Find Who Is Booked on a Course (Registrations)

Search, filter and sort registrations to find delegates, students or attendees on a course, save views, choose columns and open one registration.

Written by Artur Binzaru

This guide is for course providers who need to see who is booked on a course: delegates, students, attendees or clients. It shows where the list is, why someone can be missing from it, and how to search, filter, save a view and choose columns.

Registration: one person’s place on a course or course date. Cademy lists these places as Registrations, or as Registrants inside a course.

Order: the purchase or booking record. One Order can hold places for several people, and the person who booked does not always have a place.

Contact: the record of the person, with their name and email address. One Contact can have several Registrations.

To print a register or download the list as a spreadsheet, see Print or Download a Class List (Register).

See Everyone Booked on a Course, Workshop or Date

Each course has its own list of the people booked on it, on its Registrants tab.

  1. In the Admin Dashboard, select Courses and open the course.

  2. Select Registrants.

  3. For a course with dates or blended content, choose the date or block from the date list. Select View All Dates if the list is hidden. A block is a group of sessions booked together.

  4. Check the selected date and the view name above the table. The first view, Active Registrations, lists places that are Active or Pending.

A System Admin can also see places on every course: select Registrations in the Admin Dashboard, or go to admin.cademy.io/registrations. For the people from one company, a System Admin opens Organisations, selects the organisation and opens its Registrations tab, which follows each participant Contact’s organisation. Course Owners and Facilitators see the courses and dates assigned to them; their role alone does not show every place.

The same toolbar sits above each list. The view dropdown on the left chooses a list, Filter adds conditions, View holds sorting and columns, and Search finds people. On the right are New Registration, Export and, on a course’s Registrants tab, Print and Import. On a narrower screen, Print, Import and Export move into the More Actions menu, the button with three dots.

Registrations. Start with a registration view. Choose the view, use Filter to change its records, or use View to choose its sort and columns.

Bookings Do Not Come Up When You Click on a Course or Workshop

If a course’s Registrants list is empty or someone is missing, check these in order:

  • The date or block. On a course with dates, the list follows the date or block you selected. Choose the right one in the date list.

  • The view. The Active Registrations view leaves out cancelled places. Choose All Registrations to include them.

  • Filter and Search. A filter condition or Search text narrows the list. Remove a condition with its cross and clear Search. When nothing matches, the list shows No registrations match these filters and a Clear Filters button, which removes your filters and Search text.

  • Orders or Registrants. The Orders tab lists bookings; Registrants lists the people attending. Someone who booked only for other people has an Order but no place of their own.

  • Your access. Course Owners and Facilitators see only the courses and dates assigned to them.

  • Unable to load registrations. This message means the list did not load. This is not proof that nobody is booked. Select Try Again, and contact Cademy Support if it continues.

If a learner is on the list but cannot open the course, see Help a Learner Who Cannot Access Their Course.

Why Can I Not See Cancelled Registrations? (Active and All Views)

Open the view dropdown above the table to choose which places to list:

  • Active Registrations: places with the status Active or Pending.

  • All Registrations: every status, including Cancelled, within your access and the page’s course, date or organisation. Deleted records are not listed.

  • Saved views you can use appear in the same dropdown. A view opened inside a course or organisation keeps to that course or organisation.

Both built-in views start with the most recently created places. Status describes the place: Draft, Pending, Active or Cancelled. Completion describes whether the learner finished the course. To find people who finished, start with All Registrations and filter by Completion. Older records can still show a historical Completed status, but Completed is not a choice in the Status filter. See Check Whether a Learner Has Completed a Course for the Completion values.

A Registration created by an Order takes its status from that Order: it is Pending while the Order is pending, for example while it waits for your approval, and Active when the Order is active. Whether the learner can open lessons also depends on the Order’s approval and payment. A System Admin can open the Order to check both. See Approve or Reject an Order for an Order awaiting approval, and Take Bookings Paid by Bank Transfer (Manual Payment) for the setting that allows course access before a manual payment is marked paid.

Registrations. Choose the registration list. Default views and your saved views are in the same dropdown.

Search for a Delegate or Student Across All Courses

  1. Open the list to search: Registrations for every course (System Admins), or a course’s Registrants tab for one course. Choose All Registrations to include cancelled places.

  2. Select Search and enter part of the person’s first name, last name, email address, Registration Code or Registration ID.

  3. Wait for the list to finish loading, then check the person and the course or date before opening a row.

Every word you enter must match one of those fields. Search does not find a course title or an Order or invoice reference. Use Filter for a course, date range, status or other field. A System Admin uses Orders to find a booking by its reference.

