Use this guide to understand answers collected through a General or Feedback form. Form reports show question summaries, help you compare groups of responses, and let you download charts or answer data. A response is one submitted set of answers, not necessarily one unique person.
You need Course Owner or System Admin access to Forms. The Reports tab and question-answer filters are available only when form reporting is enabled for your business account. Once enabled, Reports is available on every Cademy plan. If Reports is not shown, use Responses and Analytics and ask Cademy Support to check availability for your account. Checkout forms do not have these form reports.
Responses, Reports and Analytics Compared
Where to look | What it tells you |
Responses inside a form | Individual submissions, their answers and internal notes. Use it to read or correct a response and choose table columns. |
Reports inside a form | Summaries of that one form’s current questions, including charts, answer counts and text answers. Use filters to choose the responses included. |
Analytics inside a form | Recorded form views, response totals and conversion over time. It does not summarise what people answered. |
Reports in the main menu | Sales figures. This is separate from a form’s question reports. |
For individual submissions and Analytics, see View and Manage Form Responses. Form reports cover one form at a time; they do not combine answers from different forms.
View form reports
In the Admin Dashboard, open Forms. Select the General or Feedback form you want to review.
Open Reports, after Responses in the form’s tabs.
Read the response count above the cards. Each card summarises one supported question. The cards follow the question order in the form.
Answer counts and percentages
The response total is the number of submissions included in the report. Each question has its own answered count. Chart percentages use the people who answered that question, rather than every response to the form. For example, 6 people choosing an option out of 10 people answering gives 60%, even if the report contains 12 responses.
For public questions, no answer counts saved empty answers. This includes skipped questions and questions hidden by a condition. A response with no saved entry for a question, such as a submission from before that question existed or an imported review without that answer, is not included in either of the question’s counts. The two counts therefore do not always add up to the report total.
A conditional question’s card explains that No answer includes people who did not see it. A blank is not proof that someone saw or refused to answer the question. For the setup and limits, see Show or Hide Form Fields with Conditions.
Questions filled in by your team carry an Internal badge. Their blank count includes every matching response without an internal value. Reporting an internal question does not put it on the public form.
Supported question types
Question | What the report shows |
Single-choice questions and dropdowns | One bar per option, with its answer count and percentage. Current options with no answers remain at zero. |
Multiple Choice Checkboxes | How many people selected each option. One person can select several options, so percentages can add up to more than 100%. |
True/False | The split between Yes and No. |
Star ratings | The Average and the number of answers at each rating. |
Scales | The Average and the answers at each scale point. An exact 0–10 scale also has Recommend Score (NPS). |
Numbers | Average, Median, Range and columns grouping the answers into number ranges. Median is the middle value; Range shows the lowest and highest values. |
Text, long text, Website, Date and Date and Time | A preview of the newest answers, with a route to the full answer list. |
Names, email addresses, phone numbers, addresses, file uploads, statements and reference fields are left out of Reports. They can still be part of an individual response. A form with only these fields has no questions to chart.
NPS scores for 0–10 scales
Recommend Score (NPS) groups answers as Detractors (0–6), Passives (7–8) and Promoters (9–10). The score is the percentage of promoters minus the percentage of detractors, rounded to a whole number. It ranges from -100 to +100. For example, 60% promoters and 20% detractors gives +40.
Cademy shows this calculation for any scale whose minimum is exactly 0 and maximum is exactly 10. Read the question before interpreting the score: a 0–10 question about difficulty is not automatically a recommendation measure. Other scale ranges show their average and distribution without NPS.
Filter form reports
Use Filter to choose submissions by Submitted date or Source. Feedback forms also offer filters such as Review Status, Has Review, Rating, Course, Course Date and Facilitator. Course Date is when the course starts; Submitted is when the answer arrived.
Filter by a question’s answer
Open Forms → your form → Reports and select Filter.
Choose Answer: [question label] for a choice, checkbox, True/False, rating or scale question.
Choose is any of, is none of, has no answer or has an answer. For the first two conditions, select the relevant answers.
Check the filter chip and response total. Every card uses the matching responses. Change the chip or remove the rule when you need a different group.
You can select more than one value with is any of. For checkboxes, a response matches if it contains any selected option. is none of also includes responses without an answer; add has an answer with AND if you need to exclude those blanks. Text, number, date and website answers do not offer these question-answer filters.
has no answer includes responses with no saved entry for the question as well as saved blanks. Its matching total can therefore be larger than the question card’s no answer count.
Filter reports from a chart
Select a choice bar, a rating or scale column, or the Yes or No label on a True/False card to filter by that answer. The response count and other cards update. Selecting answers on different questions combines those rules with AND, so a response must match both. Number-range columns and text answers do not apply answer filters.
When answer rules are combined with AND and one answer to a single-choice, True/False, rating or scale question is selected, that question’s chart is hidden and says Filtered on this question. Use its Clear Filter button to restore the chart, or edit the filter chip to change or add values. Checkbox charts remain visible so you can see the other options those people chose. When selected bars remain visible, selecting another option on the same question adds it to that question’s is any of rule.
Filtered results and comparison marks
When answer rules are combined with AND, the report compares Matching responses with Without answer filters. The comparison removes question-answer rules but keeps other conditions, such as Course, Submitted and Source. Chart marks and the extra average or NPS figures show this comparison. It is not necessarily a comparison against every response to the form.
