Print or Download a Class List (Register)

Print a register or sign-in sheet for a course date, or download a spreadsheet of registrations with the columns and booking answers you need.

Written by Artur Binzaru

This guide is for course providers who need a list of the people booked on a course: a class list, register, sign-in sheet, attendee list, guest list or class roster. Print it from the course, save it as a PDF, or download it as a spreadsheet (a CSV file).

Registration: one person’s place on a course or course date. Inside a course, Cademy lists these places on the Registrants tab.

Which List Is the Attendee or Guest List to Download?

The attendee or guest list is the course’s Registrants tab, with one row per person attending. The Orders tab lists bookings and payments, and one Order can hold places for several people. Print or export from Registrants for a list of attendees. Choose the route that gives you the list you need:

What you need

Where to get it

A register for one date or block, with everyone Active or Pending

The course’s Overview, then File Actions and Print. Print loads every page of the list.

A printout of the rows shown in the table, in any view

The course’s Registrants tab, then Print. It prints the current page only.

A spreadsheet of everyone in your view or filter

The Registrants tab or the Registrations page, then Export. It includes every matching page.

A spreadsheet of the Active and Pending places on a selected date

The course’s Overview, then File Actions and Export, with Registrants Summary chosen.

Print a Class List, Register or Sign-In Sheet for a Course or Workshop

Use Print on a course to make a paper list or a PDF through your browser’s print window. You choose the information to include before printing. The course’s Overview and its Registrants table print different sets of people, so use the route that fits your task.

Print a Full Register for One Course Date or Block

Use this route for an On set dates or Blended course when you need all Active and Pending Registrations for a date or block. The summary on screen can show only part of the list, but Print loads the matching records from every page. Cancelled places are left out.

  1. In the Admin Dashboard, select Courses, open the course and select Overview. Select View All Dates if the date list is hidden. Select Upcoming or Past, then select the date or block.

  2. Choose Registrants Summary if the switch between Orders and Registrants is shown. On a narrower screen its text shortens to Registrants, and on the smallest screens it shows icons only. If you cannot see Orders, the Registrants list is already shown.

  3. Check the summary’s search box. Clear it to print everyone on the date; leave text in it only when you want matching names, emails or Registration identifiers. Ticked rows do not limit Print.

  4. Open File Actions and select Print. Choose the fields in Select Fields to Print, check Selected fields, then select Print.

  5. Check the browser’s print window, then print or save a PDF. For a block, the list has a dated section for each session. A person booked on the whole block appears under each session; a person booked on one session appears under that session only.

To print across several dates, select the selected date card again to go back to all dates. Choose Upcoming or Past, load any further dates with Load More, then use File Actions and Print. The printout follows the loaded dates and the search box, so it is not always every date on the course.

Print the Rows Shown in the Registrants Table

This route prints the rows on the current table page after search and filters. It does not load the other pages, and ticked rows do not limit the printout. Use it when you need a different view, for example cancelled places through All Registrations.

  1. Select Courses, open the course and select Registrants. For a course with dates, choose the date or block. Select View All Dates if the date list is hidden.

  2. Choose the view, set the search and filters, and wait for the table to load. To fit more people on one page, choose a larger number, up to 100, in the per page menu below the table.

  3. Select Print. On a narrower screen, open More Actions, the button with three dots, and choose Print Registrations….

  4. In Select Fields to Print, select the button that shows the number of fields, such as 6 fields selected, and choose the information you need. Check the Selected fields summary.

  5. Select Print. Check the people and columns in your browser’s print window, then print or save a PDF. If the table has more pages, go to each page and repeat.

Choose Print Fields and Show Option Names

The fields chosen at first are Name, Option, Email, Status, Role and Registered At. You can also add Organisation, Last Updated, and Contact and Registration fields, such as answers to booking questions. File uploads and statement fields cannot be printed. Your browser remembers your choice for the next print; it is separate from the table’s columns.

The printout is headed Registration List, with the course name and, for a selected date, its facilitators or owners. On a printout for a block or several dates, each dated section shows how many people it lists.

Registration print fields selector, with Option included in the selected fields.

Option is the name of the price offer or ticket each person has, such as Standard or Student. When you print Option with other fields, the column appears only if the printed rows have more than one different option name. The number of offers on the course does not decide this. If Option is the only field chosen, it is always printed.

A person without an option name has a blank Option cell. If Cademy shows Couldn’t load the options, the list was printed without the Option column; try again before relying on it. Printing does not show offer prices, and it does not add an Option column to the table or to a CSV export.

