Use this guide to change a place on a scheduled or blended course when the course provider offers online changes. You can check the policy, move to another eligible date of the same course, or cancel a place and review any payment consequences before confirming.
The course provider is the training company, school or trainer running the course. If you run courses and need to set the rules, see Set Cancellation and Rescheduling Policies. The booker is the person whose account owns the order. A participant is someone attending, whether they booked their own place or somebody booked it for them.
Choose the change you need
Action | Use it when | What happens |
Reschedule | The same participant needs a different date. | The place moves to an eligible date of the same course. Order-linked places can move only at the same price. |
Cancel Booking or Cancel Space | You want to give the purchased place back. | The place is released and the order is adjusted. Any refund follows the policy and the payment conditions below. Cancelling the final place cancels the order. |
Remove Participant | You want to remove a person but keep their purchased place for somebody else. | The place stays on your order. This does not reduce its price or create a refund. |
To replace the person attending or give away your own place using Transfer Your Space, follow Manage Participants and View Their Course Progress and Certificates. Those actions are different from cancelling a place.
Open the booking and check its policy
Log in with the email address connected to your booking. If you need help logging in or finding it, follow Log In and Find Your Courses and Bookings.
Select My Account at the top-right of the provider’s Cademy website, then select My Courses & Bookings. The My Courses page opens.
Under Your Courses, open the course you are attending. On its Overview page, check that the course date and booking are the ones you want to change. If a Bookings or Your Orders list is shown, select the correct record.
Find Your Cancellation Policy in the side panel and select View Policy. On a phone or narrow screen, look below the main course information for the side-panel cards and actions.
Read the rescheduling rule, cancellation rule, deadline and any note from the provider. Select Close to return to the course page.
Before buying a place, use the Cancellation Policy link beside the course’s summary at checkout. After booking, the policy page uses the provider’s current rules, which can change. A displayed refund rule applies only to eligible card payments; the cancellation confirmation shows the actual payment result.
The deadline uses the course timezone. A 1-day deadline closes changes 24 hours before the start; 0 days allows changes until the start time. For a whole block of sessions, the first session sets the deadline. Online cancellation and rescheduling are not offered for on-demand courses, on-request courses or individual sessions booked separately within a block.
If you booked places for other people
If you are not attending, open My Account → My Courses & Bookings, then select Orders & Billing and open the order. Under Courses, find the correct course date and participant. Their three-dot menu contains the available Reschedule and Cancel Space actions. You can also use that participant’s menu on the course’s Participants tab. For finding the order, see Find Your Orders, Invoices and Payment Details.
Use the selected person’s action, then follow the rescheduling or cancellation steps below. Changing one participant does not change everybody else’s date or place. Check the person’s name and course date in the confirmation.
If somebody else booked your place, you can reschedule your own eligible booking. You cannot cancel the purchased place yourself. Cancel Booking directs you to ask the booker or course provider. If the provider added your place without an order, you can cancel or reschedule your own eligible booking, but there is no order payment or refund to adjust.
Reschedule to another course date
Open the correct course booking on Overview. The provider must allow rescheduling, and the current booking and destination date must both be outside the change deadline.
Select Reschedule in the side panel. For another person on your order, select Reschedule in that person’s three-dot menu. Choose a New Date opens.
Select one of the listed dates. Check its time, location or online delivery, and remaining spaces. A whole-block booking moves to another whole block, so check all its sessions.
Select Continue. Check From and To on the confirmation. An order-linked booking also shows a zero Price difference. A place added without an order has no price-difference row.
Select Move My Booking. The course page opens on the selected date. Check its sessions and joining details for the updated booking.
The move releases the old place and takes a place on the selected date. An order-linked move does not change your total or invoices. The list shows eligible public future dates of the same course, with space and, for an order-linked booking, the same price for your place. It excludes private dates, full dates, different-price dates and dates inside the deadline. A whole block needs space in every session.
If no suitable date is listed, contact the course provider about the date you need. If a date fills up or becomes unavailable while you are choosing it, the window asks you to choose another date. Your move is confirmed only after Move My Booking succeeds.
Cancel your booking or a participant’s place
Only the booker can cancel a place linked to their order. A learner whose place was added without an order can cancel that place. The provider’s cancellation rule and deadline must allow the change.
Open the correct booking on Overview, then select Cancel Booking in the side panel. For another participant on your order, select Cancel Space from their three-dot menu.