Other people on an Order can be found the same way when they have their own place: search for that person’s details.

Find Contact Details After Cancelling or Refunding a Booking

Cancelling a booking keeps the person’s place as a cancelled Registration and keeps their Contact record. You can still find their email address.

  1. Open Registrations, or the course’s Registrants tab.

  2. Choose All Registrations in the view dropdown. To list only cancelled places, select Filter, choose Status and select Cancelled.

  3. Search for the person’s name and select their row. The panel shows their name and email address at the top.

  4. A System Admin can select the person’s name to open their Contact record, with their other details and sent emails.

Filter, Sort and Save Registration Views

This section covers what is particular to Registrations. For the general steps, including how to combine conditions, see Find Records with Filters and Saved Views.

Filter Registrations by Course, Date, Status or Field

Select Filter and choose a field. Status, Course, Course Start Date and Completion appear first under Suggested. The fields are grouped:

  • Registration: Status, Role, Course, Course Collection, Course Start Date, Course End Date, Registered At, Last Updated, Access Expires, Access, Lesson Progress, Lesson Progress Status, Completion, Completion Date and Registration Tags.

  • Learning: Last Seen, Last Progress, Time Spent (Minutes) and Quizzes Passed. A course with published lessons also offers Current Lesson, Current Lesson Status and Time to Complete (Days). See Find Learners Who Are Inactive or Have Not Finished.

  • Certificate: Certificate Issue Date and Certificate Expiry Date.

  • Contact: First Name, Last Name, Email, Contact Tags and supported Contact fields.

  • Registration Fields: supported custom fields for the course place.

  • Feedback (under Registration), where the feedback feature is switched on for your account.

For example, combine a Course with Completion set to Completed to find completed places on that course. A Course Start Date range narrows the list, but does not select one date for marking attendance. There is no Registration Code or Registration ID filter: use Search for those.

Sort the Registrations List

Select View, then use its Sort section. You can sort by most Registration, Learning, Certificate and Contact fields, such as Registered At or Last Updated.

Save a Registrations View, for Example for One Course

A saved view keeps its filter conditions, sorting and visible columns, including their order and widths. Search text and ticked rows are not saved. After you change a view, select Save View. The built-in Active Registrations and All Registrations views cannot be overwritten, so saving from them creates a new view. A new view can be for Only Me, or for Everyone if you are a System Admin.

A saved view appears on the Registrations page and on every course’s Registrants tab, and on each course it lists only that course’s places. For a view of one course on the main Registrations page, add a Course filter before saving. Inside a course, your browser reopens the view you last used on that course.

For an on-demand or blended course with published lessons, the view dropdown on Registrants also offers learning views: Active This Week, Completed Last 30 Days, Stuck, Gave Up and Not Started. See Find Learners Who Are Inactive or Have Not Finished for their rules.

Add, Hide or Reorder Columns in the Registrations Table

Select View and find the fields under Columns. Use Find a column… to find a label, then show or hide it. Drag visible columns to change their order, and drag a column edge to resize it. Save the view to keep these choices. These columns are available:

  • Name, Email, Registration Code, Status, Role, Registered At and Access Expires.

  • Course, Course Code, Occurrence Code, Course Start Date, Course End Date and the course location (Location: Address Line 1, Address Line 2, City, Region, Country and Postcode).

  • Organisation, Registration Tags, Contact Tags and supported Contact and Registration fields.

  • Lesson Progress, Completion, Completion Date, Certificate Issue Date, Certificate Expiry Date and learning columns such as Last Seen and Time Spent.

  • Offer / Ticket, Offer Price, Line Item Total, Line Item Tax, Order Total and Order Payment Status, for System Admins who can view Orders.

  • Feedback, Rating and Review, where the feedback feature is switched on.

A course’s Registrants table also shows Attendance and leaves out the repeated Course column. The main Registrations page and an organisation’s table do not show Attendance.

Certificate Issue Date and Certificate Expiry Date describe the most recently issued certificate that is not revoked. If the participant has several certificates, open the Registration to see the others. CPD points and hours are export columns only.

Add a Last Updated Column to Registrations? Sort or Filter Instead

Last Updated is not a column in the Registrations table. To find recently changed places, sort or filter by Last Updated. Each Registration’s panel shows its Last Updated date, a printed list can include Last Updated, and an export can include Updated At.

Open One Registration to See Its Details

Select a row to open the registration panel. Check the person, course and date before changing anything. The panel shows the person’s name and email address, then the place’s Source (such as the Order it came from), Course, Course date, Status, Completion, Access expires and Reference, with actions for that one place.

