This guide is for course providers who need to check whether a learner (a participant, delegate or student) has completed a course in Cademy Admin. It explains what each completion status means, what counts as completed for each course type, how to find and export everyone who completed, and how to fix a status that looks wrong.
Registration: one person’s place on a course or course date. Completion is saved on each Registration.
Status and Completion: these are different. Status is the administrative state of the place, such as Active, Pending or Cancelled. Completion shows whether the learner has met the course’s attendance and online lesson requirements. Completion does not confirm payment, current access to the course or an issued certificate.
See Whether a Learner Has Completed a Course (Completion Column)
Use View → Columns to show Completion and Filter to find matching learners. Find Records with Filters and Saved Views explains the list controls and saved views.
Log in to your provider account. A System Admin can open the main Registrations page. For a course you can access as a System Admin, Course Owner or Facilitator, select Courses, open the course and select Registrants.
Find the learner and check the course and date. If they are missing, choose All Registrations and check the search, filters and date before you decide they have no Registration.
Find the Completion column. If it is hidden, select View, find Completion in Columns and select its show control. Show Completion Date in the same place if you also need the date. Save the view to keep these columns.
Select the Registration row. In the panel that opens, expand Registration if needed and find Completion beside the separate Status. If the record is unavailable, ask a System Admin or Cademy Support to check your access.
Find Completion and Completion Date under View → Columns.
What Not Started, In Progress, Not Completed and Completed Mean
Not Started: no attendance mark or completed lesson counts yet. Opening a lesson is not completing it.
In Progress: some required attendance or completed lessons count, but not all of the course’s requirements are met.
Not Completed: attendance has been recorded, but no required session is marked Attended and no completed lesson counts. An Absent mark is different from an unmarked session.
Completed: the course’s attendance and published-lesson requirements are met, or an earlier recorded completion is kept, as explained below.
For example, on a two-session live course, one Attended session and one unmarked session give In Progress. Both sessions marked Attended give Completed. An Absent mark with no attended session gives Not Completed.
Change a Registration Status From Active to Completed or Withdrawn
There is no Completed or Withdrawn status to choose, and you cannot mark a course as completed manually. Cademy calculates Completion from the learner’s attendance and lesson progress.
To make a learner Completed: record the evidence. Mark every session Attended in Mark Attendance for a Course Date or Session, or mark the lessons Completed in Reset or Correct a Learner's Lesson Progress. Completion then updates by itself.
To withdraw a learner: cancel their Registration. Open the Registration, select the menu button with three dots in the Registration panel and choose Cancel Registration. Its Status becomes Cancelled. For the booking and refund side, see Cancel a Booking or Part of an Order.
Some older Registrations have the status Completed from before Completion existed. Cademy no longer sets this status, and these Registrations cannot be cancelled.
What Counts as Completed for Each Course Type
Course with one session (classroom or live online): before attendance is recorded it is Not Started. Attended makes it Completed and Absent makes it Not Completed.
Course with several sessions: every session of that Registration must be marked Attended. Some attended sessions give In Progress until all are attended. If attendance is marked but none are attended, it is Not Completed.
On-demand course: completion uses published-lesson progress. It moves from Not Started to In Progress as lessons are completed, then Completed at 100%. It needs at least one published lesson; an empty course does not complete.
Blended course: every live session must be marked Attended and published-lesson progress must reach 100%. Completing only one part leaves In Progress. If there are no published online lessons, attendance is enough.
On-request course: a request is not completion. The learner needs a Registration for an arranged session; attendance then works as for a course with one session.
Draft or deleted lessons do not count. Lesson progress is rounded to the nearest whole number, so on a course with 200 or more published lessons it can reach 100% while one lesson is still unfinished. On an on-demand course that completes the Registration, and an automatic certificate or CPD award can then be issued.
If a lesson holds a required form, the learner must submit it before completing the lesson, but only while that form remains available to fill in. Submitting the form does not complete the lesson: the learner then selects Complete & Continue, or Mark as Completed in the last lesson. See Add Forms to Lessons.
Blended Course: Student Completed the E-Learning Before the Live Part
On a blended course, a student who finishes all the online lessons (the e-learning) before the live sessions stays In Progress. No certificate or CPD award is issued yet. Once every live session is marked Attended, the Registration becomes Completed by itself, and any automatic certificate or CPD award is issued then. You do not need to do anything else. The learner’s course page can already show Get Certificate; it opens a not-found page until every live session is marked Attended and the certificate is issued.
The same applies the other way round: a student who attended every live session but has not finished the online lessons stays In Progress until lesson progress reaches 100%.
Completion Date: When a Learner First Completed
Completion Date is the date the Registration first became Completed. Later attendance or lesson corrections and completing again keep that date. It is separate from the course date, the certificate issue date and the CPD award date.
A correction can move Completion back to Not Started, In Progress or Not Completed, but the first completion date stays. While the Registration is not Completed, the panel shows First completed with that date, and the table shows a history icon beside the Completion badge. A date alone does not mean the Registration is Completed now.
Recent dates in the table can show as relative wording; point to the date to see the full date and time. Some older completed Registrations have no date. Ask Cademy Support to check a missing or disputed date rather than changing accurate attendance or progress.
