What Each Cademy Plan Includes and Costs

Compare Cademy's Free, Pro and Teams plans and prices, see how many admins, facilitators and published courses each allows, and the fees on a booking.

Written by Artur Binzaru

This guide is for course providers comparing Cademy plans or checking what their own plan includes. It shows how many admins, Facilitators and published courses each plan allows, the standard prices, which features each plan includes and the fees taken from a booking.

Your Cademy plan is what your business pays Cademy. It is separate from a membership that a learner buys from your business.

Admin: a team member with the System Admin or Course Owner role. Both count towards your plan's admin allowance.

Facilitator: a team member who runs or teaches courses, such as a trainer or instructor. Facilitators have their own, separate allowance.

Published course: a course that is published at the moment. Course dates and bookings are not counted as courses.

See Your Plan Details and Which Plan Your Account Is On

A System Admin can see the business's plan and its billing details in the Admin Dashboard.

  1. Open Settings, then Billing & Usage.

  2. On Free, look for Choose Your Plan and the plan marked Current. On a paid plan, the Plan section shows the current plan, whether it is paid monthly or yearly, its price and its renewal date.

  3. To compare plans from a paid account, select Change Plan. A Custom & Enterprise account does not have this button; contact Cademy Support about changes to your agreement.

Settings, Billing & Usage of an account on the Pro plan paid monthly. The Plan section has one card: Pro with the label Monthly, the line £119 a month · Renews 12 Oct 2026, and a Change Plan button. Below it the card Estimated this month shows £119, a row Pro plan, Renews 12 Oct, £119, the Total £119 and a Payment & Invoices button. The Change Plan and Payment & Invoices buttons are outlined.

Only a System Admin can open Billing & Usage. If you cannot open it, ask a System Admin for your business. For the public comparison, see Cademy pricing. Check your own account and agreement before relying on a standard allowance.

On the Free plan you can have 5 courses published at the same time. To publish more, Pro allows 20 and Teams allows 100. For more than 100, ask Cademy about a Custom & Enterprise agreement. Starter, an older plan that is no longer offered, allows 25, so moving from Starter to Pro lowers the published-course allowance from 25 to 20.

System Admins and Course Owners count towards the admin allowance. Facilitators have a separate allowance. The published-course allowance counts courses that are published, not the number of course dates or customer bookings.

Archived team members do not count towards their former role's allowance. Archiving also removes their access and changes their future assignments, so it is not just a billing adjustment. Read Remove a Team Member’s Access (Archive a User) before archiving. Reactivation checks the current allowance.

Each plan card in Billing & Usage also lists other allowances, such as yearly registrations, emails a day and a month, maximum upload size and total storage. These measure different things: total storage is not the maximum size of one upload, and a registration allowance is not the published-course allowance.

If an action reports a limit, keep the exact message and tell Cademy Support which task you were trying to complete. Do not remove people, bookings or course content simply to make a limit message disappear.

Add an Extra Admin (More System Admins Than Your Plan Allows)

Free and Pro allow 1 admin, so a business on either plan can have one System Admin or Course Owner. If you invite another person with one of these roles when the allowance is used, Cademy shows You have used 100% of the admin limit for your current plan and names the plan to upgrade to.

To give another person admin access, choose one of these:

  • Upgrade to Teams: Teams allows 5 admins. For the steps, see Manage Your Cademy Subscription.

  • Use the Facilitator role: if the person only runs or teaches courses, invite them as a Facilitator. Facilitators do not use the admin allowance. For what each role can do, see Invite a Team Member or Facilitator.

  • Free a place (Teams, or a business with more admins than its allowance): archive an admin who no longer needs access. The place becomes free for someone else. This does not work when your only admin place is held by the sole System Admin (for example on Free or Pro), and you cannot archive yourself or the only System Admin.

  • Ask about custom limits: for more admins than Teams allows, or a different allowance on your current plan, contact Cademy Support or select Book a Demo under Custom & Enterprise in Billing & Usage. Cademy can agree custom limits for an account.

Check the Current Number of Published Courses Against Your Limit

Only courses that are published count towards the published-course allowance. Unpublished courses, archived courses, course dates and bookings do not count. A course must be unpublished before it can be archived. A System Admin must check this count, because other roles see only their assigned courses.

