the numeric prices before saving. For example, changing a course priced at 100 from GBP to USD does not calculate the USD equivalent of £100. Check existing gift cards, discounts and payment arrangements before changing a currency used for sales.

Use Different Currencies for Courses, Dates and Memberships

You can have prices in different currencies. Each course, each course date and each membership can use its own currency, and new items start from your account’s default currency. One order has one currency, so bookings in different currencies need separate orders.

  • Account, course and date currencies: GBP (British pound), USD (US dollar), EUR (euro), AUD (Australian dollar), CAD (Canadian dollar), NZD (New Zealand dollar), ZAR (South African rand) and MYR (Malaysian ringgit).

  • Membership Currency dropdown: offers GBP, USD, EUR and MYR. Do not assume it offers every account currency. If a new or existing membership shows no matching option, contact Cademy Support before saving.

  • Payment methods: Cademy does not offer PayPal or Klarna for MYR or ZAR. Other payment availability also depends on the account and enabled methods. A currency appearing in a selector does not promise every payment method can collect it.

The currency charged to the customer can differ from the currency paid into your bank account. For Stripe, check its currency guidance for settlement and possible conversion charges. Choosing a Cademy currency does not change your bank or payment-provider settings.

Set Your Account’s Default Currency

  1. Open Settings > Payments as a System Admin.

  2. Expand Currency. Under Set Account Currency, select the intended currency.

  3. Check that you have not made other unwanted changes on the Payments page, then select Save in the Currency section.

  4. Reopen the page and expand Currency again to check the saved value. If there was an error or the value did not persist, resolve it before creating new items.

Settings, Payments page with the Currency section expanded; the Currency heading is outlined, and Set Account Currency with its list, showing GBP, is outlined, with the Save button below the list

New courses use this default unless another currency is supplied. New membership forms start from the account currency, but you must check the membership’s own available option and price. New gift cards use the account currency. Changing this default does not convert the prices of existing courses or rewrite existing purchases and subscriptions.

After changing the default, check each new course, membership and gift card before offering it to customers. Also review fixed-value discounts before saving edits to them. Their editor shows the account currency, but the discount number is applied without exchange-rate conversion in the booking currency.

Set the Currency for One Course

  1. Go to Courses, open the intended course and select Edit Course.

  2. Open the Settings tab, then Payments. Under Payment Methods, find Course Currency.

  3. Select the intended currency. Review the course’s prices and any date-specific offers before saving; their amounts are not converted for you.

  4. Select Save at the top of the course editor.

  5. Reopen Settings > Payments and confirm the saved Course Currency. Open the customer-facing course page and check its price and currency before directing customers to book.

Payment Methods section of a course with three tick boxes, Card / Apple Pay / Google Pay (via Stripe) and PayPal, which are ticked, and Manual Payment Handling, which is not, and below them Course Currency set to GBP, which is outlined

The course currency is the default for dates that do not have their own currency. Dates with their own currency keep it when the course default changes. Existing orders retain their recorded currency; editing a course does not convert an order, invoice or payment.

A course-currency change is refused if it conflicts with active orders on dates that follow the course currency, or orders with no date. Dates with their own currency are excluded from that check. Review the affected orders rather than using a course import to bypass the restriction.

Set the Currency for One Course Date or Block

Use this for a saved date on an On set dates or Blended course. A block is a group of sessions booked together. Its sessions share the block’s currency, including sessions that can also be booked individually.

  1. Open Courses and select the course. Select View All Dates if its date list is hidden.

  2. Find the saved date or the block’s top card under the upcoming or past dates tab. Open that card’s three-dot menu and select Edit. Check the date or block shown at the top.

  3. Under Pricing, select the currency symbol beside Price. If the date has a list of offers or add-ons, select the currency symbol beside one of their prices. The Currency for This Date menu opens.

  4. Choose the intended currency. The course currency appears first and is marked Course currency. The remaining options follow this order, omitting the course currency: GBP, USD, EUR, AUD, CAD, NZD, ZAR, MYR.

  5. Review every offer and add-on price. The choice applies to the whole date, not just the offer you selected, and does not convert the numbers. Enter the amounts you intend to charge. If you edit an offer in its smaller window, select Update Price there.

  6. Select the date editor’s outer Save. After Date updated, reopen that same card’s Edit window and check the currency and prices.

