Create a Course on Set Dates (Scheduled Course)

Set up a classroom, in-person or live online course, workshop or event that runs on set dates: images, price, places, delivery, dates and booking settings.

Written by Artur Binzaru

Use an On set dates course (a scheduled course) for a class, workshop, training day, event or conference that runs on dates you set. Sessions can be in person (classroom), online or hybrid. You can sell single dates, or a block of several dates booked together in one purchase, such as a 3-day course or a weekly term.

This guide is for course providers. It takes you from a new course to a saved course with a price, number of places and dates. Publishing is a separate step at the end. If learners also need self-paced online lessons, use a Blended course instead.

Permission needed: Use a System Admin account or Course Owner access to the course. Facilitators cannot open the course editor. Ask a System Admin to check your role if an action is missing.

Start a New Scheduled Course From Create New

  1. Open the Cademy admin dashboard and select Courses.

  2. Select Create New.

  3. Under Which keyword best describes this service?, choose the word your business uses, such as course or workshop (the service keyword). Under What is the format?, select On set dates.

  4. The course editor opens. Start in Description with the title, images and description below.

Empty Courses page with the buttons View Your Public Site and Create New at the top right, the toolbar and view icons, and the message Please create a course to get started above a second Create New button

Create New screen with a Back button, the question Which keyword best describes this service? answered Course, and under What is the format? the four choices On set dates, On-request, On-demand online course and Blended course, each with Learn more; On set dates is highlighted

Open the Editor of an Existing Course

  • Open Courses and choose List View. Open the course's three-dot menu and select Edit.

Course row First Aid at Work in List View with its three-dot menu open, listing Open, Edit, Settings, Duplicate, Add to Collection and Unpublish and Archive, with Edit highlighted
  • Or select the course in the list to open it, then select Edit Course.

Top right of the course page of First Aid at Work with the buttons Send Invites, Share, a link icon, an open in new tab icon and Edit Course

Moving between editor sections saves your changes, and saves a new course first. If a save error appears, resolve it. Saving does not publish a new course.

Add the Course Title and Images

  1. In Description, enter the title where you see Add your title here. Use a clear, descriptive name.

  2. Select Add Course Images (or Manage Images if images are present). Choose images from the media library or upload your own.

  3. Select Confirm and check that the images appear. The first image is the course cover; a 16:9 shape works best.

Description tab of the course editor with the title First Aid at Work, a large course image marked Cover with a Manage Images button and arrows to the previous and next image, and a row of three thumbnails followed by a plus tile

For several images, their order and sizes, see Add and Manage Course Images.

Describe What Learners Can Expect

Replace the description placeholder with what the course covers, who it is for, what learners will do and what they should bring. Use headings, lists and links where they help someone decide whether the course suits them.

Description of the course First Aid at Work in the course editor: an opening paragraph, the heading What you will learn above a list of four points, a picture of a first aid kit, and the heading Who it is for above one paragraph

Add Answers to Common Questions (Course FAQs)

  1. In Description, select FAQs in the suggestions below the description editor if the course has no FAQs section yet.

  2. In the FAQs section, select Add FAQ. Use Search FAQs... to pick an existing question, or select Create New FAQ.

  3. For a new FAQ, optionally enter an Internal Name, then the Question and Answer / details. Select Create FAQ.

  4. Check the question appears, then select Save and wait for Course saved. The course stays unpublished.

Course description with Parking and What should I bring entries, editing controls and Add FAQ beneath them.

Editing a reused FAQ changes it on every course that uses it. Read Add FAQs to a Course Page before changing shared answers.

Set the Delivery, Number of Places and Price

  1. Open Pricing & Delivery in the course editor.

  2. Under Delivery Method, choose In-person, Online or Hybrid (both in person and online).

  3. For In-person or Hybrid, open Address → Select a location and choose a saved venue, or select Create A New Location to add one. See Set the Course Venue or Online Joining Link.

  4. For Online or Hybrid, add the joining link (see the online sessions section below) before saving.

  5. Enter Max Spaces: the total number of places.

  6. Enter the Price for one place and check the currency. Use 0 for a free place. If offer cards are shown, select the offer, edit its price, then select Update Price.

  7. Select Save and check for Course saved.

Pricing and Delivery tab with Delivery Method set to Hybrid, a saved location under Address, the choices Add Join URL Manually and Use Zoom App under How will you host this, Max Spaces 12, Price 125 and Custom Offers and Add-ons

These are the course defaults. A date or block can have its own delivery, places and prices, so check date settings before changing a default.

Default prices use the course currency, which starts as your account's default currency. After saving dates, you can choose a different currency for a date or block. For several selected dates, open Change Default Settings, Spaces, Location or Price and choose it from the currency menu beside a price (Currency for These Dates). Their offers and add-ons all use that currency, without exchange-rate conversion. A date that already has bookings keeps its currency. See Choose the Currency for Your Course Prices.

For several prices (such as an early booking rate), add-ons and their effect on places, open Custom Offers & Add-ons and follow Offer Different Prices for One Course (Price Offers).

Set Search Details and Organise the Course

Open Settings → Advanced Settings. Search Details holds the course level, short search/social description and service keyword.

