Create an On-request Course for One-to-One or Private Sessions

Let customers request or book a one-to-one, private group or in-house session at a time and place you agree: prices, durations, delivery and availability.

Written by Artur Binzaru

Use an On-request course for training that has no fixed dates: one-to-one (1:1) coaching or tuition, a private group session, or in-house training at a customer's workplace. Customers choose or request a time instead of booking one of your scheduled course dates. You can offer different durations, prices and delivery locations.

This guide is for course providers setting up the course. Depending on the price and calendar settings, a customer either sends a request for you to review or books a time straight away. On-request does not mean every booking must be negotiated.

Permission needed: Use a System Admin account or Course Owner access to the course. A Facilitator cannot open the course editor. Ask a System Admin to check your role if the editor is unavailable.

Create the On-request Course in Admin

  1. Open the Cademy admin dashboard and select Courses.

  2. Select Create New.

  3. Under Which keyword best describes this service?, choose the word your business uses, such as course or workshop. This is the course's service keyword. Then, under What is the format?, select On-request.

  4. The course editor opens in Description. Add the title, images and description below.

Create New screen with a Back button, the question Which keyword best describes this service? answered Course, and under What is the format? the four choices On set dates, On-request, On-demand online course and Blended course, each with Learn more; On-request is highlighted

An On-request course has no Dates or Contents section. Its editor shows Description, Pricing & Delivery and Settings, and Share after the first save.

To return to an existing course, open Courses → List View, use the course's three-dot menu and select Edit. If you have already opened the course, select Edit Course. Moving between editor sections saves your changes (and saves a new course first); saving does not publish it.

Add the Course Title and Images

  1. In Description, enter the title where you see Add your title here.

  2. Select Add Course Images, or Manage Images if images are already present. Choose images from the media library or upload your own.

  3. Select Confirm and check that the images appear. The first image is the cover; a 16:9 shape works best.

Description tab of the course editor with the title First Aid at Work, a large course image marked Cover with a Manage Images button and arrows to the previous and next image, and a row of three thumbnails followed by a plus tile

For image order and other controls, see Add and Manage Course Images.

Describe the Course and What You Can Arrange

Replace the description placeholder with what the course covers, who it is for, what learners will do and what they should bring. Explain which parts can be arranged with the customer, such as the place, length or group size. Use headings, lists, tables and links where they help.

Description of the course On-site First Aid Training in the course editor: an opening paragraph, the heading How it works above a numbered list of three steps, the heading Session lengths above a table with the columns Session, Length and Covers, and a closing sentence with a link

Add FAQs to the Course Page

  1. In Description, select FAQs in the suggestions below the description editor if the course has no FAQs section yet.

  2. In that section, select Add FAQ. Use Search FAQs... to pick an existing question, or select Create New FAQ.

  3. For a new FAQ, optionally enter an Internal Name, then the Question and Answer / details. Select Create FAQ.

  4. Check that the question appears, then select Save and wait for Course saved.

Course description with Parking and What should I bring entries, editing controls and Add FAQ beneath them.

Editing a reused FAQ changes it on every course that uses it. Read Add FAQs to a Course Page before changing shared answers.

Set Search Details, Categories and Tags

  1. Open Settings → Advanced Settings.

  2. Use Search Details for the level, short search/social description and service keyword.

  3. Use Categories & Tags to organise the course.

  4. Select Save and check for Course saved.

Two sections of a course’s Advanced Settings: Categories and Tags, holding the category First Aid and the tags Certificate Included and One Day, and Search Details, with Level set to Beginner, a Search engine and social media description, and the service keyword Course

See Add Categories and Tags to Courses to create and manage categories and tags.

Choose How You Price the On-request Course

Open Pricing & Delivery. Work down the page in this order: Pricing, Duration, Delivery, then Booking Flow. Under Pricing there are four choices. The initial choices are Free, 60 minutes and in-person delivery with UK-wide travel; review them before saving.

Before changing an existing pricing model: Selecting another model replaces that model's current configuration. Check the new prices and options before saving or switching editor sections.

Offer the Course for Free

Choose Free for the base course price. Check any Extra Cost added to a duration option separately. A free price alone does not decide whether the customer sends a request or books a calendar time.