  1. In the Admin Dashboard, open Courses and select the List layout. The Dates, Calendar and Timeline layouts have their own Published Courses view, which lists course dates instead of courses.

  2. Choose the Published Courses view. It lists one row for each course that is published now.

  3. Set Items Per Page at the bottom of the list to 100, so up to 100 courses show on one page. The list does not show a total.

  4. Count the rows, including any further pages, and compare the number with your plan's allowance in the table above.

When the allowance is used, publishing another course shows You have used 100% of your published courses limit, with the plan to upgrade to. To publish another course without changing plan, first unpublish a course you no longer need on sale.

How Much the Free, Pro and Teams Plans Cost (Monthly or Yearly)

The standard plan chooser lists Free, Pro and Teams, followed by Custom & Enterprise. An account on the Custom & Enterprise plan sees it named Enterprise in the Plan section. An account already on Starter can also see its existing Starter plan. Starter is not offered as a new plan. It costs £49 a month or £468 a year, and allows 1 admin, 2 Facilitators and 25 published courses.

These are the standard prices in pounds that the plan chooser shows:

In US dollars or euros, Pro is $149 or €149 a month, or $1,548 or €1,548 a year. Teams is $779 or €779 a month, or $7,788 or €7,788 a year. Cademy's pricing page states that prices exclude VAT where applicable. Stripe works out any tax from your billing address and shows the full amount before you pay.

To compare, select Pay Monthly or Pay Yearly, then the currency: GBP, USD or EUR. The currency is for your Cademy subscription, not the currency of a customer's order.

Settings, Billing & Usage of an account on the Free plan: the heading Choose Your Plan, the switches Pay Monthly / Pay Yearly (Pay Yearly selected) and GBP £ / USD $ / EUR € (GBP £ selected), and three cards. Free is marked Current, £0 /month, with a Manage button; Pro is £99 /month and Teams £499 /month, each with a Start Free Trial button and its list of features. Below them the card Custom & Enterprise has a Book a Demo button. The two switches and the Current label are outlined.

With Pay Yearly selected, a card's /month price is the monthly equivalent of the yearly price. You pay the yearly price once a year, not every month. Check the full charge, billing period, tax and any discount on Stripe's page before agreeing to pay.

If your account has not had a free trial, a Pro or Teams card shows Start Free Trial. The trial lasts 14 days and Stripe asks for a payment method when it starts. A free trial is not the same as the Free plan.

Free has no Cademy subscription charge. Instead, Cademy takes a 5% platform fee on bookings paid through Cademy, so you pay only when you sell. Free still has the limits above. Pro and Teams have a subscription charge, no Cademy platform fee and more features and allowances. For a tailored agreement, use Book a Demo under Custom & Enterprise. Single sign-on, custom limits and service-level agreements (SLAs) are listed there.

To start, change or stop a plan, see Manage Your Cademy Subscription.

Which Plan Includes SCORM, Deposits, Xero and Other Features

Compare plans by the task you need to do, as well as by price. The lists below are examples of standard plan features, not a complete list. Course imports are available on every standard plan, including Free.

  • Pro: private courses, custom brand colours, hiding the Cademy logos, invoices and manual payments at checkout, Zapier, and tracking code such as Google Analytics or a Facebook Pixel. Pro also includes Continuing Professional Development (CPD) points and hours, and Custom Labels for course buttons and labels.

  • Teams: the Pro features, plus deposits and monthly instalments at checkout, scheduled exports, custom email domains, SCORM courses (packaged online learning content), the Xero integration, Cademy for WordPress, conditional form fields, automatic VAT handling, and API access and webhooks for integrations.

  • Custom & Enterprise: a tailored agreement. Confirm the features, limits and support arrangements with Cademy rather than assuming a standard contract.

For the setup and conditions of two Pro features, see Set Up and Award CPD Points or Hours and Rename Course Buttons and Labels (Custom Labels). To set up API access, see Create and Manage API Keys. Deposits and Cademy's monthly instalments are separate from repayment options offered by Klarna or PayPal.