For example, if you filter to one course and one answer, the comparison keeps that course and removes the answer condition. If an answer rule is inside an OR group, the comparison marks and figures are not shown. The selected response group is still reported.
Use saved views and open responses
The Responses and Reports tabs share saved views and applied filters for this form. Use the saved-view dropdown to choose a view. To arrange table columns or sorting, open Responses and use View; Reports does not have table display controls. See Filter, Sort and Save Views for saving a setup.
Select View Responses on a question card to open this form’s Responses tab with the same view and applied filters. This does not add a filter for that question. Name/email Search and table page numbers do not carry between tabs. Reports has no name/email search, and Search on Responses does not narrow the report.
View and search text answers
Open Forms → your form → Reports and find the text, website or date question. The card previews the three newest answers.
Select Show All [number] Answers. The All Answers panel lists this question’s matching answers, newest first, 25 per page.
Use Search answers to search the answer text. Use Previous and Next for the other pages. This search is separate from the name/email search on Responses.
Select a respondent’s name to open that person’s full response. Close that response to return to the answers.
The answer panel respects the report’s applied filters. Searching inside the panel narrows its list only; it does not filter the report charts or CSV export.
Feedback reports and imported reviews
Open Forms → your Feedback form → Reports. Ratings and other supported questions use the same report cards as General forms. The count above the cards identifies responses imported from reviews when any are included. Imported responses can have ratings or review text without answers to the form’s other questions.
To exclude imports, select Filter → Source, choose is none of and select Imported. Check the active chip and count before comparing ratings. Filtering to a Course, Course Date or Facilitator lets you review that group within this form; it does not merge feedback from other forms. Review publication status remains separate from whether a response exists.
Export PDF charts or CSV responses
Action on Reports | Result |
Print PDF | Opens your browser’s print dialog for the report charts, form title and applied filters. Choose a PDF destination in that dialog to save a PDF. |
Export CSV… | Generates a spreadsheet file of the responses matching the report filters. It contains answer data, not chart images or chart percentages. |
Save report charts as PDF
Open Forms → your form → Reports, choose the filters and wait for the charts to finish loading.
Open the three-dot menu and select Print PDF.
In your browser’s print dialog, choose a PDF destination. Review all pages, including the form title, filter description and charts, then save the file.
The PDF prints the question cards. A text question includes the preview shown on its card, rather than every answer in the All Answers panel. Use CSV if you need the complete matching answer data. Check the print preview before sharing, including any internal question summaries.
Export form responses as CSV
Open Forms → your form → Reports and check the applied filters and matching response count.
Open the three-dot menu and select Export CSV…. The export starts without a separate column-selection step.
When the file is ready, select Download CSV. Open it in your spreadsheet app and check the records and columns before sharing.
A Reports CSV includes all available supported export columns, regardless of which columns are visible on Responses. These include submission and source details, answer and internal fields, available course/review or lesson context, and campaign details. Supported answers to removed questions are included from stored responses too. File uploads and Statement fields are excluded; addresses are split into separate columns.
If you need selected columns, use Responses → View → Columns and export from Responses instead. That export uses the supported visible columns in their displayed order, with an all-column fallback when none are supported. Neither route uses name/email Search or limits the file to one table page. Form exports do not offer scheduled repeat exports. System Admins can also find generated files under Settings → Exports.
Missing answers, changed questions and report errors
No answers to chart yet: the form has no responses. For a General form, use its Share route to collect submissions, as explained in Create and Share a General Form; for Feedback setup, see Set Up Course Feedback Forms and Reviews.
No responses match your filters: check the chosen view and conditions. Select Clear Filters to remove them.
This form has no questions to chart: responses exist, but the current form has no supported report questions. Open Responses to read the stored submissions.
The charts could not be loaded: select Try Again. If the error continues, give Cademy Support the form name and error shown.
Reports use the current form’s question labels and supported fields. Removing a public question in Form Editor removes its card, but its saved answers remain readable inside individual responses. Deleting an internal column with Delete Column… permanently removes that column’s saved values; those deleted values are not recoverable through a CSV export. A renamed or removed choice option keeps its earlier answers under No longer an option; changing an option’s wording does not combine its past values with the replacement.
After changing a form, review any saved filters before relying on the totals. If a question is removed, its linked field is deleted, or its type no longer supports answer filtering, its old answer rule is ignored when loading lists, reports, text answers and exports. Other rules remain. A saved view can still contain the old rule, so the results can be wider than you expect. Update the view with valid current filters.
Frequently asked questions
Can I combine reports from multiple forms?
No. A form report covers one General or Feedback form. The main-menu Reviews area provides separate review management across forms.
Why do my question counts not add up to the response total?
The card’s public answered and no-answer counts use saved entries for that question. Older submissions and imported reviews can have no entry, so they are in neither count. Internal blanks are counted differently and include every matching response without an internal value.
Why does a checkbox chart add up to more than 100%?
Each percentage counts people who selected that option. One person can select more than one.
Why did my chart disappear after I selected an answer?
A question with only one selected answer can show Filtered on this question instead of repeating a full chart. Select Clear Filter on that card, or edit the answer-filter chip.
Why is an answer missing from the report but present in a response?
Reports leave out unsupported fields and questions removed from the current form. Open the individual response to read its stored information.