Pricing card of an on-request course asking How do you price this?, with Free selected and the other choices Price on enquiry, Show the customer a price range and Set pricing

List the Course Without Showing an Amount (Price on Enquiry)

Choose Price on enquiry when you agree the price with each customer, for example for licensing, accredited or in-house courses. The course page shows Price on Enquiry instead of an amount, and every booking becomes a request. To hide prices from all your courses and checkout instead, see Hide Prices From Customers on Courses and Checkout.

Agree the Price With the Customer

With Price on enquiry, the customer asks about the price by sending a request. You then agree or tailor the price when you handle that request.

Set a Starting Price for Sorting

Under Set starting price, enter a reference amount in From:. It is used when courses are sorted by price and is not shown to customers as their quote.

Pricing card with Price on enquiry selected and an arrow pointing to Set starting price, From: £100

Show the Customer a Price Range

Choose Show the customer a price range, then complete From: and To: in the displayed currency. The range gives customers an idea of cost, which can reflect differences in location, duration or other parts you tailor. The final price is still agreed through their request.

Pricing card with Show the customer a price range selected, From: £50 and To: £250

Set Fixed Prices, Offers and Add-ons (Set Pricing)

  1. Choose Set pricing.

  2. Enter the base Price in the displayed currency. Selecting Set pricing without entering a price leaves the course without an offer.

  3. For named offers or optional extras, open Custom Offers & Add-ons and select Add Price. Choose Create an Offer or Create an Add-on.

  4. Enter the Name and Price, plus a Description if useful. Select Create Price. To change an offer, open its card and select Update Price after editing.

  5. Check the prices, then select Save and wait for Course saved.

Pricing section of an On-request course with Set pricing selected, the Price Offers list with Group of up to 6 at 480 pounds and Group of up to 12 at 780 pounds, and the Add Price button

An offer is a price option, for example a price for a group of up to six. An add-on is an optional extra, such as printed materials, at an extra cost. Naming an offer for an audience does not check that the customer belongs to it. For fixed offers and their booking conditions, read Offer Different Prices for One Course (Price Offers).

Set How Long the Session Lasts (Duration)

Set the duration in minutes, hours, days or weeks. You can also add several durations for the customer to choose from, each with its own extra cost.

Set the Default Duration

  1. Under Duration in Pricing & Delivery, enter how long the course lasts.

  2. Choose Minutes, Hours, Days or Weeks. Check the unit as well as the number.

Duration card with Duration 60 and its unit menu open, listing Minutes (ticked), Hours, Days and Weeks, above Add Duration Option

Offer Different Durations, Such as Half-Day or Full-Day

  1. Select Add Duration Option.

  2. Give each option a clear Label, such as Half-day workshop. Add a Description if customers need help choosing.

  3. Set each option's duration and unit. For options after the first, enter any Extra Cost above the base price.

  4. Select Save and check for Course saved.

Duration card with four labelled duration options, each with a description: 60 Minutes, 6 Hours with Extra Cost £100, 2 Days with Extra Cost £200 and 2 Weeks with Extra Cost £400, and Add Duration Option

Extra Cost is added once to the checkout total, not once for each participant. For example, an extra cost of 50 adds 50 to the total even when two people are included.

Choose Where You Deliver the Course: Online, Your Venue or the Customer's Place

Under Delivery, choose Online, In Person, or both. The delivery choices appear in the highlights on the course page. When you offer more than one, the customer chooses during checkout.

Delivery section of an On-request course: Online ticked with Select Zoom Account, In Person ticked with Customer comes to me and one saved address, and I will travel to the customer with Only allow requests within these cities set to Edinburgh and Glasgow

Deliver Live Online Sessions

Select Online for a live online session, such as a webinar or virtual workshop. For Cademy to create meeting links through a connected account, choose it under Select Zoom Account. Follow Connect Zoom to Create Meeting Links for Course Dates first if the account is not connected, then save the course. Check the session's joining details separately.

Online here means live delivery. For self-paced lessons or recorded content, use Create a Self-Paced Online Course (On-Demand) instead.

Deliver In Person

Select In Person for face-to-face delivery, then choose at least one of the arrangements below.

Customer Comes to Your Venue (Customer Comes to Me)

Choose this when you host the course at your own venue. You must choose an address.

  1. Select Customer comes to me.

  2. Open At one of these addresses and choose at least one saved address.

  3. If the address is missing, use Create A New Location +, or type its name and select the matching Create option. Enter the address, postcode, city and country, and a name if useful. Public note is shown to students; Private / internal note is for admins. Select Save Location. Set the Course Venue or Online Joining Link explains saved locations.