How Much It Costs to Add SCORM to Your Plan

SCORM is part of the Teams plan. It is not included in Free or Pro. To add SCORM to your account, move to Teams at the Teams price above, or ask Cademy to include it in a Custom & Enterprise agreement. For uploading SCORM content, see Add SCORM Learning Content.

Cademy Platform Fee and Payment Provider Fees on a Booking

Several different charges can apply when you use Cademy. Each has a different source:

  • Cademy subscription: the recurring charge for your business's plan.

  • Cademy platform fee: a fee on qualifying customer payments. For direct course bookings, the standard rate is 5% on Free and 0% on paid plans, unless your account has a different agreement. The same rate is used for the platform fee on gift card purchases and on a learner membership that is charged once and does not renew.

  • Marketplace fee: bookings made through the Cademy marketplace can carry a separate Marketplace fee. See Remove Your Profile or Listing From the Cademy Marketplace.

  • Payment processing fee: a separate charge from the payment provider, such as Stripe or PayPal. A 0% Cademy platform fee does not make payment processing free.

  • Add-ons and usage: charges for extra services you choose, such as AI credit purchases on accounts where those options are available.

On Free, Settings > Payments > Cademy Platform Fee includes Absorb Cademy Platform Fees. This controls whether your business pays the Cademy platform fee or passes it on to customers at checkout. It does not change the payment provider's processing rate. For how payments reach your bank account, see How You Get Paid for Bookings (Payouts and Fees).

Settings, Payments page of an account on the Free plan with no payment app connected; the Cademy Platform Fee section is first and expanded, and the heading Absorb Cademy Platform Fees with its switch is outlined

Example Fees on a £100 Booking

The payment provider charges the payment processing fee, and it differs by payment method and card. The payment processing fee is typically 1.5% + 20p per transaction for UK card payments. The two examples below use that typical rate and the standard platform rates.

For a £100 direct booking, such as one made through your minisite, on the Free plan, when your business absorbs the platform fee:

  • Platform fee: £5.00

  • Payment processing fee: £1.70

  • Total fee: £6.70 (6.7% of the total booking)

  • Net Payout: £93.30

For a £100 direct booking, such as one made through your minisite, on any paid plan:

  • Payment processing fee: £1.70

  • Total fee: £1.70 (1.7% of the total booking)

  • Net Payout: £98.30

Do not use a single fee example as a quotation for every payment. The payment method, currency, provider agreement and your account's terms decide the charges that apply.

Custom or Older Account Terms (You Are on a Custom Plan)

The warning You are on a custom plan means your account has custom limit settings. For what custom limits are and what happens to them when you change plan, see What Does “You Are on a Custom Plan” Mean?.

Before changing an account with agreed exceptions or older terms, ask Cademy Support to confirm the features, limits and charges that would apply after the change. Include your business name, current plan and the plan you are considering. Do not send card details.

AI Credits on Your Cademy Plan

AI credits are used by Cademy AI features. The credit-management pages are available only on accounts where they have been switched on; not seeing them does not mean your balance is zero. Where they are shown, each plan card lists its monthly AI credits: 30 on Free, 100 on Pro and 500 on Teams.

If your account has Your Add-Ons in Settings > Billing & Usage, open AI Credits. Check Available now, the allowance reset date and the expiry dates of additional credits. Activity shows credits used or added.

Where offered, Top-Up is a one-off purchase, Monthly Pack provides recurring additional credits, and Pay-As-You-Go charges for use after other credits run out, up to a monthly spending cap. Check the prices, renewal and expiry terms on your account before choosing an option. These charges are separate from customer payments and your main Cademy plan.

Frequently Asked Questions

Does a paid plan remove all fees?
No. A paid plan's standard 0% Cademy platform fee does not remove payment provider processing charges, the subscription charge or add-ons you buy separately.

Does a Course Owner count as an admin?
Yes. System Admins and Course Owners count towards the same admin allowance. Facilitators are counted separately.

Does switching the comparison to Pay Yearly change my subscription?
No. It changes the prices shown in the comparison. Starting or changing a subscription needs you to complete Stripe's confirmation. For the steps, see Manage Your Cademy Subscription.
