Manage Course and Profile Reviews

Learn how course and profile reviews work, request feedback, control where reviews appear, respond to reviews, and remove or report a review.

This guide is for course providers and learners using Cademy. It covers the complete review journey, from requesting a review to deciding where it appears.

Hiding, removing and deleting are different.

Hide Public Reviews changes where reviews and ratings appear across your account. Removing the Reviews section changes one course page. Deleting a review removes the review itself.

Every Cademy review includes an overall rating from 1 to 5 stars. The learner can also add:

  • Public Message: Optional text that appears with the review.

  • Private Message: Optional feedback visible only to the course provider in Cademy Inbox.

A course review also asks the learner to rate all six areas: Material, Facilitator, Organiser, Resources, Location/Delivery and Communication.

Verified and Unverified reviews

  • Verified: The learner is logged in with a Cademy account that can be matched to an eligible booking or registration. For a course review, the match must be for that course.

  • Unverified: Cademy cannot match the account to the required booking or registration. The review is still published with an Unverified badge.

Imported Google Maps reviews do not show a Cademy Verified or Unverified badge.


Leave a review as a learner

  1. Open the review link supplied by the course provider, or select Add Review on the relevant course or provider Reviews page.

  2. Log in to Cademy. Use the same account and email address used for the booking if you want Cademy to check whether the review is Verified.

  3. Select an overall rating from 1 to 5 stars, then select Next.

  4. Add a Public Message, a Private Message, both or neither. Each message can contain up to 500 characters. Select Next.

  5. For a course review, rate all six areas shown on the next screen, then select Next.

  6. Wait for the Congratulations confirmation.

One active review per account. A learner can have one active review for each course and one active profile review for each course provider. A learner who deletes their review can submit a new one.


Request reviews from learners

Send a course review link manually

  1. In the Admin dashboard, open Courses and select the course.

  2. Open the relevant Orders or Registrations list.

  3. Select the people you want to email, then select Email.

  4. Add your subject and message.

  5. Place the cursor where the link should appear. Select Mail Merge, then choose Review Capture Link.

  6. Select Preview. Check that the link opens the correct course review page.

  7. Select Send.

You can also add Review Capture Link to a saved email template. See Using Mail Merge Tags in Emails.

Choose the correct record. An Order or Registration supplies a course context. An email sent from Contacts has no single course context, so its Review Capture Link opens the provider profile review page instead.

Send an automatic day-after request

  1. Open Courses, select the course, then select Edit Course.

  2. Select Settings, then Emails.

  3. Switch on Day After Follow-up Email.

  4. Choose the follow-up template and select Save.

  5. Mark each eligible participant Attended before Cademy checks the session about 24 hours after it ends.

The default follow-up template contains an Add a Review button for the course. On-demand courses have no date-based day-after follow-up. For all eligibility, guest and timing rules, see Set Up Automatic Course Confirmation, Reminder and Follow-up Emails.

A missed follow-up is not sent later. If attendance is recorded after the check has passed, send a manual email to the relevant Orders or Registrations.


Know where reviews and ratings appear

When public reviews are enabled, Cademy can show review information in these places:

  • The provider's Reviews page on their Cademy profile or Minisite.

  • The provider's Cademy Marketplace profile and search results.

  • Course cards, provider cards and rating highlights.

  • A course's Reviews section.

  • Supported embedded course cards and pages.

A course Reviews section shows that course's rating, review breakdown, Add Review action and Show All action. It can also show a separate Other Course Reviews area containing reviews from elsewhere in the provider's account.


Add, change or remove Reviews on one course

A System Admin or Course Owner can edit the Reviews section on a course.

Add the Reviews section

  1. Open Courses and select the course.

  2. Select Edit Course.

  3. In the course description, click an empty line where the section should appear.

  4. Type /. Under Course Sections, choose Reviews.

  5. Select Save.

Choose whether to include reviews from other courses

  1. Select the Reviews block in the course description.

  2. Select Section settings.

  3. Switch Include reviews from other courses on or off.

  4. If it is on, set Maximum other course reviews shown to a number from 1 to 50.

  5. Select Save.

Remove the Reviews section

  1. Select the Reviews block in the course description.

  2. Select Delete section.

  3. Select Save.

Removing the section does not disable reviews for that course. It removes the section from the course page. A learner with a direct review link can still submit a course review.


Hide public reviews across the account

Only a System Admin can change the account-wide review visibility setting.

  1. Open Reviews.

  2. Under Review Visibility, switch on Hide Public Reviews.

The setting saves immediately.

Course and provider cards

Public rating details are hidden, including supported embeds.

Existing course Reviews sections

An explicitly added Reviews section can still show reviews for that course and the Add Review action. Reviews from other courses are not shown.

New courses

Cademy does not add a Reviews section by default while reviews are hidden.