Download a Spreadsheet of the Bookings for Your Course (CSV Export)

Export gives you a CSV file you can open in Excel, Google Sheets or Numbers. The Export button in the toolbar uses your view, filters, search and the course or date, across every matching page. To export only some people, tick their rows and use Export in the selection bar. Select All includes matching people on other pages.

  1. Open the course’s Registrants tab and choose the date, or open the Registrations page or an organisation’s Registrations tab.

  2. Choose the view and add any Filter conditions. Check the search box too: its text also limits the export.

  3. Select Export. On a narrower screen, open More Actions, the button with three dots, and choose the export item, which shows the number of Registrations.

  4. In Export Registrations, choose All Columns, Visible Columns or Choose Columns.

  5. Under Export Timing, select Now, then Export Now.

  6. When Cademy shows Your export is ready, select Download CSV. Open the file and check the date, the people and the columns before you share it.

Export Registrations window with the choices All Columns, Visible Columns and Choose Columns, the timing choices Now and On Schedule, and an Export Now button

Cademy also emails you a copy, but that does not guarantee it reaches your inbox. Closing the window does not stop the export. A System Admin can find past exports in Settings → Exports. If a file does not arrive or looks wrong, check there or contact Cademy Support before exporting again. The rows in the file can be in a different order from the table.

There is no Registration Code field in Filter. Use the search box to find a code; its text also limits the export.

From a course’s Overview, File Actions and Export give the Active and Pending places on the selected date or dates. This export does not use the search box and has no Visible Columns choice. With Orders Summary chosen, the same menu exports the Orders instead.

Export Registration Columns in the Same Order as Your Contact Fields

Visible Columns exports the columns shown in the table, in the table’s order. To set your own order, choose Choose Columns:

  1. On the left, search the columns or open a group, such as Contact, Registration, Contact Fields or Registration Fields, and tick the columns you want. Each new column is added to the end of the list on the right.

  2. On the right, drag a column, or use its move up and move down controls, to change its place. The order on the right is the order of the columns in the file.

  3. Remove any column you do not need, keeping at least one, then select Export Now.

Your browser remembers the columns and their order for your next export. To match the order of your Contact fields, tick or drag them into that order once; the next export keeps it.

Booking Form Details Missing From the Bookings Download? Add Their Columns

If your download does not show the answers customers gave on the booking form, add their columns. They are in the Registrations export:

All Columns includes both groups. With Choose Columns, tick them in those groups, as the columns chosen at first do not include them. File uploads are not exported. If you need one row per booking rather than one per person, export from Orders instead; the Orders export also has a Registration Fields group. See Export or Download Your Data as a CSV File. Answers to a separate Cademy form are form responses; see Find and Manage Form Responses (Submitted Answers).

Send a Class List or Roster to a Trainer or Instructor

Choose one of these:

Start Date Time Zones, CPD Columns and Scheduled Exports

The Start Date and End Date columns use the time zone saved for each course date, not the time zone of the person downloading the file. If a course date has no usable time zone, these columns use UK time. Compare them with the course date before using the file, and contact Cademy Support if they differ.

Where your account includes CPD and it is switched on under Settings → CPD, All Columns includes the CPD points and hours, or you can select them under Choose Columns in the CPD group. Column names follow your CPD labels. Each row shows the active CPD award for that Registration. A Contacts export does not show CPD totals for each person. See Set Up and Award CPD Points or Hours.

A scheduled export runs Daily, Weekly or Monthly. A date saved in a filter does not move forward by itself, so check the filter of a scheduled export.

Frequently Asked Questions

Printing and Exporting Registrations

Does Print include everyone on the course?
No. Print from the Registrants table prints the current page only. Print from the Overview loads all Active and Pending places for the selected dates and uses the search box, but leaves out cancelled places and other dates.

Does an export include only the current table page?
No. Export in the toolbar includes every matching Registration within your view, filters and search. Export in the selection bar includes the rows you ticked, or every match after Select All.

Why is Option missing from my printed list?
Check that Option is chosen in Select Fields to Print. With other fields, it appears only when the printed rows have more than one different option name. Also check for a Couldn’t load the options message.

Why can I not see the CPD columns in the export?
Your account must include CPD and have it switched on under Settings → CPD. Choose All Columns, or select the fields under Choose Columns in the CPD group. After a plan or setting change, refresh the page and open Export again.

Why is a CPD value blank in the export?
That Registration has no active CPD award, the award was revoked, or that unit was not awarded. The course’s current CPD values do not fill the gap.