  7. For a published, publicly bookable date, open the public course page and check that date’s displayed currency. Review the selected date and currency at checkout before directing customers to book.

Select the symbol beside Price to open Currency for This Date. This example uses a GBP course. Select the screenshot to enlarge it.

For example, a GBP course can have one date sold in EUR. Changing that date’s currency while its price is 100 makes the price €100; it does not calculate an exchange rate. Other separate dates keep their own settings.

Choosing a different date currency saves copies of the offers and add-ons the date is using. Later course-price changes do not replace those saved lists. To return to the course currency, use the same menu and choose the option marked Course currency, then save. This restores the currency default only: the date keeps its saved offers and add-ons. Check and edit those prices separately. See Set Course Prices and Places: Defaults and Date Overrides.

To change several dates at once, tick them under Edit Course > Dates to open the shared editor. Under Change Default Settings, Spaces, Location or Price, select the currency symbol beside a price to open Currency for These Dates, choose the currency, then select Save Dates. Each selected date or block takes that currency, without converting the numbers. If the selected dates use different currencies and you do not choose one, each keeps its own. If any selected date has bookings in another currency, nothing is saved. Untick that date or see the section below.

A session’s currency cannot be changed independently: its symbol explains Set by the block. Change it on the block date.

Why a Course Date’s Currency Cannot Be Changed

Active orders on the date prevent a change to a conflicting currency. For a block, this also checks its sessions. The message identifies the booking currency or currencies. If all active orders are already in one different currency, the menu allows that currency as a correction, for example for an imported mismatch. It does not offer unrelated currencies or convert those orders.

Pricing section with the message: This date has bookings in EUR, so its currency cannot change.

An existing EUR booking locks this example date to EUR. The message appears on the currency symbol. Select the screenshot to enlarge it.

Draft orders and unpaid checkouts still in progress do not lock the currency. Check outstanding drafts, payment requests and customer checkouts before changing it: a saved order can still carry the previous currency. If a lock or save error remains unclear, contact Cademy Support with the course, date, intended currency and error.

Set the Currency for a Membership

  1. Open Memberships > Membership Plans as a System Admin. Open the membership you want to change.

  2. Check Price and choose an offered value in Currency. Review both together; changing Currency does not convert the price.

  3. Select Save Membership. Wait for the result, then reopen the plan and check its saved price and currency.

  4. Use Share to inspect the customer-facing membership page before offering the updated plan.

For a new plan, start with New Membership and check Currency as part of completing the plan. Each plan has one currency. Separate plans can be used for different offered currencies.

Editing a membership does not update existing subscriptions. New subscriptions use the saved plan currency; existing subscriptions retain theirs. If an existing customer needs a different currency, contact Cademy Support about the appropriate next step before cancelling or creating a replacement subscription.

Choose the Currency for an Order Without a Course

A System Admin can create an order containing only custom charges, such as room hire or catering. It starts in the account currency.

  1. In the Admin Dashboard, open Orders, select New Order and choose the Order Contact.

  2. Select Add Custom Item and enter the description, quantity and unit price.

  3. Above the item groups, select Currency. In Order Currency, choose the currency you intend to charge. The account currency is listed first.

  4. Review every unit price and the total in that currency, then finish creating the order. Reopen it to check its saved currency and amounts.

This does not convert prices by an exchange rate. Adding a course locks the form’s currency to the selected course or date, and every course or date must match it. Once saved, the order’s currency cannot be changed. For billing and payment steps, see Create an Order to Book a Customer Onto a Course.

Gift Card (Voucher) and Promo Code Currencies

If gift cards (vouchers) or promo codes do not work on a course, currency is one thing to check. The Admin Dashboard has separate Gift Cards and Discounts pages. They do not share one currency setting.

  • Gift Cards: new gift cards use your account currency. The creation form does not offer a separate currency picker. Open an existing card under Gift Cards to inspect its Initial amount and Current amount; changing the account default does not convert that card.

  • Gift card redemption: when a customer applies a code, the currency check compares the gift card with the course currency, even when the selected date uses another currency. A different-currency card is refused at that check. Matching the course currency does not establish that the card is suitable for a date in another currency, and its value is not exchange-rate converted. Ask Cademy Support to review that case before redemption; do not change a live course to bypass an error. For creating and redeeming gift cards, see Create, Sell and Redeem Gift Cards.

