Step-by-Step Instructions
The steps below describe the full process for importing organisations using a CSV or Excel file.
1. Open Organisations Import
Open the admin dashboard: https://admin.cademy.io
Go to Settings.
Select Imports.
Select Organisations Import.
2. Download the example file (optional)
Use the example template to understand the correct column structure.
Open the Import organisations modal.
Select the link to view the example file.
Review the column names.
Make a copy or download the file as CSV or Excel.

3. Upload your file
Return to Settings > Imports > Organisations Import.
Drag and drop your file into the upload area or select Select file.
After the file uploads, select Next.
4. Configure your import (field mapping)
In this step, you map your spreadsheet columns to Cademy fields.
What mapping means
Mapping tells Cademy which column in your file belongs to which Cademy field.
Each Cademy field must receive information from either:
A CSV column
A fixed value (applied to every row)
Do not import (ignored)
Value Source options
CSV column – use a column from your file.
Fixed value – set one value for all rows.
Do not import – skip this field.

When all required mappings are complete, select Next.
5. Choose update options and run the import
On the final screen, review the number of records detected.
You can enable or disable Update existing organisations.
If enabled, Cademy will match and update existing organisations using the logic below.
Deduplication Logic
How Cademy finds and updates existing organisations:
First, we'll try to match by Cademy ID (if mapped in your file).
If not found, we'll try to match by Domains (if any domain matches).
If still not found, we'll try to match by Organisation Name.
If no existing organisation is found, a new one will be created.
Select Import Data to start the import.
6. Monitor status and review results
After starting the import:
Status shows PROCESSING.
When finished, it changes to PROCESSED.
If some data does not meet the required format, the import may show FAILED.
You will receive an email when the import completes.
In the Your Imports table, review:
Type
Date
Imported count
Failed count
Source
Status (PROCESSING, PROCESSED, or FAILED)
You can:
Select the Imported number to see successful rows.
Select the Failed number to review rows that did not import.
Use the eye icon to open any specific imported or failed record.
Note: If any values in your CSV do not match Cademy’s required formats (for example, invalid domains or unsupported field types), those rows will fail to import.
You will receive a summary email listing all errors.
Pro Tips
Use Fixed value for fields that should be identical for all organisations.
Use the Domain field to ensure better matching with existing organisations.
Test your import using a file with one or two rows first.
Keep a backup copy of your file before importing.
