Mark Attendance for a Course Date or Session

Record who attended or was absent (no-show) on a course date or session, mark several delegates at once and correct mistakes.

Written by Artur Binzaru

This guide is for course providers who need to record who came to a course date or session in Cademy Admin. It explains how to mark someone as attended or absent (a no-show), mark each day of a multi-session course, mark a whole group at once, count or report attendance, and correct a wrong mark.

Registration: one person’s place on a course or course date. Attendance is saved on the Registration. An Order (the booking or purchase) is not an attendance record, and a person who booked places for others without attending (the Order Contact) has no attendance to mark.

Session: one dated meeting of a course. A multi-session course date, where people book several sessions together, is called a block.

You need the System Admin role, or the Course Owner or Facilitator role with access to the course and date. Recording a mark can change the person’s Completion and, when the course and account settings allow it, issue a certificate, a CPD (continuing professional development) award or a completion feedback request. Check the person and session before you save a mark.

Open the Attendance Column on a Course’s Registrants Tab

  1. Select Courses, open the course and select Registrants.

  2. Choose the course date or block. Select View All Dates if the date list is hidden, then Upcoming or Past, then the date.

  3. Find the Attendance column. If it is hidden, select View, find Attendance under Columns and select its show control. Find Records with Filters and Saved Views explains the list controls.

Only a course’s Registrants tab has the Attendance column. The main Registrations page and an organisation’s Registrations tab do not, because they list several courses.

The cell is empty when the Registration has no scheduled date or session, for example on an on-demand course or an on-request booking with no session arranged yet. If the Registration has a date and the cell stays empty after the sessions load, ask a System Admin or Cademy Support to check your access and the record.

Mark One Person as Attended or Absent (No-Show)

  1. Find the person and check the session date. For a single session, select Attended or Absent in their Attendance cell.

  2. The choice saves straight away; there is no Save or Apply button for this cell. Read any error and let the update finish.

  3. Refresh the list and check the mark is still there. If the mark changes back or the result is unclear, contact Cademy Support before you change it again.

  4. To correct a saved mark, select the current mark to show both choices again, then choose the right one.

Absent records a no-show. It does not cancel the Registration, the Order or the payment. Record what happened; do not switch a mark back and forth to force a completion or award update.

Mark Each Day’s Attendance on a Multi-Session Course

On a course that runs across several days or sessions (a block), each session has its own mark. The Attendance cell shows a summary for that person, such as Not Marked, All 3 Attended or 2 Attended, 1 Absent.

  1. Select the person’s attendance summary.

  2. Check each session’s name and date. Select the tick beside a session for attended, or the cross for absent. Each choice saves straight away.

  3. Only when every session for that person needs the same mark, use Mark all as with Attended or Absent. This changes all sessions for that one person, not for everyone.

  4. After the updates finish, refresh and open the summary again to check every session.

Learner Shows as Attended for Only One Session of a Course

If a learner shows as attended for only one session, the other sessions are still unmarked or marked Absent. Mark each day as it happens, or open the summary afterwards and mark the rest. The person counts as completed only when every session is marked Attended.

To set up a course with several sessions, see Add or Change Course Dates and Multi-Session Blocks.

Mark the Whole Class or Several People as Attended at Once

Use Mark Attendance on the course’s Registrants tab to give one session the same mark for many people. First check how the rows are selected:

  • Ticked rows: Cademy marks only the rows you ticked. Ticks cover the page shown. Changing the page, the search or the filters clears them.

  • Select All: after you tick a row, the selection bar offers Select All with the number of Registrations in the list. Cademy then marks every Registration that matches the list’s search and filters, on every page.

  1. On the course’s Registrants tab, choose one course date or block. A date range is not enough.

  2. Tick the people to mark, or tick one and select Select All to include everyone in the list.

  3. Select Mark Attendance. If it is disabled, point to it to see Filter by a single date to mark attendance. Choose a single date or block and select the people again.

  4. Check the Occurrence, meaning the session to mark. For a block, choose the session. This marks one session for each selected person; it does not mark the whole block. A selected person who is not booked on that session or its block is skipped without a message.

