Find Your Course Dates, Venue or Joining Link

For learners: find your course dates, times, venue, parking notes and Zoom or Teams link, and add sessions to your own Outlook or Google calendar.

Written by Artur Binzaru

Use your course page to find when and where your course runs: the session dates and times, the venue address with any parking or entrance notes, and the Zoom, Teams or other online joining link. This guide also explains how to add sessions to your calendar and what the status on your course page means. It applies whether you booked the place yourself, somebody else booked it for you or the course provider added you.

Course provider: the training provider or trainer running your course. The provider uses Cademy for its bookings, so the pages you see show the provider’s name and logo. The provider controls the course dates, venues, joining details, course content, payments and cancellations.

For an on-demand course or the online lessons of a blended course, see Start Your Online Course and See When Lessons Open.

Open the Course You Are Attending

If you are not logged in or cannot find your course, follow Log In to See Your Courses and Bookings first.

If you are already logged in:

  1. Select My Account at the top-right of the page.

  2. Select My Courses & Bookings. The My Courses page opens.

  3. Under Your Courses, select the course you want to open.

The My Courses tab on Harbour Training's site. Your Courses shows two course cards, Manual Handling Refresher at 60% Complete and First Aid at Work in 3 weeks; the heading Your Courses and the name First Aid at Work are outlined. Your Orders below lists three orders.

This example shows the My Courses page, with two course cards under Your Courses.

What opens depends on the course:

  • A course with a booked date opens its course page. This includes a blended course.

  • An on-demand course hosted in Cademy opens the Content page, which lists its lessons. Select Course Overview in the side panel of that page to open its course page. On a phone or narrow screen, the side-panel cards appear below the main content.

  • An on-demand course hosted on another website opens its course page. When access is allowed, Course Access shows the provider’s instructions.

  • A course that runs on dates, when no course date is attached to your place yet, opens a list of your bookings for that course or the provider’s course page. Contact the course provider if you expected a date.

Use Overview on the course page to check booking information. Depending on the course and your role, the page can also show Content, Participants or Forum.

  • Content can appear when Cademy-hosted course content and your access to it are available. It opens the lessons and activities for the course.

  • Participants is for the person who owns an order with places to manage. Follow Manage the People on a Course You Booked for those actions.

  • Forum is available when the course provider has enabled it for the course. The provider can give this tab a different name. Follow Read and Post in Your Course Forum for forum instructions.

What the Status on Your Course Page Means (Awaiting Approval, Payment or Cancelled)

The course header shows the course name and can show a delivery label, your [number]% Complete progress, or a next-session message.

The header can also show one of these statuses:

  • Awaiting Approval: the course provider has not confirmed the booking yet. If you see Your Booking Is Awaiting Approval, wait for the provider to confirm it, or select Send A Message below it to contact them.

  • Awaiting Payment: payment is still needed. The page shows Please Complete Payment and, when the provider offers them, View Invoice and Pay Now. If somebody else booked your place, ask them or the course provider before paying. If a payment action is missing or you need help with payment, contact the course provider.

  • Cancelled: the page can show Booking Cancelled or Order Cancelled. The cancelled booking or order no longer gives access to the course. Contact the course provider if you think this is wrong.

While one of these statuses applies, the page does not show the action that opens the course content, and a course with dates shows the status message in place of Sessions, so the dates, venue and joining link are not shown yet.

The Overview tab of the course Working at Height Awareness. The header shows the status Awaiting Payment. In place of Sessions, the page shows Please Complete Payment with the buttons View Invoice and Pay Now. The badges with the status and the two buttons are outlined.

This example shows a course with the status Awaiting Payment, with Please Complete Payment in place of Sessions.

Not every course shows every badge or action. The information shown depends on its booking, payment, course type and your role.

If a section called Bookings or Your Orders appears on Overview, you have more than one booking for that course date, or more than one order for that on-demand course. Each row shows the date the booking or order was made, and its total if you own it. Select the one you want to check. The page then shows that booking or order.

Find Your Course Dates and Session Times

Your course dates and times are under Sessions on the Overview tab of your course page.

  1. Find Sessions.

  2. Check the block name and number of sessions, when shown.

  3. Check the date and time on every session row.

  4. Select a session row to open its full details. The session marked Next opens automatically.

Online course Overview with two dated sessions; The first session is expanded to show Joining Instructions and Join Now; The second session row is highlighted to show where to open its details.

Open each session to check its date, time and joining instructions. This example shows an online course.