  • Fixed-value discounts: the Discounts editor shows the account currency and has no separate currency picker. Cademy applies the numeric reduction without exchange-rate conversion: a fixed value of 10 reduces an eligible £100 price by £10 or an eligible €100 price by €10. Check the amount against every currency used by the selected courses and dates before saving. See Create and Apply Discounts.

  • Percentage discounts: a percentage such as 10% does not have a fixed monetary currency. Older fixed-amount promo codes can carry their own saved currency; if one fails, provide its code and the course link to Cademy Support.

What Customers See in Each Currency

Customers pay in the currency of the course date, course or membership they choose. This section explains what they see in each place.

Course Prices and Checkout in Another Currency

For scheduled bookings, the selected date’s currency is used at checkout; a date without its own choice uses the course currency. Public date prices can therefore show different currencies for dates on the same course. Check the currency code as well as the symbol when both are shown. If only a symbol such as $ is shown and the currency is unclear, confirm it with the course provider or Cademy Support before paying. Review the final summary, including extras, discounts, tax and any remaining payments.

One order has one currency. Dates in different currencies need separate orders, even when they belong to the same course. Adding a date or moving an order-linked booking to another date must also match the order’s saved currency. See Move a Participant or Replace the Person Attending.

Membership Prices and Subscription Charges

The membership offer shows its price and currency. Existing subscription charges follow the subscription’s recorded currency, even after the membership plan changes.

Gift Card Balances at Checkout

Check the currency shown on the gift card and its balance before redeeming it. The code-entry check uses the course currency. If the selected date has a different currency, ask Cademy Support to review the card and booking before redemption; do not assume its value will be converted.

Currency in Emails and Notifications

Check the currency against the relevant order or subscription when reviewing a message. Standard subscription messages use the subscription’s recorded currency. Custom email text may include amounts you entered yourself, so review that text when changing prices or currency.

Payment Methods, Tax and Xero for Other Currencies

A date’s currency does not create separate payment connections, tax settings, invoice profiles or an accounting connection for that date. Those settings still come from the course and account. Check that the payment methods you offer support the booking currency.

If you use Xero, read What Cademy does not send in Connect Xero and Check Accounting Sync. Cademy does not send the order currency in its invoice-sync data. Check the currency and tax in Xero against the Cademy order; choosing EUR for a date does not by itself ensure a correct EUR invoice in Xero.

If a Currency or Price Looks Wrong

  • Wrong currency on an existing course: check that course’s Settings > Payments. Changing the account default alone does not change it.

  • Unexpected membership dropdown: check the offered options; do not save a blank or unintended value. Ask Cademy Support if the saved or default currency has no matching option.

  • Payment method unavailable: check the selected date’s currency (or the course currency if the date follows it) and enabled payment methods. PayPal and Klarna are unavailable for MYR and ZAR in Cademy.

  • Unexpected tax: check the account’s Tax / VAT settings and the course’s tax profile. Tax display is not restricted to GBP; choosing USD or EUR does not turn tax off.

  • Save failed or result unclear: reopen the record and check its saved value before repeating the change. Contact Cademy Support with the record link, intended currency and error if it remains unclear.

Frequently asked questions

Can I set different currencies for different courses?
Yes. Each course has its own Course Currency in Edit Course > Settings > Payments. Dates can also have their own currency. Bookings using different currencies need separate orders.

Will changing currency convert my prices?
No. Review and set the intended numeric prices yourself before saving. Existing purchases keep their own recorded currency.

Can I change the currency of an existing membership subscription by editing the plan?
No. Editing a membership does not update existing subscriptions. Ask Cademy Support before cancelling or replacing one to change currency.

Can one membership offer several currencies?
Each membership plan has one currency. You can create separate plans using the currencies offered in the membership editor.

Why can a gift card not be used for a course?
Check the card and course currencies, remaining balance and any other restrictions shown. A gift card in a different currency from the course is refused when the code is applied at checkout. If the selected date uses a different currency from the course, ask Cademy Support to review it before redemption. Not every redemption error is a currency error.

Is VAT only displayed for GBP courses?
No. Tax display depends on the applicable tax settings and profile, not simply on whether the course currency is GBP.