  4. Check that the address is selected on the course.

The course page highlights show the city of the address you choose.

Travel to the Customer for In-House Training (I Will Travel to the Customer)

Choose this to deliver the course at a place that suits the customer, such as their workplace. Select I will travel to the customer, then choose Happy to travel UK wide, Happy to travel internationally, or Only allow requests within these cities. For the city option, select the cities in Pick which cities you allow requests from. These cities are not listed in the course page highlights. Check the customer's actual address before agreeing an arrangement.

Select Save and wait for Course saved after completing the delivery settings.

Let Customers Request a Date or Book From Your Calendar

In Pricing & Delivery → Booking Flow, find Allow Bookings and choose how customers pick a time.

  1. Choose On Any Date for preferred-date requests, or Based On My Calendar Availability for times based on connected calendars and working hours. A preferred-date request does not reserve a time.

  2. For calendar availability, use Check availability based on these calendars: to select the calendars to check.

  3. Under Available times:, select Customise Availability. In Weekly Hours, review the days and time ranges, then close the dialog.

  4. Separately, choose the calendar in When someone books, create an event in this calendar:. This is not the same as the calendars checked for availability.

  5. Select Save and check for Course saved.

Booking Flow with Based On My Calendar Availability selected, two calendars under Check availability based on these calendars, Monday to Friday under Available times, the Customise Availability button and the calendar that receives the event

Weekly Hours window with Monday to Friday ticked from 9:00 until 17:00, Saturday and Sunday unticked and marked Unavailable, a plus button on every row and the Confirm button

If your calendars are missing, follow Sync Course Sessions with Google or Outlook Calendar to connect the account through Apps → Calendar Sync, then return to the course.

Check settings after switching modes: Choosing calendar availability resets working hours to Monday–Friday, 09:00–17:00. Switching to On Any Date clears the selected availability calendars and resets working hours.

When the Customer Books a Time Straight Away

A customer books straight away when the course uses Free or Set pricing and calendar availability, and the customer chooses an available time for a duration of 24 hours (1 day) or less without skipping the available dates. If the total is payable, checkout continues to payment; a zero total completes without a payment step.

Price on enquiry and price-range courses always create requests. On Any Date, skipped available dates and durations longer than 24 hours also lead to requests. A request needs your review even if the customer chose a preferred date.

Customer Has Trouble Booking a One-to-One Session

If a customer cannot book, or sends a request when you expected a booking, check what they see:

  • No day can be selected on Select a Date & Time: with calendar availability, a day cannot be selected when no free time of the chosen duration fits inside your Weekly Hours. Events in the calendars checked for availability block those times. Widen the Weekly Hours, check those calendars, or offer a shorter duration.

  • A message that availability cannot be checked: Cademy could not check your calendars. The customer can still send the dates that suit them with the link in that message. Check the calendar connection in Apps → Calendar Sync.

  • They got Request Sent, not Booking Confirmed: one of the request conditions above applies, such as Price on enquiry or a duration over 24 hours.

  • The Book button opens another website: the course has a saved external booking address (see below).

  • No price to choose: with Set pricing, check that a price is entered; without one the course has no offer.

Then try the booking yourself, following Test a Course Before Launch.

Booking Forms for On-request Courses

Checkout always asks for the customer's name and email address, so that a confirmation email can be sent. If you need more, such as an address, age or accessibility needs, create a custom booking form and apply it to the course.

Contact Info step for the On-request course On-site First Aid Training: Your Details with First Name, Last Name and Email for Alex Campbell, Consent and Terms with two tick boxes, and a summary with a Continue button

Open Settings → Forms & Participants to review what is collected. Follow Create a Checkout Form (Booking or Registration Form) for form selection and custom fields. The booker and participants can have different forms.

Automatic Emails for On-request Courses

An email template is the base email Cademy uses for automatic emails such as booking confirmations. Open Settings → Emails to review the course's automatic emails. A template must be assigned to an email to be used; creating it does not send it.

Emails section of a course: Booking Confirmation Email with a template menu and the buttons Edit and Create new template; Week Before Reminder Email and Day Before Reminder Email, both switched on with their own template menus; Hour Before Reminder Email and Day After Follow-up Email, both switched off

Choose Course Owners and Who Gets Request Notifications

Course owners are useful when several people deliver particular courses or are responsible for them.

