Managing Orders, Invoices, Payments and Credit Notes

All your billing lives in one place: four tabs - Orders, Invoices, Payments, and Credit Notes - each a filterable, searchable table where clicking any row opens the full record in a side panel. This article is a tour of what each tab shows and how to find things fast.


Orders

The starting point: every order with its contact, courses, status, and totals. Open an order to see the full order document - who's billed, every participant and price, and each invoice with its payments, credit notes, and refunds nested inside it.


Invoices

The Invoices tab lists every invoice: Number, Customer, Order, Issued, Due, Status, Total, and Amount Due. Sort by most columns, choose which columns to show, and export the list. Search finds invoices by invoice number (including Xero numbers), customer name or email, or order ID.

Statuses at a glance: Draft, Awaiting Payment, Partially Paid, Overdue, Paid, Void. Click a row for the invoice panel with its actions - issuing, requesting payment, recording payments, refunding, and voiding & reissuing.


Payments

Every payment and refund across all orders: Date, Type (Payment or Refund), Provider (Manual, Stripe, PayPal, Xero, Gift Card), Amount (refunds shown negative), Status, and the Invoice and Order it belongs to. Search by invoice number, provider reference, or order ID, and export the list.

Statuses include Pending, Awaiting Approval, Succeeded, Failed, Cancelled, Refunded, and Partially Refunded. A settled payment's menu offers Refund… directly from this table (for refundable payment methods).


Credit Notes

Every credit note: Number, Customer, Corrects (the invoice it corrects), Reason, Issued, Amount, Refunded, and Remaining. Search by credit note or invoice number. The Has Remaining Credit toggle filters to credit notes still holding value - the quickest way to see outstanding customer credit.

Export orders and billing data

The Orders table can export one row per Order or Participant. When Flexible Billing is available, it can also export one row per Invoice or Invoice Line Item.

A course or course-date filtered Invoice export includes the complete invoice and its full totals when at least one invoice line matches. A Line Item export includes only the matching invoice lines.

The standalone Invoices page can export All Columns, Visible Columns or selected columns. The Payments page exports the complete payment column set.

Everything opens from everywhere

You don't have to start at the hub. Invoice and credit-note panels open from wherever you meet them - an order, a contact or organisation page, a course's registrations - so a question like "what's this payment about?" is always one click from its answer: the payment shows its invoice, the invoice shows its order, and the order shows the whole story.