Review submission

Learners can still submit a review through a direct link or an existing course Reviews section.

Stored reviews

Nothing is deleted. Existing reviews remain stored.

Existing courses are not changed automatically. If an existing course still has a Reviews section, remove that section from the course editor as described above.


Read and respond to a review

A submitted review creates a conversation in Cademy Inbox and sends the configured administrators a notification.

  1. Open Inbox.

  2. Open the new review conversation. A course review is normally titled New [number] star review for [course name].

  3. Read the Rating, Public Message and, when supplied, Private Message.

  4. To add a response beneath the public review, enter it under Public Educator Response.

  5. Select Save Response.

You can edit an existing public response from the review card. To reply privately, send a normal reply in the Inbox conversation instead.

Who is notified? A course review uses the course's Admin Email Recipients when set. Otherwise, it falls back to the provider account's Admin Email Recipients. A profile review uses the provider account recipients.


Delete or report a review

Delete your own review as a learner

  1. Log in with the same Cademy account that submitted the review.

  2. Open the course or provider Reviews page containing the review.

  3. Select Delete review beside your review.

  4. Select Delete to confirm.

The review is removed from public view. The learner can then submit a new review.

Report spam or an inappropriate review as a provider

Course providers cannot delete individual reviews from the Admin dashboard. Contact support@cademy.io with the review, course or Inbox conversation link and explain why it should be reviewed. Cademy Support can investigate spam and inappropriate content and remove it where appropriate.


Show Google Maps reviews on your profile

Google Maps review import is handled by Cademy Support. It is not a self-service control for course providers.

  1. Copy the link to the correct Google Maps business listing.

  2. Copy the link to the Cademy provider profile.

  3. Email both links to support@cademy.io.

Imported reviews are profile reviews, not course reviews. Cademy can import the reviews made available by Google for the matching place. Reviews from other external review services are not currently supported.


Export reviews and use integrations

  • CSV export: There is no self-service review export in the Admin dashboard. Contact Cademy Support if you need help with a specific export.

  • Public API: Accounts with API Access can retrieve reviews using the reviews endpoint. See the Cademy API Documentation.

  • Zapier: There is no Review Submitted trigger in the Cademy Zapier app.


Frequently asked questions

Can I turn reviews off for one course?
You can remove the Reviews section from that course page, but this does not disable direct review submissions. Cademy does not currently have a switch that prevents reviews for one course.

Why can I still see Reviews on a course after switching on Hide Public Reviews?
Existing course Reviews sections are left in place. Edit the course, select the Reviews block, choose Delete section and save the course.

Does Hide Public Reviews stop new reviews?
No. It controls public presentation. Learners can still submit through direct links and existing course Reviews sections.

Why is a review from another course appearing?
The course Reviews block can include an Other Course Reviews section. Edit the course, open Section settings for the Reviews block, and switch off Include reviews from other courses.

Can I choose which reviews are published?
No. Providers cannot approve or reject individual reviews before publication. You can respond publicly, hide reviews account-wide, remove a course Reviews section, or report spam and inappropriate content to Cademy Support.

Can someone review a course without booking it?
Yes. The review will show as Unverified when Cademy cannot match the learner's account to an eligible booking or registration for that course.

Can I block Unverified reviews?
No. Verified and Unverified reviews can both be submitted. The badge helps readers understand whether Cademy could match the reviewer to a booking or registration.

Does a learner need to be marked Attended for a review to be Verified?
No. Review verification uses the learner's booking or registration association. Attendance is required for the automatic Day After Follow-up Email, not for the Verified badge.

How soon after a course can someone leave a review?
A review can be submitted at any time. Cademy does not wait for the course to end.

Can a learner leave more than one review?
A learner can have one active review for each course and one active profile review for each provider. They can delete an existing review and submit a new one.

Can a learner edit a review?
No. The learner must delete the review and submit a new one.

Who can read a Private Message?
The course provider can read it in the review's Inbox conversation. It does not appear on the public review.

Why did my Review Capture Link open the provider profile instead of a course?
The email was probably sent from Contacts, which has no course context. Send from the relevant Order or Registration to create a course review link.

Why was the automatic follow-up not sent?
Check that the Day After Follow-up Email was enabled and that the participant was marked Attended before Cademy checked the session about 24 hours after it ended. A missed automatic send is not retried later.

Can an on-demand course send the Day After Follow-up Email?
No. An on-demand course has no scheduled session end time, so it does not have date-based reminders or a day-after follow-up.

Why can I not see Profile or Hide Public Reviews?
Only a System Admin can open Profile and change account-wide review visibility. Ask a System Admin on the provider account.

Can I export reviews or trigger a Zap when a review is submitted?
There is no self-service CSV export or Review Submitted Zapier trigger. Accounts with API Access can retrieve reviews through the Cademy Public API.