Course Owners settings of a course in two parts: Course Facilitators / Owners, whose field holds Gregor Mackay, Mhairi Kerr and Duncan Baird and is outlined, and Admin Email Recipients, whose field reads Search users above a line saying that no specific recipients are set and that by default all Admin users will receive these emails

Open Settings and select the owners card. It is named after the service keyword, for example Course Owners or Workshop Owners. Course Facilitators / Owners controls assignments; Admin Email Recipients controls which administrators receive notifications. Read Invite a Team Member or Facilitator and Choose Facilitator Emails and Calendar Invitations.

Save and Check the On-request Course Before Publishing

  1. Review the title, description, pricing, currency, durations, delivery and Booking Flow.

  2. If Set pricing is selected, check that an offer exists. For In Person, check the travel arrangement and any required address or city.

  3. Review forms, emails and notification recipients.

  4. Select Save and wait for Course saved. Resolve any validation error.

  5. When ready, follow Publish and Share a Course. Share appears after the first save. Check your plan's allowance, payment setup and visibility first; What Each Cademy Plan Includes and Costs explains allowances.

Saving, publishing and receiving a booking are separate results. Testing checkout can create records and send emails; follow Test a Course Before Launch.

What Customers See When They Book an On-request Course

How a Customer Sends a Request or Books

The main button on an On-request course page reads Book. You can change its wording with a custom Booking Button label; see Rename Course Buttons and Labels (Custom Labels).

An On-request course has no Booking Options card, so you cannot set an external booking website for it in the course editor. If the course already has a saved external booking address and your plan includes external bookings, the button opens that website instead of a Cademy request. If your plan does not include them, the button opens the Cademy checkout. To check or change a saved address, contact Cademy Support. See Send Customers to an External Booking Website.

In the Cademy checkout, the customer:

  1. Chooses the delivery details, duration and any prices or extras.

  2. Chooses dates. With On Any Date, they suggest up to three preferred dates. With calendar availability and a suitable duration, they select an available time.

  3. Optionally adds a message, then completes the contact information.

  4. For a booking with a payable total, completes the payment step. This step has no promo code field. A request has no payment step.

  5. Sees a confirmation headed Request Sent for a request or Booking Confirmed for a booking.

Dates step for the On-request course On-site First Aid Training: Preferred Dates with a first, second and third choice, and a summary listing the preferred dates and a Total of £480 with a Continue button

A request asks you to arrange the course. It is not a confirmed place or proof of payment. Check the resulting record before telling the customer their place is confirmed.

Handle Incoming Requests

A new request appears on the course's Requests tab and in Inbox, and the course's admin email recipients get a notification email. Check the Requests tab or Inbox even when no email has arrived. View & Handle Request in the email opens the request in Inbox, and replying to the email adds your reply to the same conversation.

The new request notification email in a mail reader: subject Request Received from Jamie Campbell, from Harbour Training (via Cademy) to Shona Wallace. Under the Cademy logo a card headed New Request names the course On-site First Aid Training, lists one participant, Jamie Campbell, with name, email and phone, then Spaces 6, Requested dates with a first, second and third choice in December 2026, Calculated costs £480, a message and the blue button View and Handle Request. The requested dates and the button are outlined. A line says you can start a conversation by replying to the email; the Cademy address and social icons close it.

Accepting a request creates an order and a private course date for the agreed session; it does not take payment. To agree the details, reply, accept or decline, follow Accept or Decline a Booking Request or Application. Approving an existing order is separate: see Approve or Reject an Order.

Frequently Asked Questions

Does submitting an on-request course request award CPD?
No. A request starts a conversation with the course provider. It does not create a completed Registration (one participant's place on the course) or award CPD. A booking made straight away does not award CPD merely because it was booked either.

When can an on-request participant earn CPD?
When their own Registration reaches Completed and the account and course are eligible and enabled for CPD. For completion based on attendance, every required session must be marked Attended. Declared completion is a separate route; follow Set Up and Award CPD Points or Hours for the award requirements.

Why is CPD still missing after handling the request?
Check that the participant has their own Registration, its completion and attendance, and that CPD is enabled under Settings → CPD for the account and under Edit Course → Settings → Certificates & CPD for the course, with an award value. See Mark Attendance for a Course Date or Session.
