This guide is for course providers who do not want customers to see prices, totals or the word Free, for example for funded or subsidised training, licensing courses or courses you do not sell directly. It explains the options Cademy has, what customers see with each one and where amounts still appear.
Hiding a price does not change it. Customers who pay by card are still charged the normal price, and their invoices still show it.
Ways to Hide Prices From Customers
There is no setting to hide the price of one course or one date. Choose the option that fits:
Hidden pricing for your whole account. Only Cademy can turn this on. It hides prices and most totals on your minisite, your website embeds and checkout.
Price on enquiry on an on-request course. The course shows Price on Enquiry instead of an amount, and you agree the price after the customer sends a request.
No price on website embed course cards. You untick Price in the embed settings. Only the course cards in that embed change; the course page and checkout still show prices.
Hidden Pricing for Your Whole Account
Hidden pricing is an account setting that only Cademy can change. There is no switch for it in Admin. You can ask Cademy Support whether it can be turned on for your account; see Contact Your Course Provider or Cademy Support. When it is on, it applies to every course in that account.
To check whether it is on, use a System Admin account to open Apps, then Cademy Embeds. Choose Multiple Courses, then open Options and the button beside Card Details. When hidden pricing is on, Price is greyed out with Hidden by your account settings.
Admin is not affected. You and your team still see prices and order totals in Admin.
What Customers See When Prices Are Hidden
Course cards and course search on your minisite and website embeds show no price and no Free or FREE label.
The course page shows no price, and date lists have no price.
At checkout, customers still choose their options, such as price offers and add-ons, but no amounts are shown next to them.
The checkout summary shows no line prices and no total, except on a phone in some checkouts (see below).
The card payment button says Pay with no amount.
Customers who pay by card are charged the normal total for what they chose.
Where Amounts Still Appear When Prices Are Hidden
Payment plan choices at checkout, if you offer a deposit or instalments, for example Pay in Full with the order total, or Pay £50 today, rest later.
Discounts that apply automatically, for example £10 off or 10% off.
The customer’s orders and order details in their account.
On a phone, checkouts for course applications, booking requests and on-request courses show a Total line under the summary.
Invoices, and confirmation emails that use Cademy’s default template.
Gift voucher amounts and membership checkout.
On a website using the Cademy for WordPress plugin, the course price in the page’s data for search engines.
Course listings on the Cademy marketplace.
Remove or Hide the Total Amount and Invoice in the Booking Flow for Learners
Hidden pricing removes the total from the main booking flow on your minisite and website embeds. On a phone, application, booking request and on-request checkouts still show a Total line. Hidden pricing does not stop invoices: Cademy still creates an invoice for each paid order, and invoices always show amounts. There is no setting you can change to stop invoices.
Cademy’s default booking confirmation email shows the total cost. To leave the total out, make your own confirmation template without it and choose it as the course’s Booking Confirmation Email; see Set Up Automatic Confirmation and Reminder Emails and Create and Reuse Email Templates. Some orders use other emails, for example orders with several courses, deposits or instalments.
Cademy can also hide the invoice download button for orders paid by invoice, and the receipt link on the learner’s course page. You can ask Cademy Support whether this can be turned on for your account; see Contact Your Course Provider or Cademy Support. To set up how your invoices look, see Set Up Invoices for Your Courses.
If you want to hide the total because it is wrong, for example after a subsidy or discount, fix the price instead, so the total, invoice and email all show what the learner really pays. Use a discount (see Create a Discount or Promo Code) or a price offer such as a reduced rate (see Offer Different Prices for One Course (Price Offers)).
Show Courses as No Charge Instead of Free
The word Free (FREE on course cards) is fixed text. You cannot change it to No Charge or another word. Custom labels rename only course buttons and forum names; see Rename Course Buttons and Labels (Custom Labels).
If you do not want customers to see Free, for example because you do not sell the course directly:
Ask Cademy Support whether hidden pricing can be turned on for your account. It removes Free along with every price.
For an on-request course, choose Price on enquiry, so the course shows Price on Enquiry.
On a website embed, untick Price in Card Details, so the course cards in that embed show no price or Free.
List a Course Without Showing an Amount
For an on-request course, open the course’s pricing and choose Price on enquiry. Customers see Price on Enquiry and send you a request, and you agree the price with them afterwards. See Create an On-request Course for One-to-One or Private Sessions.
For a course with set dates, there is no setting for one course. Ask about hidden pricing for the whole account, or hide the price on your website embed course cards only.
Hide Prices on Website Embed Course Cards Only
Using a System Admin account, open Apps in Admin, then Cademy Embeds. If it is not installed, select Install.
Choose Multiple Courses and a layout other than Calendar. Calendar has no Options.
Open Options, then the button beside Card Details, and untick Price.
Select Get Code and put the new code on your website in place of the old code.
This changes only the course cards in that embed. The course page and checkout still show prices. For all the embed settings, see Embed Courses or Forms on Your Website.
Frequently Asked Questions
Why are my checkout choices visible without prices?
Your account has hidden pricing turned on, so checkout shows price offers and add-ons without their amounts. Customers still pay the normal price. Hidden pricing does not turn an order-only Custom Offer into a public checkout option.
Can I hide the price of only one course?
No. For an on-request course you can choose Price on enquiry. Otherwise, hidden pricing covers the whole account, and the embed setting covers only the course cards in one embed.
Can I turn hidden pricing on or off myself?
No. Only Cademy can change it. You can ask Cademy Support whether it can be turned on for your account.
Do customers still pay when prices are hidden?
Yes. Card payments take the normal total. Free orders still complete without a payment.