Read the confirmation. It identifies the course and date and explains whether the place is released, an invoice changes, or money is refunded or kept. A card refund shows You paid, any Cancellation fee and Refund. Check the refund amount and destination before continuing.
Select Cancel Booking or Cancel Space to confirm. To leave the place unchanged, select Keep Booking or Keep Space. The wording depends on whether you are cancelling the booking or one place.
Check the course page after it refreshes. If other places remain, only the selected place is cancelled and those other bookings remain active. If it was the final place, the whole order is cancelled. For an order you own, open Orders & Billing to check its updated summary and available invoices.
Important: Cancelling releases the purchased place. If you only want to change who attends while keeping the place, use the participant-management options instead. Remove Participant keeps the place and creates no refund.
Understand the payment result
An automatic refund can return only eligible money paid by card through Stripe for the cancelled place, after the policy’s percentage cancellation fee. A customer-paid booking fee is not refunded. Earlier refunds and the current invoice balance limit the amount still available. If the policy says No refund, money already paid is kept.
For example, if £125 is available for a card refund and the policy keeps a 10% cancellation fee, the fee is £12.50 and the refund is £112.50. A separate booking fee is excluded. The confirmation shows the amount for your own booking, so use that rather than calculating a refund from the whole order total.
Automatic refunds do not return bank transfers, manually recorded payments, PayPal, gift-card payments, Klarna or other non-card payments. Contact the course provider about money paid by those methods. A message that your space will be released does not itself promise a refund.
For an unpaid invoice, cancellation removes the amount due for the cancelled place. The invoice is cancelled when the whole booking ends, or reduced when other places remain. For a part-paid invoice, the cancelled place’s value reduces what is still owed first. Only an eligible paid amount left after that follows the refund rule. This reduction of unpaid debt applies even under No refund; it does not mean all money previously paid comes back.
The card-refund confirmation gives an estimate of 5 to 10 business days for the refund to reach the card used to pay. Actual arrival depends on the bank. If the page reports that the automatic card refund failed, the place has still been cancelled and the provider has been told. Contact the provider about the outstanding refund rather than treating the place as active.
When an online change is unavailable
An action can be absent or can open a message explaining why the course provider must help. Check the message and these conditions:
The course needs an applicable cancellation policy with the requested action enabled. If no policy applies, cancellation and rescheduling are absent. If cancellation is switched off within a policy, Cancel Booking can still open a contact-provider message.
The deadline has not passed and the course has not started. For a whole block, this is based on its first session.
Attendance or lesson progress has not already been recorded. Completion, an issued certificate or an awarded continuing professional development (CPD) record also prevents online changes.
An order containing custom charges needs the provider to cancel or reschedule it. Cancellation on an instalment plan or an order with invoices split by course also needs the provider. Being unpaid or part-paid is not, by itself, the same as having an instalment plan.
A booking awaiting approval does not offer online cancellation or rescheduling. Contact the provider about that pending request. A cancelled place cannot be changed again.
If somebody else booked your place, ask them or the provider to cancel it. You can reschedule your own eligible place without opening their order.
Use Copy Email if the contact window shows the provider’s address. Otherwise use the contact details in your booking information or on the provider’s website. Include the course name, booked date, order reference if you have one, and the change you need. If the action shows an unexpected error, refresh once and try again; if it continues, include the exact message when asking for help.
Check change notifications
After rescheduling, Cademy sends updated details to the participant and a notice to the provider’s selected team recipients. If you move your own guest place, the booker is also notified. If the booker or provider moves a guest, that guest receives the message only when the provider enables guest emails. That guest-email switch does not prevent a guest receiving confirmation of a move they made themselves.
After cancellation, the person making the change receives confirmation. When the booker cancels a guest’s place, the guest is notified if guest emails are enabled. Cancelling the final place uses the order-cancellation confirmation rather than an extra duplicate message. These messages require the provider’s email sending to be enabled and usable recipient addresses; missing, blocked or suppressed addresses prevent delivery. Check the booking page and order even if no email arrives.
Frequently asked questions
Can I move to a different course?
No, not with Reschedule. It lists eligible dates of the same course. Contact the provider about changing courses, moving to a private date or moving at a different price.
Will cancelling my own place cancel everybody else’s?
No, if other places remain on the order. Your place is cancelled and the other places remain active. Cancelling the final place cancels the whole order. Read the confirmation before agreeing.
Can I undo a cancellation?
There is no undo action in this cancellation flow. Contact the course provider if you cancelled by mistake. The released place is available to be booked by somebody else.
