View Email History for Contacts, Team Members, Orders and Registrations

Find recorded outgoing emails, check their delivery status, and resend or forward messages where available.

This guide is for course providers using the Cademy Admin dashboard. It explains where to find recent outgoing emails, how to check what happened to them, and how to send a copy again.

Contact = the person. Use the contact's Emails tab when you want to check outgoing emails recorded as activity for that person.

Order = the booking. Use the order's Emails section when you want messages connected to the whole booking, including messages for the person who booked and other people linked to it.

Registration = one person's place on a course. Use the registration's Emails section when you want messages connected to that participant's place.

Team member = a person with Cademy admin access. Use the team member's Messages tab when you want to check emails Cademy sent to that Facilitator, Course Owner or System Admin.

What each user role can see

  • System Admin: Can use the Emails tab on a Contact, the Messages tab on a team member, and the Emails sections on Orders and Registrations.

  • Course Owner or Facilitator: Cannot see these email-history tools, including their own team-member history. Ask a System Admin to check the email.

Choose where to look:

  • To check recent outgoing emails recorded for one person, open the Contact.

  • To check messages connected to a whole booking, open the Order.

  • To check messages connected to one participant's place, open the Registration.

  • To check emails sent to a Facilitator, Course Owner or System Admin, open the team member.

Inbox is not a general Sent folder. Inbox shows conversations. Use the Contact, team member, Order or Registration email history to check an outgoing email.


View emails recorded for a contact

  1. Go to https://admin.cademy.io and log in as a System Admin.

  2. Select Contacts.

  3. Search for the person, then open their contact record.

  4. In the Activity area, select Emails. On a smaller screen, select Activity first, then Emails.

  5. Find the email by its subject, date, time and status.

  6. Select the email to open View Message.

The Emails tab shows outgoing emails recorded as activity for that contact, with the newest activity first. It can include messages sent from Contacts and other outgoing messages recorded for that person.

An email sent from Contacts is recorded for the contact. Because it was not sent from a particular booking or participant place, it is not automatically added to an Order or Registration email history.


View emails sent to a team member

  1. Go to https://admin.cademy.io and log in as a System Admin.

  2. Select Users & Facilitators.

  3. Search for the person, then open their team-member page.

  4. Select Messages.

  5. Find the email by its subject, status and sent date. The newest message appears first.

  6. Select the email row to open View Message.

The number on the Messages tab shows the total recorded emails for that team member. The list shows 25 messages per page by default. Use the page controls or change the page size when more messages are available. The team-member Messages tab does not currently include search or filters.

The history can include assignment and removal emails, course-date reminders, order and administrative notifications, quiz alerts and import or export results recorded for that team member.

System Admins can also select Archived from Users & Facilitators, open an archived team member and view their recorded email history. Archiving a user does not remove these emails.

History starts from 28 July 2026. Earlier emails do not appear. User invitation and account-access emails are not included in the Messages tab. When no emails have been recorded, the tab has no number and shows the empty-history explanation.

The history only includes emails sent by the course-provider account you are currently using. Emails sent to the same person by another course provider do not appear.


View emails connected to an order

  1. Open the order from Orders in the main menu, or from the Orders tab inside a course. Use search or filters if you need to find it first.

  2. In the order side panel, scroll below Invoices & Payments.

  3. Select Emails to open the section.

  4. Find the message by its subject, recipient, date, time and status.

  5. Select the message to open View Message.

The order history shows emails connected to the booking, with the newest first. A recipient can be marked Billing when they are an external billing recipient or Staff when they are an administrator. Participant recipients do not have either label.

Depending on what was sent and recorded for the booking, the list can include order confirmations, invoice or payment emails, participant emails, bulk emails and staff notifications.

The first 10 messages are shown. If there are more, select Load More. The line above the list shows how many emails are currently displayed.


View emails connected to a registration

  1. Open the registration from Registrations in the main menu, from Registrants inside a course, or from the participant listed on an order. On the main Registrations page, you can search by name, email address or Registration code.

  2. In the registration side panel, scroll below Certificate.

  3. Select Emails to open the section.

  4. Find the message by its subject, recipient, date, time and status.

  5. Select the message to open View Message.

The registration history shows emails connected to that participant's place, with the newest first. It can also include a booking email sent to the same person when Cademy can connect it to that order and participant. It does not include an order email sent only to a separate billing address, a staff recipient or another participant.

The first 10 messages are shown. Select Load More if you need to see older messages.


Understand the email status

The status shows the latest delivery information Cademy has received. It does not always prove that a person read the email.

Being prepared or sent

  • Pending or Sending: The email is being prepared or processed. Delivery is not confirmed yet.

  • Sent: Cademy handed the email to the delivery service. This does not confirm that the recipient's mail server accepted it.

Accepted or interacted with

  • Delivered: The recipient's mail server accepted the email. It may still be filtered into spam or another folder, and it does not mean the person read it.

  • Opened: The email's tracking image was loaded. Privacy tools and security scanners can affect this status, so it is not proof that the intended person read the message.

  • Clicked: A tracked link in the email was requested. Security scanners can affect this status, so it is not proof that the intended person selected the link.

Delayed, stopped or unsuccessful

  • Delivery delay: Delivery is temporarily delayed and the delivery service is still trying.

  • Bounced: The recipient's mail server rejected the email or could not deliver it.