Two sections of a course’s Advanced Settings: Categories and Tags, holding the category First Aid and the tags Certificate Included and One Day, and Search Details, with Level set to Beginner, a Search engine and social media description, and the service keyword Course

Choose Categories and Tags for the Course

In Categories & Tags, choose the categories and tags for this course. Select Save and check for Course saved. To create them, follow Add Categories and Tags to Courses.

Set the Course Level (Beginner, Intermediate or Advanced)

In Search Details, choose the level, such as Beginner, Intermediate or Advanced. Select Save and check for Course saved. When the course page's Highlights section is auto-generated, it shows the level, for example "Beginner level", and the delivery method. The level All appears as "All levels".

Add the Course Dates

  1. Open Dates. If the course has no saved dates, the calendar opens automatically. Otherwise select Add dates.

  2. Select the day or days in the calendar. Each one appears under Selected Dates:.

  3. Check each date's start time, end time and time zone. Extra dates copy the most recently selected date's time and length, so check them individually. For time zones, see Set Time Zones for Course Dates.

  4. Under How are the dates booked?, choose an option (see below). The block options need at least two dates.

  5. To change delivery, places or price for these dates, open Change Default Settings, Spaces, Location or Price (Change Defaults on smaller screens). To change one date, select its pencil icon, edit it, select Save and check you are back at the list.

  6. Select Save Date or Save Dates. Wait for Updates saved, then check the date list. This is separate from the course's own Save.

Add dates window of the course editor: a calendar with 14 and 15 October 2026 selected, two rows under Selected Dates, the choices under How are the dates booked and the Change Default Settings, Spaces, Location or Price button

To change, cancel or move saved dates and blocks, see Add or Change Course Dates and Multi-Session Blocks. When you edit several saved dates together, only the settings you change are applied; each date keeps its own value for the rest. The Visibility box there shows Public even for private dates; it changes them only if you choose a value.

Set Up a Multi-Day Course or 3-Day Online Conference Booked in One Purchase (Block)

A block (also called a term) is several dates booked together, for example a 3-day online conference, a two-day course or a ten-week evening class. Customers pay once for all the dates.

  1. In Add dates, select every day of the course, such as three days in a row, and check each day's times.

  2. Under How are the dates booked?, choose Block, or Block or Individually to also sell single days.

  3. Check the Block name, then the delivery, places and price under Change Default Settings, Spaces, Location or Price. For an online event, choose Online and add the joining link.

  4. Select Save Dates and check the block in the returned list.

Date editor of the course First Aid at Work: a calendar with 20, 21 and 22 October 2026 selected; under How are the dates booked? Block is chosen; under Selected Dates the block October Three-Day Course with three rows, each from 9:00 to 16:00 with a globe button reading BST; then Change Default Settings, Spaces, Location or Price and Save Dates. How are the dates booked? with its three choices, and Save Dates, are outlined.

Each day stays a separate session in the block, so you can give a session its own venue or joining link and mark attendance for each day.

Choose Whether Customers Book Single Days or the Whole Block

  • Individually: customers choose single sessions.

  • Block: customers book all the dates together as one block.

  • Block or Individually: customers choose the full block or single sessions.

For example, a six-week course can be sold as one block, while a drop-in class allows single sessions. Check the prices and places for each choice. All sessions in one block use the block's currency, including sessions sold individually.

Allow a Block to Be Booked After It Starts

While adding a block, open Change Default Settings, Spaces, Location or Price and turn on Bookable after the start date only if customers may join after the block has started. Select Save Dates and check the block. This does not add places. For a block you have already saved, follow Add or Change Course Dates and Multi-Session Blocks.

Date editor of the course First Aid at Work with the block October Three-Day Course (20 to 22 October 2026, 9:00 to 16:00, BST) and Change Default Settings, Spaces, Location or Price opened: Bookable after the start date switched on, then Delivery Method set to In-person, Address Harbour Training Centre, Max Spaces 12, Price 125 pounds, Custom Offers & Add-ons, Facilitators / owners, Visibility Public and Save Dates. Change Default Settings, Spaces, Location or Price and the Bookable after the start date switch are outlined.

Add the Joining Link for Live Online Sessions

With Online or Hybrid delivery on Pricing & Delivery, choose how to host the session:

  • For a meeting link you already have, such as Microsoft Teams, select Add Join URL Manually and enter it in Online Call Join Link.

  • For Zoom, first follow Connect Zoom to Create Meeting Links for Course Dates if needed. Then choose Use Zoom App, open Select Zoom Account and select the account.

Select the course's Save and check for Course saved. Choosing a hosting option does not prove a meeting or joining link exists; check each date's joining details before the session.

Run a Course Both In Person and Online (Hybrid)

Choose Hybrid when the course combines in-person and online participation. Different dates can also use different delivery settings: set the course defaults on Pricing & Delivery, then check each date when you add it. An auto-generated Highlights section shows customers how the course is delivered.

Add Self-Paced Online Lessons: Use a Blended Course

A Blended course combines scheduled sessions with a Contents area for self-paced lessons. Hybrid is about in-person and online delivery; it does not add lessons. A block of dates does not need Blended.

