This guide is for anyone who booked a course, or was sent a bill, by a course provider that uses Cademy. It shows where to find your order, check what you have paid and what you still owe, and download your invoice or receipt. It covers orders you placed yourself and orders the course provider created for you, including bills for room hire, catering or other charges without a course.
You find your orders on the course provider's own website, under My Account. The website shows the course provider's name and logo. The course provider sets the prices, issues the invoices and decides on cancellations and refunds, so contact them about anything on the order that looks wrong.
Order: the purchase and payment record for a booking. It can contain courses, custom charges such as room hire or catering, or both, together with their payments and invoices. A custom charge does not give you a course place.
Order owner: the person whose account the order belongs to. This is the person who placed the order, or the person a course provider created the order for.
Participant: the person attending the course. The order owner and participant can be the same person or different people.
Course provider: the training provider or trainer supplying the course or charge. They control the order, course availability, invoices, payments, cancellations and refunds.
Which Orders You Can See in Your Account
Attending a course and owning its order are two different things. Which of these cases applies to you decides what you find in your account:
You placed the order: it belongs to the account you were logged in to at checkout and appears under Orders & Billing, even if every course place is for somebody else.
A course provider created the order for you: it appears under Orders & Billing when you log in with the email address the provider used for the order.
Somebody else booked a course place for you: you find the course under My Courses, but their order does not appear under your Orders & Billing. Your course page shows Booked By with the name of the person who made the booking.
A course provider added or imported your course place without an order: you find the course under My Courses. No order for it appears under Orders & Billing.
A participant cannot open another person's order. Only the order owner can open the order page with its prices, payments and invoices.
Orders & Billing works the same on Cademy's main website and on every course provider's website. It lists your orders from every course provider, not only the provider whose website you are on.
A draft order that a course provider has not finished creating is not shown. An order that has been deleted is not shown either. Orders from a course provider that has permanently deleted its business account are also unavailable.
Find Your Orders Under Orders & Billing
If you are not logged in or cannot find your account, follow Log In to See Your Courses and Bookings first.
To open the full list of your orders:
Select My Account at the top-right of the page, then select My Courses & Bookings. The My Courses page opens.
Select the Orders & Billing tab. It lists your orders with the newest first.
Select an order row to open its order page.
The My Courses page also has a Your Orders section when at least one order belongs to your account. It shows up to three of your most recent orders. Select one to open it, or select View All to open Orders & Billing.
Find the Right Order in Your Order List
Each order row shows:
the name of the first course on the order, followed by its start date when the course has a scheduled date
+ [number] more course or + [number] more courses when the order contains more than one course
the order code, such as ORD-1234, or Placed and the order date when the order has no code
the course provider's name
the number of attendees and up to two of their names, when the order has attendees. Each name is shown as a first name and the first letter of the last name
the amount: the order total, or Free when the total is zero. For a partially paid order this is the amount paid out of the total, and for a refunded or partially refunded order it is the amount refunded
the order status
For an order containing only custom items, the list shows the first item's description and how many more items it has. If no course or custom item remains, its title is Order placed followed by the date.
The list shows ten orders at first. If you have more, select Load More at the bottom of the list to show the next ten.
If no order belongs to this account, the page shows No Orders Yet and Orders you place will appear here with their invoices and receipts. Select Explore Courses to browse courses.
What Your Order Status Means (Paid, Awaiting Payment, Overdue)
The status appears on each order row and under Summary on the order page:
Paid - the order has been paid.
Awaiting Payment - payment is still required.
Partially Paid - part of the total has been paid.
Overdue - an amount is still outstanding after its due date.
Awaiting Approval - the order is waiting for the course provider to approve it. If payment is still due, you can pay once the course provider has approved the booking.
Processing - the order or its payment is still being processed.
Payment Failed - the payment failed.
Refunded - the paid amount has been fully refunded.
Partially Refunded - part of the paid amount has been refunded.
Cancelled - the order has been cancelled.
A cancelled order that has been refunded shows Refunded or Partially Refunded instead of Cancelled.
An unfinished online payment can show Processing. Check the payment and contact the course provider if it does not show the result you expected.
Contact the course provider if the order shows a status you did not expect or one that is not listed here, or if you need them to approve, cancel or refund the order.
Check the Courses, Places and People on Your Order
At the top of the order page, All Orders returns to Orders & Billing. Order [order code] identifies the order when it has a code, and Placed [date] shows when it was created.