Check every session you are attending. Sessions in the same course can have different dates, times, venues or online joining links. A completed session says This session has ended.

For an in-person session, the time stays in the timezone saved for that session. For an online or hybrid session, the time uses your local timezone. A hybrid session can show both online joining instructions and an address.

Find Your Course Venue Address or Zoom or Teams Joining Link

The venue and the online joining link are in the details of each session:

  • For an online session, open the session, find Joining Instructions, then select Join Now. This opens the Zoom, Teams or other meeting link the course provider added.

  • For an in-person session, open the session, find Address, then select an icon under Get Directions to open driving, walking, public transport or cycling directions in Google Maps.

  • For a hybrid session, check both Joining Instructions and Address. The course provider decides whether and how you can attend online or in person.

When the course provider has added extra venue instructions, they appear below the session's Address. In Cademy, these instructions are saved as the location's Public note. They can include parking, entrance, room, accessibility or arrival information, or a venue-specific link.

The Overview tab of the course First Aid at Work. Under Sessions, the session of Tuesday 20 October is open and shows Address, 12 Shore Road, Edinburgh, the venue instructions below it, the four Get Directions icons and a map. The address and the icons are outlined.

This example shows an in-person session with its Address, the venue instructions and Get Directions.

Check the session you are attending. Different sessions can use different addresses and Public notes.

When You Get Your Joining Details After Booking

Your joining details are shown on your course page, in the session details above. For a place linked to an order, joining links, venue addresses, booking files and external course instructions are shown only when the order is approved and meets the payment requirement for course access. A paid or partly refunded order meets the payment requirement. A deposit or monthly-payment order marked Partially Paid meets it once the deposit or first scheduled payment is covered. For invoice or in-person payments, the provider can allow access before payment. A cancelled place or an order refunded in full does not grant access to these details. If joining details or files are missing after these conditions are met, contact the course provider. Cademy does not run the course or create its attendance details.

Add Your Course Sessions to Your Own Calendar (Outlook, Google or Teams)

Add to Calendar downloads a calendar file (.ics) with your sessions, which you then open or import in your own calendar. It is shown once your booking is confirmed, not while the page shows Awaiting Approval, Awaiting Payment or Cancelled.

  1. At the top-right of Sessions, select Add to Calendar. When the course has more than one session, the action is called Add All to Calendar and its calendar file contains every session.

  2. Open the downloaded calendar file. Your device opens it in its default calendar app, for example Outlook. Check the session details and confirm that you want to add them.

  3. To use Google Calendar, including when the file opens in Outlook instead, open Google Calendar on a computer and use its import option to choose the downloaded file. If you use Microsoft Teams at work, its calendar shows your work Outlook calendar, so add the file to Outlook.

For a place linked to an order, the download omits the venue and joining link while access is not allowed. Download it again after the approval and payment requirements are met, then check your calendar entry. Adding a session to your calendar does not book, cancel or change your course place.

Check Your Booking and What You Can Change on the Course Page

The side panel of the course page shows your booking and the actions you can take. What it shows depends on whether you own the order or somebody else booked your place.

If You Booked the Place Yourself (Order Owner)

An order owner is the person whose account the order belongs to. If you own the order, the side panel shows Your Order. It can include the order or reference number, Placed date, Total paid or Order total, participant count and Access expires.

The card also has a THIS COURSE section and View Full Order. Select View Full Order to open the order's courses, summary and any invoices. Follow Find Your Order, Invoice or Receipt for a Course Booking for the full order page.

The Overview tab of the course Workplace Safety Essentials. The side panel shows Your Order with the order number HT-1031, Placed, Total paid, the section THIS COURSE and View Full Order, and below it Download Receipt and Get Certificate. View Full Order and the two actions are outlined.

This example shows Your Order in the side panel, with View Full Order, Download Receipt and Get Certificate.

If the course provider added your place without an order, your account has no order page, invoice or receipt for that place. Contact the course provider with any question about payment.

If shown, Download Invoice or Download Receipt opens that document. For an order owner, Get Certificate appears after the course provider issues an active certificate. A participant booked by somebody else sees Get Certificate disabled until a certificate is issued. If more than one active certificate has been issued, the action opens the most recently issued one. A revoked certificate is not available. See Find or Download Your Course Certificate.

If you are attending, you can also use the side-panel actions to edit your own available details. Follow Edit Your Details for a Course You Are Attending.

Use Reschedule or Cancel Booking in the course side panel when offered. These actions depend on the course policy and your booking. Read Cancel or Reschedule Your Course Booking before confirming: rescheduling changes the booked date, while cancellation releases your place and can change the order and money owed. If an action asks you to contact the provider, follow that message. Contact the provider when the action you need is missing.