  • Complaint: The recipient or their mail provider reported the email as spam. Contact Cademy Support before trying again.

  • Rejected: The delivery service rejected the email before delivery.

  • Rendering failure: The email could not be prepared correctly for sending.

  • Failed: The send attempt did not complete successfully.

  • Blocked: The email was prepared but not sent because emailing is switched off for the course provider's account. Contact Cademy Support to enable emailing.

If a reason is available for a bounced, rejected or failed message, it appears on the email row or inside View Message.


Open the message

Select an email row to open View Message. It shows the recorded:

  • To address

  • From address

  • Subject

  • Status

  • Sent date and time, or Prepared date and time for a blocked message

  • Message content

  • Attachment filenames, when recorded

  • Available failure details

Resend to the original recipient

  1. Open the email in View Message.

  2. Select Resend.

  3. Confirm the action.

  4. Wait for Email has been resent successfully.

Resend sends a new copy of the original subject, content and attachments to the original recorded email address. It does not use a newly edited address. The original remains in the history and the resent copy appears as a new message.

If the original address is wrong, do not use Resend. For a Contact, Order or Registration email, correct the contact details, then use Forward and choose the correct contact. Team-member messages cannot be forwarded. A team member's email address is linked to their Cademy login. Forward to a different contact

Forward is available when you open an email from a Contact, Order or Registration. It is not available from a team member's Messages tab.

  1. Open the email in View Message.

  2. Select Forward.

  3. Choose an existing contact with an email address, or create a new contact.

  4. Confirm the action.

  5. Wait for Message has been forwarded successfully.

Forward sends a new copy of the original subject and content to the selected contact. It includes original attachments that are still available. The forwarded copy is recorded for the new contact. If the original message was linked to an order or registration, the forwarded copy keeps that link.

The new copy can take a short time to appear. Close and reopen Emails, or refresh the record, if you need to see it immediately.


If an email is missing

  • Check the correct record: An email sent to a Facilitator, Course Owner or System Admin may be on the team member's Messages tab. A message sent from Contacts may be on the Contact but not on an Order or Registration. A booking message may be on the Order but not on every Registration.

  • Check older history: Team-member history starts from 28 July 2026. Order and Registration connections started on 28 July 2026 for automatic emails and 7 August 2026 for bulk emails. Earlier messages may not appear in those sections.

  • No history has been recorded: A team member shows No messages yet. Emails sent to this team member from 28 July 2026 onwards will appear here. The Order shows No emails recorded for this order yet. Emails sent before August 2026 may not appear here. A Registration shows the same explanation using participant instead of order.

  • Check your role: Only System Admins can see Contact, team-member, Order and Registration email history.

  • Load older results: Use the page controls on a team member. Select Load More on an Order or Registration. If loading fails, select Try Again.

  • A recently sent team-member email is missing: Allow a few minutes, then refresh the team-member page and check Messages again. Delivery statuses can also update after the email first appears.

  • The team-member message list will not load: Refresh the page. If the problem continues, contact Cademy Support with the team member's details.

  • Message content will not load: Try again. If the problem continues, contact Cademy Support with the contact, team member, order or registration details.

  • Resend fails: Emailing may be switched off, or an original attachment may no longer be available. Contact Cademy Support if the message still cannot be resent.

Can I see one report for a whole bulk send?

No. Cademy does not currently provide one report showing the delivery result for an entire bulk send. Check the status of each relevant email from the Contact, Order or Registration history.


Frequently asked questions

Where can I see the most recent emails sent to someone?
For a contact, open their Contact record and select Emails in the Activity area. For a Facilitator, Course Owner or System Admin, open their team-member page and select Messages. If you are checking a particular booking or course place, also check the related Order or Registration.

Why is an email on the Contact but not on the Order or Registration?
An email sent from Contacts is recorded for the Contact. It is not automatically linked to an Order or Registration because it was not sent from that booking or participant place.

Why is an email on the Order but not on every Registration?
The Order contains the whole booking, while each Registration belongs to one participant's place. Cademy only shows a message on a Registration when it can connect the message to that participant.

Why can I not find the email in Inbox?
Inbox shows conversations and is not a general Sent folder. Check the Contact, Order or Registration email history instead.

Does Delivered mean the email reached the person's inbox?
No. It means the recipient's mail server accepted the email. The server can still place it in spam or another folder.

Does Opened prove that the person read the email?
No. Open tracking can be affected by blocked images, privacy protection and automated security scanners.

Can I resend to a different email address?
Resend always uses the original recorded address. Where Forward is available, use it to send the copy to a different or corrected contact. Team-member messages cannot be forwarded.

Why is a team member's invitation email missing?
User invitation and account-access emails are not included in the team member's Messages history. For a pending user, open their team-member page, open the user actions menu and select Resend Invite.

Why can I see more emails on the Order than on one Registration?
The Order can include messages for the booking owner, participants, billing recipients and staff. A Registration is limited to messages connected to one participant's place.

Why does one guest invitation appear on more than one Registration?
If the same person has several places on one order, an older guest invitation that was saved only against the order can appear on more than one of that person's Registrations. Check the recipient, subject and sent time before resending.

Does opening the Emails section send anything?
No. Opening the section only loads the recorded history. Nothing is sent unless you select and confirm Resend or, where available, Forward.