  5. Under Status, select Attended or Absent. Check the number of people, the session and the status, then select Apply. Select Cancel to leave without changing anything.

  6. The marks are saved in the background and can take a couple of minutes. Refresh and check the marks. If some are missing or the update failed, check what was saved and contact Cademy Support before you try again.

Mark Attendance for Several Dates From the Course Overview (Registrants Summary)

The course Overview has a Registrants Summary for courses on set dates and blended courses. It can mark people from different dates in one go, and it always marks only the rows you ticked.

  1. Open the course’s Overview. If a date is selected, select that date card again to return to all dates.

  2. In the date list, choose the tab for upcoming dates or past dates. The summary follows that tab.

  3. If the switch between Orders and Registrants is shown, choose Registrants Summary (it can shorten to Registrants on a narrower screen). If you do not have access to Orders, the Registrants list is already shown.

  4. The summary shows Active and Pending Registrations and can show only part of a date’s list. Tick the people to mark. For anyone missing, use the full Registrants tab instead.

  5. Select Mark Attendance. Each selected person is grouped under their own date. For each block, choose the session in Occurrence.

  6. Choose Attended or Absent, check the groups, sessions and number of people, then select Apply.

  7. Let the updates finish, then refresh and check each person’s session marks.

Day After Follow-up Email Not Sent? Tick the Attended Buttons First

The Day After Follow-up Email, chosen in a course’s email settings, goes only to people marked Attended. Cademy checks each session once, about a day after it ends, and sends the email to the people marked Attended at that moment. Their Registration must be Active (or an older Completed status), not Pending or Cancelled.

  • A person who is unmarked or marked Absent at that check does not get the email. Marking them Attended later does not send it.

  • On a multi-session course, the email goes after each session the person is marked Attended for.

  • A guest (someone booked by another person) gets it only when the course’s Send guest participants emails setting is on, and the person must have an email address.

  • No Attended and Absent buttons? Use the course’s Registrants tab, not the main Registrations page, and show the Attendance column. On a multi-session course, select the summary, such as Not Marked, to see each session’s buttons.

To send it to people you marked late, tick them on the Registrants tab, select Send Email and choose the same template if it is in the list.

To choose or change the email, see Set Up Automatic Confirmation and Reminder Emails. A feedback request set to go automatically when a participant completes the course also waits for completion. It is triggered when the Registration first becomes Completed. Blended courses with published lessons also require 100% lesson progress. See Send a Feedback Form to Participants After a Course.

Find Out How Many People Attended a Past Course, Event or Conference

Open the course, select Registrants and choose the past date: select View All Dates if needed, then Past and the date. The Attendance column shows each person’s mark.

To count them, export the list with the Attendance Status column, as in the next section, and count the rows that say Attended. A list of people marked Absent is a list of no-shows. For a paper register to tick on the day, see Print or Download a Class List (Register). A paper mark does not update the Registration in Cademy.

Attendance Report for All Students and Courses Over a Time Frame

Cademy has no separate attendance report, and the main Registrations page has no Attendance column. To see attendance for all students and courses over a period, export Registrations with the Attendance Status column.

  1. As a System Admin, open the main Registrations page.

  2. Select Filter, choose Course Start Date and set the period. Add a Course condition if you want only some courses.

  3. Select Export, then Choose Columns. In the Registration group, tick Attendance Status. Keep columns such as Name, Course Name and Start Date so each row is clear.

  4. Under Export Timing, select Now, then Export Now. When Cademy shows Your export is ready, select Download CSV.

Attendance Status shows Attended, Absent or Not Marked for one session, and a summary such as All 3 Attended or 2 Attended, 1 Absent for a block. It is blank for on-demand courses, which do not use attendance. The same column is in an export from a course’s Registrants tab.

To get the file every week or month, use On Schedule in the export window; see Schedule a Regular Export Sent by Email. For every export option, see Export or Download Your Data as a CSV File.

How Attendance Affects Course Completion

Completion shows whether a person has met the course’s attendance and online lesson requirements. It is separate from the Registration’s Status, such as Active or Cancelled. Completion updates in the background after an attendance mark is saved.