If you own the order and are attending, Transfer Your Space lets somebody else take your place while you keep access to the order. For a one-space booking, use the action in the Overview side panel; for a booking with a participant list, open the three-dot menu beside your own row. Complete the replacement participant’s required details, then select Transfer Your Space. On an order with several dates of the course, this changes only the selected date. Check the resulting participant list. If Cademy warns that it will not email the replacement, select Copy Link and share the course link yourself, then select Done if shown.

If the page shows a warning such as [number] seat(s) unassigned or [number] participant(s) missing details, select View Participants. Only the order owner can manage other participants on that order. A participant booked by somebody else uses their own Edit Your Details action.

If Somebody Else Booked the Place for You

You are the participant, not the order owner. The side panel shows Registration complete when your details are up to date or Registration incomplete when the provider needs more information. To add missing details, see Edit Your Details for a Course You Are Attending.

Booked By shows the person who manages the participants for that order. Your side panel does not show the order’s total, receipt or invoice, and you cannot open their order. You can reschedule your own eligible place when Reschedule is offered. To cancel it, ask the person under Booked By or the course provider; you cannot cancel their purchased place yourself.

Edit Your Own Details on the Course Page

To change your own details for a course, such as your name or answers, see Edit Your Details for a Course You Are Attending.

Complete Missing Details (Registration Incomplete)

To return to missing details after closing the window that asks for them, see Edit Your Details for a Course You Are Attending.

If Sessions, Joining Details or an Action Are Missing From Your Course Page

  • No Sessions: an on-demand course has no Sessions section. Look for Start Course, Continue Course, View Course or Course Access. A course with dates also shows no Sessions while its status is Awaiting Approval, Awaiting Payment or Cancelled.

  • No joining link or venue: check the approval and payment conditions under “When You Get Your Joining Details After Booking”, then contact the course provider.

  • No Forum tab: the tab is shown only when the course provider has enabled a forum for the course, and the provider can give it a different name. Contact them if you expected one.

  • No Participants tab or View Participants: the Participants tab is for the order owner when there is more than one place, a place belongs to somebody else or a place is unassigned. It is not shown for a single place booked only for yourself. Follow Manage the People on a Course You Booked for details.

  • Transfer Your Space is locked or missing: this is an action for an attending order owner on an eligible, confirmed booking. Recorded attendance or lesson progress on that date blocks transfer; a disabled side-panel action shows Locked. The dated booking page also stops offering transfer when its first session begins. Contact the course provider if you need to transfer a place and the action is unavailable.

  • No View Invoice or Pay Now: these actions depend on the payment method and the course provider's payment setup. Contact the provider if you need help with payment.

  • The Content page says Your Place Is Awaiting Approval or Please Complete Payment: the lessons are not shown yet. Your Place Is Awaiting Approval means the course provider has not approved your booking. Please Complete Payment means the booking is approved but the order still needs payment; select View Details to open your course page. Contact the course provider if you have paid or expected to have access.

  • Your course access has expired: select Re-Enroll Now to open the provider’s course page, or select Contact Provider to contact them.

  • The course is missing from My Courses: make sure you logged in using the email address connected to your course place. Follow Log In to See Your Courses and Bookings if you need to check.

Frequently asked questions

Where are the parking, entrance or other venue instructions?
Open the session you are attending and look below Address. These details appear only when the course provider has added a Public note to that session's location. Different sessions can have different notes. If nothing appears, contact the course provider.

The Zoom link asks for a meeting passcode. Where do I find it?
Joining Instructions shows only the meeting link. If the course provider added other joining details, such as a passcode, they appear in the session’s description above it. The meeting and its passcode are set up by the course provider, so if the passcode is not there or the link does not work, contact the provider.

Why do I see Awaiting Payment?
Payment is still required before course access is available. Use View Invoice or Pay Now if shown. If you cannot see a suitable action, contact the course provider.

How do I cancel or change my booking?
Use Reschedule or Cancel Booking in the course side panel when offered. These actions depend on the course policy and your booking. Read Cancel or Reschedule Your Course Booking before confirming. Contact the provider when the action you need is missing.

Why can I not see the order price or invoice?
If somebody else owns the order, your side panel does not show its total, receipt or invoice, and you cannot open their order. Your course page still shows your course information and registration status. If you placed the order yourself, open View Full Order to check its payment information, or contact the course provider.
