The Activity Log helps course providers investigate recorded changes and data access across their business account. Use it to find who changed a venue or contact, who exported records, or which account signed in.
You need the System Admin role and an account that includes Activity Log. It is included in the Custom & Enterprise plan, which is shown as Enterprise in Billing & Usage. Having custom limits on Free, Starter, Pro or Teams does not itself give access to Activity Log. See Compare Cademy Plans and Prices and Why Does Cademy Say I’m on a Custom Plan?.
The log shows recorded actions, not a complete copy of everything that has ever happened. It is separate from learner lesson progress and email delivery history. Viewing an entry does not undo its action.
Open Your Account’s Activity Log
Sign in to the Admin Dashboard and check that you are in the intended business account.
Open Settings.
Under Tools, select Activity Log.
Start with All Activity. The list shows the newest entries first, with 50 entries per page by default. Use the page controls to see older entries.
Read the columns from left to right:
When: when the action happened, shown in the business account’s time zone.
Who: the person, connection or system credited with the action.
Action: what happened, such as Venue Updated or Sign-in Failed.
Record: the affected item, such as a venue, contact or order. An import can show a summary here.
Through: where the action came from, such as AdminUI or an integration.
Select an entry to open its details beside the list. The details show the full time, including UTC, the channel and any recorded changes. A record link opens the related item when that item has an available page.
If the page is locked, select Compare Plans to see your plan options. Course Owners and Facilitators cannot open Activity Log, even when the business has an eligible plan. See Choose a User Role for a Team Member if you need to check your role.
Find Out Who Changed a Venue, Contact or Other Record
A record is one saved item in Cademy, such as a contact, venue, course or order. The Record filter finds entries associated with that item.
In Settings > Tools > Activity Log, choose All Activity.
Select Filter, then Record.
Search for the item and select it from the results. Results are grouped by record type, so check both the name and type.
Add Date if you want to narrow the period. Check any other active filters, because they also limit the results.
Select the relevant entry. Check Who, When, Through and Changes. Where old and new values are available, the change runs from the old value to the new value.
If Same Request appears, select Show to see related entries created by the same action. Select one to inspect it.
For example, editing a shared venue can update dates that use it. The venue’s entry can show its address change, while Same Request lists related date updates. This helps explain why several dates changed together.
To keep a reference to one entry, open it and copy the page address from your browser. Someone opening that link still needs access to the same account’s Activity Log.
Check Sign-ins or Data Exports
Built-in views narrow the Activity Log to common kinds of action. Open the button showing the current view name, such as All Activity, and choose:
All Activity: all recorded activity within the available history.
Sign-ins: successful and failed admin sign-in entries.
Data Access: recorded exports, downloads and other access to account data, including recorded integration or AI reads.
Team & Keys: team-member and access-key changes, including invitations and revoked connections.
To investigate a failed sign-in, choose Sign-ins, then open its existing Action filter and keep only Sign-in Failed selected. Add a Person or Date filter if needed, then open a matching entry.
To investigate an export, choose Data Access. Open its existing Action filter and keep only the export action you need, such as Export Created or Export Downloaded, selected. Then open a matching entry. Export Created records the export request. Export Downloaded records a working download link being provided, including in an email; it does not prove that the file was opened or downloaded.
Sign-in and data-access entries can show IP Address and Browser when those details were recorded. Ordinary record-change entries do not show them. An IP address identifies a connection, not necessarily one person or a precise physical location.
Narrow the Activity Log with Filters
Select Filter above the Activity Log to add one of these conditions:
Action: choose the kind of action, such as Contact Updated or Sign-in Failed.
Date: choose a period or date range.
Person: choose a person or recorded actor. Choose Me for your own activity.
Record: choose the item you want to investigate.
Through: choose the channel the action came through.
You can combine different filters. An entry must match all the conditions. For example, Person = Me and Through = AdminUI shows your matching actions through the admin dashboard. Each filter can be added once; edit its existing condition to change it.
Remove a condition with its cross to widen the results. If No activity matches these filters appears, use Clear Filters or widen the conditions. Activity Log has no general text-search box or Advanced Filter option; use Record to search for a specific item.
The list displays account-local times, while calendar-day filters use UTC day boundaries. If you are investigating an action near midnight, widen the date range and check the full local and UTC time in the entry details.
Save an Activity Log View
Save a useful Activity Log filter setup if you will need it again:
Start from All Activity and choose the filters you want.
Select Save View.
Give the view a clear name under Icon and name.
Under Who can see it, leave Only Me selected for a private view, or choose Everyone for a shared view.
Select Save View, then reopen the view from the view-name menu to check it.
A shared view does not give another person permission to open Activity Log. For updating, renaming or favouriting a saved view, see Find Records with Filters and Saved Views.
See the Individual Changes in an Import or Bulk Action
Imports and bulk actions can appear as one summary row instead of filling All Activity with every individual change. The row can show counts and a Running or Failed label where applicable.
In Activity Log, choose All Activity and find the import or bulk-action summary.
Select Show Changes on that row. An Import condition identifies the operation, and the list shows its associated entries.
Select an individual entry to inspect what happened to that record.
Remove the Import condition when you want to return to the wider list.
You can also use Record to find an imported contact’s own entries. Other active filters still apply. Some imports record that an item was updated without keeping every old and new field value; an entry with no field-by-field comparison does not mean that nothing changed.
Why Are Values Hidden or Records Marked Deleted in the Activity Log?
The Activity Log does not display every previous value. Under Changes, these messages explain missing values:
Changed (hidden for security): the value is deliberately hidden, for example sensitive payment instructions or a webhook URL.
Changed (too long to show): the content was too long to keep as a displayed value.
Changed (value not stored): the change was recorded without retaining the value.
Empty means that the displayed side of a change has no value; it is different from a hidden value.
A deleted record can retain its recorded name with a Deleted badge. Its entry does not link to the deleted record or provide a recoverable copy of all its details. Activity Log has no restore or undo action.
Why an Action Is Missing from the Activity Log
Activity Log shows up to the last 12 months. Recording began on 10 October 2026, and different kinds of action began being recorded at different times. The start date at the end of the list does not mean every kind of action has history from that day.
Before concluding that an action did not happen:
Check the business account and select All Activity.
Remove filters that could hide the entry, including an Import condition left by Show Changes.
Widen the Date range and check the time-zone difference if the action was near midnight.
Check whether the action is within the available history. An action before recording began for that kind of event will not appear retrospectively.
Some activity is outside this log. Learner lesson views and progress are not recorded here. Some automatic integration changes and other background actions are also not recorded, so an empty result is not proof that no change happened.
No activity recorded yet means there are no entries to display in the unfiltered list. No activity matches these filters means your selected conditions have no matches.
Frequently Asked Questions
Can I export the Activity Log?
No. Activity Log does not offer an export or download of the log. Exporting contacts, orders or other records is a separate feature.
Can I undo a change from the Activity Log?
No. The log helps you investigate. If the record still exists, open it and use its normal editing controls to make a correction, after checking what needs to change.
Does looking at the Activity Log create more entries?
No. Opening, filtering and reading the Activity Log do not create entries for those views.