Create New screen with a Back button, the question Which keyword best describes this service? answered Course, and under What is the format? the four choices On set dates, On-request, On-demand online course and Blended course, each with Learn more; Blended course is highlighted

Follow Create a Blended Course With Dates and Online Lessons. Before changing an existing course's type, follow Change a Course Type.

What Customers See When the Course Has No Dates Yet

You can leave Dates empty, for example while dates are being arranged. With no bookable dates, the course page shows other buttons instead of the booking button, set in Settings → Booking Options:

  • Allow Waitlist: the page shows Join Waitlist.

  • Date requests set to Allow alternative date requests: the page shows Request a Date.

  • Group requests set to Allow group requests: the page shows Request Group Booking.

Public page of the course Working at Height Awareness, which has no dates: course title and photo on the left, and on the right the price panel reading Free with the buttons Join Waitlist, Request a Date and Contact Us; Join Waitlist and Request a Date are outlined

A new On set dates course starts with the waitlist and date requests allowed, so without dates it shows Join Waitlist and Request a Date. If none of the three is allowed, the page shows No upcoming dates.

To handle the requests you receive, follow Accept or Decline a Booking Request or Application. For the waitlist, see Set Up and Manage a Course Waitlist (Waiting List). If customers should always choose their own time, use Create an On-request Course for One-to-One or Private Sessions.

Review the Scheduled Course's Settings

Open Settings in the course editor and review the options that matter for this course before publishing.

Booking Options, Requests and Cancellation Policy

Use Booking Options to choose the booking, application, request and waitlist options, and the Cancellation Policy (the account default or a named policy). See Choose Instant Booking, Approval or Applications and Set Cancellation and Rescheduling Policies.

If you take bookings in another system, select Handle bookings on an external website under External Bookings and enter its secure web address. Supported booking actions then open that website instead of the Cademy checkout. See Send Customers to an External Booking Website.

The current First Aid at Work Booking Options page includes the Cancellation Policy selector alongside booking and request settings.

Booking Forms and Participant Details

Open Settings → Forms & Participants to choose what is collected from the Order Contact (the person who booked) and from participants. Unless you choose another form, the Cademy Default Form asks the person booking for their name and email address, which is enough for most course providers. See Create a Checkout Form (Booking or Registration Form).

Your Details step: the question Do you wish to register yourself into this course? with Yes, register me selected, the Your Details form for Jamie Campbell, and a First Aid at Work card with Attendee 1: Jamie Campbell marked You and Attendee 2 open with a form for Alex Fraser

Mark Attendance for Each Day or Session

After people book, you record whether they attended on their Registrations (their places on the course). For a multi-day block, each day is a session you mark separately: in the course's Registrants, open the participant's attendance summary and tick or cross each session. See the section "Courses with several sessions" in Mark Attendance for a Course Date or Session.

Automatic Course Emails

Open Settings → Emails to review the course's automatic emails. A template must be assigned to an email to be used; creating it does not send it. Read Create and Reuse Email Templates and Set Up Automatic Confirmation and Reminder Emails.

Private Welcome Information and Files for Learners

Course Welcome Content is private course-wide information and optional files that learners see after they enrol. It is not shown on the public course page.

  1. Open Courses, select the course and select Edit Course.

  2. Select Settings, then Advanced Settings.

  3. Find [service keyword] Welcome Content (for example Workshop Welcome Content) and add the information.

  4. To add files, use Attachments and select Select Files.

  5. Select Save and wait for Course saved.

Course Owners and Notification Recipients

Open Settings → Course Owners (the heading follows your service keyword). Course Facilitators / Owners controls assignments; Admin Email Recipients controls who receives course admin notifications. See Invite a Team Member or Facilitator and Choose Facilitator Emails and Calendar Invitations.

Course Owners settings of a course in two parts: Course Facilitators / Owners, whose field holds Gregor Mackay, Mhairi Kerr and Duncan Baird and is outlined, and Admin Email Recipients, whose field reads Search users above a line saying that no specific recipients are set and that by default all Admin users will receive these emails

Save and Check the Course Before Publishing

  1. Review the title, description, images, price, currency, places and delivery.

  2. Open Dates and check the dates and blocks, their times and settings.

  3. Review the forms, booking options, emails and welcome content.

  4. Select Save and wait for Course saved. Resolve any validation error.

  5. When ready, follow Publish and Share a Course. Share appears after the course is saved. Check your plan's allowance (What Each Cademy Plan Includes and Costs), payment setup and visibility first.

A saved course is not proof that customers can book it. Check the published page, then follow Test a Course Before Launch; testing can create records and send emails.

Frequently Asked Questions

Can the same scheduled course run online and in person?
Yes. Choose the delivery defaults and check the settings for each date. Hybrid is a delivery method; Blended is for scheduled sessions plus self-paced lessons.

Yes. With at least two dates, choose Block for the full set, or Block or Individually to offer both. Check the prices and places before saving.

Can I hide the delivery method or level on the course page?
Yes. They come from the Highlights section. In Edit Course → Description, select the Highlights section, then its gear icon (Section settings).