Under Courses, each booked course date has its own entry. A seat is one purchased place on that course:
A one-seat course where you are its only participant shows a single row with 1 seat and your name when saved. Select the course row to open Overview and your own available actions.
Other entries show the assigned-seat count and the participant list directly on the order. Your row has a You marker. A person without a saved name is shown by email.
When several options were purchased, people are grouped by option. Each option shows how many places are assigned and how many remain. With one option, there are no option headings.
Use Invite, Add or a participant's three-dot menu directly in that list. The controls match the course's Participants tab. Read-only or cancelled entries do not offer editing controls. For adding people, changing options, shared details, locks, progress and certificates, follow Manage the People on a Course You Booked.
When the same course has several dates on the order, adding, replacing, removing or changing an option affects the selected booked date. Editing the same person's name and requested details keeps them together across dates of that course on this order. Removing a participant keeps the purchased place and does not change the price or create a refund.
Each participant row shows one main status: Invited, Missing Details, Not started, a progress percentage, Completed, Attended or Absent. These describe account, required details, progress, completion or recorded attendance. The participant guide explains which takes priority.
Select a course row to open its course page. Find Your Course Dates, Venue or Joining Link explains what it shows. When opened from your order, its links above the name take you back to Orders & Billing and the order. The forum and a course opened from My Courses use My Courses as their starting link.
On one course provider's website, a course run by another provider opens on that provider's website in a new tab. A row with no arrow has no course page to open; its available participant controls can still be used on this order.
An order containing only custom items shows Other Items without an empty Courses section. If an order has no custom items and Courses says This order has no active courses., no active course remains. Contact the course provider if you expected a course.
Check Room Hire, Catering and Other Charges (Other Items)
Open your order from Orders & Billing. If the course provider included charges such as room hire or catering, Other Items lists each description and amount, with a quantity when it differs from 1. On an order containing courses too, the course groups remain separate. These charges have no participants, course pages or certificates.
Ask the course provider about a charge you do not recognise. Custom charges are included in the order's Summary and its invoice; a course discount does not reduce them.
You cannot cancel or reschedule a booking yourself when its order includes custom charges. If a contact-provider action is offered because of those charges, its message explains that they need the course provider's help. Other restrictions can hide an action or show a different reason. Available participant actions that keep the purchased places, such as changing a name or assigning an existing option, remain separate.
How Much You Have Paid and Still Owe on a Booking
The Summary section of the order page shows the payment details. Status shows the order status. Subtotal and Total always appear. The other rows appear only when they apply:
Subtotal - the course and custom-item prices before the other adjustments shown.
Discounts - the amount removed by discounts.
VAT or VAT (included) - the VAT amount and whether it is included in the price.
Booking fee - the booking fee charged to you on the order.
Paid by gift card - the amount paid using a gift card.
Paid so far - the amount already paid. It appears when a payment has been made and the amount paid is different from the total.
Refunded - the amount refunded.
Total - the order total, or Free when the total is zero.
To see how much you still owe, check the Invoices section below Summary: each unpaid invoice shows the amount outstanding and its due date.
Download an Invoice or Receipt for Your Booking
The Invoices section is below Summary. It lists each invoice the course provider has issued for the order as Invoice [number], with one of these lines:
Void - the invoice has been cancelled and cannot be paid.
Issued [date] · Paid · [amount] - nothing is left to pay on the invoice. If no issue date is available, the line starts with Paid.
Due [date] · [amount] outstanding - payment is still due. If no due date is available, the line shows only the outstanding amount.
Select Download PDF beside an invoice to open the document in a new tab. There is no separate receipt document. When nothing is left to pay on the invoice, its PDF is titled Receipt instead of Invoice. A paid or void invoice still has Download PDF.
You cannot change an invoice yourself. If you need different details on it, such as another billing name or address, contact the course provider. For the other places where you can download the document, such as the invoice email, see Pay an Invoice from Your Course Provider.
The Invoices section is not shown in two cases:
The order has no issued invoice. An invoice the course provider has not issued yet is not listed.
The order's payment is recorded as arranged directly with the course provider. This applies when you chose the course provider's own payment option at checkout, which the provider sets up and names. It applies when a course provider created the order for you without requesting payment through Cademy, for example a free order or an order recorded as already paid. It also applies when an imported order uses manual payment handling, and after the course provider records a payment on the order that was made to them outside Cademy.