For attendance to complete a Registration, every session of that Registration must be marked Attended. One attended session out of several is not enough. A blended course with published lessons also needs lesson progress of 100%. An on-demand course does not use attendance. See Check Whether a Learner Has Completed a Course for the rules for each course type.

Changing a session from Attended to Absent moves Completion out of Completed once the change is processed. It becomes In Progress if any required attendance or completed-lesson evidence still counts towards completion. Otherwise, it becomes Not Completed. Marking the session Attended again restores Completed when the other requirements are met.

An imported or historical completion stays as recorded until new attendance or completed-lesson evidence is saved; from then on Cademy calculates Completion from that evidence. If a result looks wrong, ask Cademy Support to check it rather than changing accurate attendance.

Attendance, Certificates and CPD Awards

When the attendance marks make a Registration Completed, Cademy issues its certificate or CPD award if the course settings, your plan and the record allow it. Completion alone does not guarantee an award or an email.

Changing attendance does not revoke a certificate or CPD award that was already issued. Correct the mark first, then revoke the award separately only if that is what you want. Revoking does not change attendance, lesson progress or Completion, and if the evidence still adds up to Completed, the award can be issued again. To revoke, see Issue a Certificate Manually or in Bulk for a certificate and Set Up and Award CPD Points or Hours for a CPD award.

For a missing award, check Completion, the course’s automatic certificate or CPD settings and your plan. CPD also needs Settings → CPD → Enable CPD and points or hours on the course. See Set Up Automatic Certificates for a Course and Set Up and Award CPD Points or Hours.

What an Attendance Mark Stops the Customer Changing

A saved mark, Attended or Absent, on a Registration that is not cancelled, deleted or in Draft limits what the customer can change in their own account. On the marked date, the person who booked cannot remove or replace that participant, change their option, or transfer their own place. Another date on the same course can still allow these changes if the participant has no attendance or lesson progress there. Changing Attended to Absent, or Absent to Attended, still leaves a mark, so the limit stays.

Guest details have a wider limit. The person who booked cannot edit a guest’s details if that guest has attendance or lesson progress on any date of the same course in that Order. Participants cannot change their own first name, last name or course-specific answers once attendance or lesson progress is recorded on any course in that Order. Cancelled, deleted and Draft Registrations do not cause these limits.

For what the booker sees, see Manage the People on a Course You Booked. For what the participant sees, see Edit Your Details for a Course You Are Attending.

Fix a Wrong Attendance Mark or Find a Missing Participant

  1. Return to the course’s Registrants tab and check the saved mark. For several sessions, open the summary and check each session.

  2. If the mark is right but Completion has not caught up, wait for the background update and refresh. Contact Cademy Support if it still disagrees.

  3. If the person is missing, choose All Registrations and check the date, the search and the filters. The Overview summary shows only Active and Pending Registrations. Then check that the person has their own Registration: someone who only booked for others has no place to mark. Ask a System Admin to check the Order’s participants before you add anything, to avoid a duplicate Registration.

  4. For a wrong mark, select it, choose the right mark and check the saved result. Review any certificate or CPD award already issued separately.

For finding the right record, see Find Who Is Booked on a Course (Registrations).

Frequently Asked Questions

Why can I not see the Attendance column?
Open the course’s Registrants tab, select View, find Attendance under Columns and select its show control. The main Registrations page and organisation tables do not have it. If the column is there but the cell is empty, check that the Registration has a scheduled date.

Why is Mark Attendance disabled?
On the Registrants tab it needs one course date or block. Choose the date or block and select the people again. The Overview summary works across dates, as described above.

Does marking someone absent cancel their Registration or order?
No. It records a no-show and can change Completion. It does not cancel the Registration, the Order or the payment.

Does changing attendance to absent revoke a certificate or CPD award?
No. Completion moves out of Completed after the change, but an issued award stays until you revoke it.

Why was a certificate or CPD award not issued?
Check Completion, the course’s certificate or CPD settings and your plan. CPD also needs Enable CPD under Settings → CPD and points or hours on the course. A Completed badge alone does not guarantee an award. Ask Cademy Support to check a missing award rather than changing accurate attendance.

Does an on-demand course use attendance?
No. Its completion uses online lesson progress. Attendance is for scheduled sessions.