For online lessons, expand Progress in the panel to review the learner’s lessons. See See Each Learner's Lesson Progress in a Course. Corrections can affect completion and related outcomes; read Reset or Correct a Learner's Lesson Progress before changing a lesson.

A lesson’s Progress details include its quiz and form entries. To review quiz answers, use View Quiz or Test Results and Mark Answers. System Admins and Course Owners can open submitted form responses: see Find and Manage Form Responses (Submitted Answers).

For the Access expires date and changing one participant’s course access, see Set or Extend How Long Learners Can Access a Course.

Add Someone to a Course

New Registration on the Registrations page or a course’s Registrants tab adds one place without creating an Order, invoice or payment. Follow Add a Participant to a Course Without Creating an Order.

Move or Replace a Participant

To move a place to another date or course, or to replace the person attending, follow Move or Transfer a Participant to Another Date or Course.

Import Course Registrations

On a course’s Registrants tab, select Import, or open More Actions and choose Import Registrations…. A selected course date carries into the import. Importing can create or update records. Follow Add Learners to Courses in Bulk (Import Registrations).

Select Several Registrations for Email, Export, Attendance or Certificates

  1. Wait for the list to finish loading. Check the view, Search, filters and the course, date or organisation.

  2. Tick the checkbox beside each person. A bar replaces the toolbar and shows how many are selected.

  3. To select every matching place, including those on other pages, select Select All in the bar. Clear, or the Esc key, clears the selection.

  4. Choose an action in the bar: Send Email, Export and, on a course’s Registrants tab, Mark Attendance and Issue Certificates. Request Feedback appears when the feedback feature is switched on and the course has a feedback request email.

Courses > First Aid at Work > November Workshop > Registrants. Email or request feedback from registrants. Select the registrants, then choose Send Email or Request Feedback.

Changing Search, the view, sorting or the page can clear the selection, so check it again before an action. A selection made with a Current Lesson or Current Lesson Status filter can include up to 2,500 people; narrow the filter if Cademy asks you to.

Email Selected Registrations

Select the people, then Send Email. Choose a template or write the Subject and Email body, check Preview, then select Send. One person with several selected places can receive several emails. For the full steps and delivery checks, follow Send an Email to Course Participants or Contacts.

Mark Attendance for Selected Registrations

On a course’s Registrants tab, select the people and then Mark Attendance. It is unavailable until one date or block is selected, with the message Filter by a single date to mark attendance. Follow Mark Attendance for a Course Date or Session for the steps.

Issue Certificates to Selected Registrations

On a course’s Registrants tab, select up to 500 people and then Issue Certificates. Check the Template, if your account includes Custom Certificates, and the Delivery choice: Issue only (no email) creates the certificates and a ZIP download; the other choices email registrants, primary contacts, both, or an address you enter. Primary contacts are the Contacts on the linked Orders and can be different people. Then select Issue Certificates and read the result. For the full rules, see Set Up Automatic Certificates for a Course.

Issue Certificates window for 3 registrations with a Template box holding First Aid Certificate (Course Template) and five Delivery choices: Issue only (no email), which is selected, Issue and email registrants, Issue and email registrants and primary contacts, Issue and email primary contacts only, and Issue and email a manual address, above the buttons Cancel and Issue Certificates

Frequently Asked Questions

Finding and Viewing Registrations

What is the difference between a Registration and an Order?
A Registration is one person’s place on a course or date. An Order is the booking, which can hold several places and belongs to the person who booked. Someone who booked only for others has an Order but no Registration.

Why can I not see a field in the table?
Check View > Columns, the page you are on and your permissions. Attendance shows only on a course’s Registrants tab, and Order and payment columns only for System Admins who can view Orders. Last Updated and CPD are not table columns.

Does a saved view update by itself?
Yes. A saved view is a live list: the people in it change as places are added, cancelled or completed.

Registration Views, Printing and Exports

Questions about printing and exporting are answered in Print or Download a Class List (Register).

Actions for Selected Registrations

Does Select All include people on other pages?
Yes. Select All includes every place that matches the view, filters and Search. Check the count in the bar before an action.

Can I email Registrations from more than one course?
Yes. A System Admin can select places on the main Registrations page and choose Send Email. Check the selection and preview before sending.

Where can I issue certificates in bulk?
On a course’s Registrants tab, for up to 500 places at a time. The main Registrations page does not offer Issue Certificates.

What does “already issued” mean when bulk issuing certificates?
The place already has an active certificate with the selected template. Cademy reuses it in the ZIP and in any emails you chose, instead of issuing another.