In both cases, contact the course provider if you need an invoice or receipt for the order.
Pay an Outstanding Invoice from Your Order
Pay Invoice appears beside an invoice only when all of these are true:
the invoice has an amount outstanding
the invoice is not void and not already paid
the order is not cancelled
the order is not waiting for the course provider's approval
the course provider has not switched off online payment links for its customers
Pay Invoice opens the payment page for that invoice. Follow Pay an Invoice from Your Course Provider for the payment steps and the messages the payment page shows.
Contact the course provider if an invoice, payment or refund appears incorrect.
Can't See Your Order, Invoice or Pay Button? What to Check
The order is missing: select My Account and check the email address at the top of the menu. An order you placed belongs to the account you were logged in to at checkout. An order a course provider created for you belongs to the account with the email address the provider used. If you have more than ten orders, select Load More for older ones.
You are attending but cannot see the order: somebody else owns the order, or the course provider added your place without an order. Open My Courses to find your course.
A link to an order shows a page-not-found message: the order does not belong to the account you are logged in to, or it has been deleted. Log in with the account that owns the order.
No Invoices section: the order has no issued invoice, or its payment is recorded as arranged directly with the course provider. "Download an Invoice or Receipt for Your Booking" lists when that applies. Contact the course provider if you need an invoice or receipt.
No Pay Invoice button: the invoice is paid or void, has nothing outstanding, belongs to a cancelled order or to a booking still waiting for the course provider's approval, or the course provider has switched off online payment links. Contact the course provider if payment is still due and you need a payment link.
No participant list: a course with one seat where you are its only participant shows a single course row. Open that course for your own details and certificate. A read-only list has no editing controls.
The course row does not open: a row without an arrow at its end has no course page to open from the order. Contact the course provider.
A course row says you are not booked, or No Order Found: the course page did not find a place on that course for the email address you are logged in with. On a course date page, a card says You're not booked onto this course (the course provider can use another word, such as event or workshop) and shows the email address you are logged in with. On other course pages the message is No Order Found. If you booked with a different email address, select Log In With a Different Email (Log in with a Different Email on the No Order Found page) and log in with that one. If you are already logged in with the account that owns the order, contact the course provider for your course details; the order page still opens from Orders & Billing. The Book Course button on the first card (or the course provider's own label for it) and Order Course on the No Order Found page start a new booking. They do not open the order you already have.
Use the participant list for the changes available to you. An eligible other participant's three-dot menu can show Reschedule and Cancel Space. To change your own place, open its course row and use the actions in Overview. Follow Cancel or Reschedule Your Course Booking to check the policy, deadline and result before confirming. Contact the course provider for other changes to the order, invoice, payment or refund.
Frequently Asked Questions
I booked a course only for somebody else. Where is it?
The order is under Orders & Billing because you own it. It is also under Your Orders on the My Courses page while it is one of your three most recent orders. The course does not appear under Your Courses because you are not attending it.
A course provider created an order for me. Can I see it?
Yes, when the course provider created it with the email address of your account. Log in with that email address, then open Orders & Billing. A draft the course provider has not finished creating is not shown.
Someone else booked me onto a course. Why can't I see the order?
The order belongs to the person who made the booking. Open My Courses to find the course you are attending. Its course page shows that person's name under Booked By. You cannot see their prices, payments or invoices; ask them for the invoice or receipt.
Can I get a VAT invoice or VAT receipt?
The PDF under Download PDF is the course provider's invoice, or receipt once it is paid. When the course provider charges VAT, the PDF shows the VAT on each line and in the totals, and the course provider's VAT number if they have added one. If a VAT number was given for you on the order, it appears under Bill To. Contact the course provider if you need a different document or your own VAT number on it.
Why does one order show more than one course?
One order can contain several courses. Open the order, then select the course you want to view.
Can I cancel an order or ask for a refund from the order page?
For an eligible course-only booking, use Cancel Space in another participant's row menu, or open your own course and use Cancel Booking. Check Cancel or Reschedule Your Course Booking and the confirmation before continuing: cancellation releases the place and adjusts the order. Remove Participant keeps the purchased place for somebody else and creates no refund. Orders with custom charges and other restricted bookings need the course provider's help; contact them for a different refund or a whole-order change.
Can I use Orders & Billing on my course provider's website?
Yes. Orders & Billing works the same on Cademy's main website and on every course provider's website, and it lists your orders from every course provider.