Find Everyone Who Has Completed a Course (Completion Filter)
Open the main Registrations page as a System Admin, or the course’s Registrants tab. Check the course, date and any filters already applied.
Select Filter, then Completion under Suggested. This is different from Status and Lesson Progress Status.
Choose the condition and the value: Not Started, In Progress, Not Completed or Completed.
The list updates as you choose. Close the panel and check the rows. If someone is missing, check the other filters and the search.
The Completion filter narrows the list as you choose its values.
Use the separate Completion Date filter to find first completions in a date range. It does not mean those learners are still Completed; add a Completion condition if you need both.
Some older records show a Completed badge but have no stored completion value, so a filter or export does not include them. If the badge and the results disagree, ask Cademy Support to check the record.
Export a List of Learners Who Completed a Course
An export uses the page’s course, date or organisation, the filters and the search, across every page of the list. Ticked rows do not limit the toolbar’s Export. Filter by Completion first if you want only completed learners.
Open the main Registrations page, an organisation’s Registrations tab or a course’s Registrants tab, and apply the filters you need.
Select Export. On a narrower screen it is in the menu with three dots, where its name starts with Export. Then select Choose Columns.
In the Registration group, tick Completion Status and Completion Date. Keep columns that identify each learner and course. The export calls it Completion Status; the table calls it Completion.
Select Now, then Export Now.
When Cademy shows Your export is ready, select Download CSV. Open the file and check the learners, values and dates. If the export fails or looks wrong, contact Cademy Support before you repeat it.
Under Choose Columns, include Completion Status and Completion Date with the other fields you need. This picture shows the column choice, not a finished download.
Completion Status uses the four values above. An older record with no stored value exports a blank, even if its badge shows Completed. A blank date is not proof the learner never completed. For more export options, see Print or Download a Class List (Register).
Send Completions and Certificates to Another System (API or Export)
The Cademy API cannot read completions, lesson progress or certificates, and webhooks have no completion or certificate event. To pass completion information to an external system, export Registrations with the Completion Status, Completion Date, Certificate Issue Date and Certificate Expiry Date columns and import the file there.
To get the file every day, week or month, use On Schedule in the export window if your plan includes Scheduled Exports (the Teams plan). See Schedule a Regular Export Sent by Email and Create and Manage API Keys.
Fix a Wrong Completion Status (Attendance or Lesson Progress)
Completion is calculated, so fix the evidence behind it. Check the learner, course and date first, and correct only what is inaccurate. A saved correction can issue an award or send a feedback request when the course is set up to do that.
For a classroom or live online course, check each session and correct attendance using Mark Attendance for a Course Date or Session.
For an on-demand course, correct the lesson record using Reset or Correct a Learner's Lesson Progress. Lesson progress cannot be changed on a cancelled Registration, and changing it does not change quiz answers or SCORM results.
For a blended course, check both attendance and lesson progress.
Wait for the update, then refresh and open the Registration again to check the evidence and Completion. If accurate evidence and Completion still disagree, ask Cademy Support.
An imported or older completion is kept while there is no new attendance or completed-lesson evidence. Once new evidence is saved, Cademy calculates Completion from it.
Completion, Certificates and CPD Awards
A Completed Registration gets a certificate or CPD (continuing professional development) award when the course settings, your plan and the record allow it. Completion alone does not guarantee an award or an email. An award already issued is not issued again just because the status returns to Completed.
Changing attendance or lesson progress does not revoke an issued award. Correct the evidence first. If the award should also be withdrawn, revoke it separately: see Issue a Certificate Manually or in Bulk for a certificate and Set Up and Award CPD Points or Hours for a CPD award. Revoking does not change attendance, lesson progress or Completion, and if the evidence still completes the Registration, an award can be issued again.
For certificate settings, see Set Up Automatic Certificates for a Course.
Change the Congratulations Message Learners See When They Finish
On an on-demand course, a Congratulations window opens when the learner completes a lesson and their progress reaches 100%. Its text cannot be edited. It says the learner has completed the course, using the course’s own word for “course”. It shows a Get Certificate button when the course issues certificates automatically, and an Add a Review button unless reviews are switched off for your account. The window does not open when you mark lessons completed for the learner in Admin.

Frequently Asked Questions
Why does a Registration have a Completion Date when it is not Completed now?
The first completion date stays through later attendance or lesson corrections. Completion can return to Not Started, In Progress or Not Completed while First completed still shows the earlier date.
Why did opening a lesson not change the Registration to In Progress?
Opening a lesson is not completing it. At least one published lesson must be completed. On a live or blended course, an attended session also counts.
Can an on-demand Registration become Not Completed?
Normally no. On-demand courses use Not Started, In Progress and Completed. Not Completed means attendance was recorded with nothing that counts. If an older or imported record looks wrong, ask Cademy Support to check it.
Why does the learner still have a certificate or CPD award after Completion changed?
Awards are not withdrawn when attendance or lesson progress changes. Revoke an award separately, using the guides linked above, only when that is what you want.
Why does an imported or older Registration already show Completed?
Cademy keeps a completion recorded before, sometimes without a date. New attendance or completed-lesson evidence makes Cademy calculate Completion from that evidence. Ask Cademy Support about an unexpected result.
Why can I not see the Completion column?
Select View, find Completion under Columns and select its show control. Completion Date is a separate column in the same place.
