Pay a Course Deposit and the Remaining Balance

Choose a deposit when you book a course, see when the remaining balance is due, and pay it from an email or your account.

This guide is for customers booking a course on a course provider’s Cademy website. It explains how to pay a deposit at checkout, how to see when the remaining balance is due, and how to pay that balance.

Deposit: A part of the order total that you pay at checkout. The rest is the remaining balance, which you pay later.

Course provider: The training company, school or trainer running the course. They decide whether a deposit is offered, its percentage and when the balance is due.

​

Order owner: The person whose Cademy account the order belongs to. The order owner receives the payment emails and can open the order in their account.

​

Participant: The person attending the course. A participant booked by somebody else does not receive the payment emails and cannot open that person’s order in their own account.

How a Deposit Works

A deposit is a percentage of the order total after any discounts, promo code or gift card. You pay it at checkout, and your order is confirmed when that payment succeeds. You pay the remaining balance later, by a due date.

  • The course provider sets the percentage. You choose between paying in full and paying that percentage. You cannot enter a different amount.

  • If your basket has several courses with different deposit percentages, the lowest percentage applies to the whole order.

  • The course provider sets the rule for the due date. It is either a number of days before the course starts or a number of days after you place the order. Checkout shows the exact date before you pay.

  • When the rule counts days before the course starts and your basket has several courses, the earliest start date is used. If no course in your basket has a start date, the days are counted from the day you place the order.

  • You pay a deposit with the Card / Apple Pay / Google Pay option or with PayPal. Other payment methods are offered only when you pay in full.

  • Cademy does not take the remaining balance automatically. You pay it yourself using a payment link: a Pay Balance or Pay Invoice button that opens a payment page. A course provider can turn payment links off. If they have, ask them how they would like you to pay.

  • Your order has one invoice for the full order total. The deposit is recorded as a payment on that invoice.

Choose a Deposit at Checkout

Start on the course provider’s Cademy website and book the course.

  1. Continue through checkout to the Payment step.

  2. Under How would you like to pay?, select the deposit option. Its label includes the percentage, for example Pay 20% Deposit, and the text below it shows the amount you pay today.

  3. Read the line below the options. It shows the remaining balance and the date it is due. If the course provider has written a message about their deposit, it appears below that line.

  4. Under Select Payment Method, select Card / Apple Pay / Google Pay or PayPal. Only the methods the course provider accepts are listed.

  5. Enter your payment details and complete the payment. Only the deposit amount is charged.

If you change between Pay in Full and the deposit option after selecting a payment method, checkout shows Payment option updated. Please re-select your payment method to continue. Select the payment method again.

The confirmation page then shows Deposit paid with the amount you paid, and Balance due by with the due date and the remaining balance. It also shows a Pay Balance button, unless the course provider has turned off payment links.

The order owner also receives a Deposit received email. It lists Deposit paid, Balance due and Balance due by. It includes a Pay Balance button, unless the course provider has turned off payment links.

If There Is No Deposit Option

When you book a course and pay at checkout, the deposit option appears only when all of the following are true:

  • The course provider offers deposits, and every course in your basket allows them.

  • The order total is more than zero after any discounts, promo code or gift card.

  • The date the balance would be due is at least one day away.

  • The deposit and the remaining balance are each at least the smallest amount that can be charged. For an order in pounds, that is £0.30.

  • The course provider accepts card or PayPal payments for the courses in your basket.

A course that you request or apply for, instead of booking and paying for it straight away, uses a different checkout that has no deposit option.

If the option is missing and you would like to pay a deposit, contact the course provider.

If the Course Provider Created Your Order

A course provider can also create an order for you and set a deposit on it. The order owner then receives an email whose subject starts with Payment required. It lists Deposit due now and Remaining balance due by.

If the email has a Pay Now button, select it. The payment page that opens is for the deposit amount. If there is no Pay Now button, contact the course provider and ask how they would like you to pay.

After the deposit is paid, the payment page shows Payment Received and the order status in your account changes to Partially Paid. An order created by the course provider does not get the Deposit received and Payment received emails described in this guide. Pay the remaining balance from a balance reminder email or from your account. Both routes are described in “Pay the Remaining Balance”.

Pay the Remaining Balance

You can pay the remaining balance at any time after the deposit is paid. You do not need to wait for the due date. The payment takes the whole remaining balance at once.

Payment links: Some course providers turn off payment links. In that case the confirmation page, the emails and your account show the balance and its due date, but no Pay Balance or Pay Invoice button. Contact the course provider and ask how they would like you to pay the remaining balance.

Pay from the Confirmation Page or an Email

  1. Select Pay Balance on the checkout confirmation page, in the Deposit received email or in a balance reminder email. A payment page opens.

  2. Check the invoice summary on that page. Total is the full order total, Paid is what you have paid so far and Amount Due is the remaining balance.

  3. Under the heading that starts with Pay and shows the amount due, select Card / Apple Pay / Google Pay or PayPal. If only one method is listed, it is already selected.

  4. Enter your payment details and complete the payment. The page shows Payment Received.

Pay from Your Account

Use this route if you no longer have the email. You must be logged in as the order owner. If you are not logged in, select My Account, then Log in or Sign Up, and log in first.

  1. On the course provider’s Cademy website, select My Account in the page header, then select My Courses & Bookings.

  2. Select the Orders & Billing tab.

  3. Select the order. Until the due date has passed, an order with an unpaid balance has the status Partially Paid and shows how much of the total has been paid.

  4. Under INVOICES, the invoice shows its due date and the outstanding amount. Select Pay Invoice. A payment page opens.

  5. Select a payment method, enter your payment details and complete the payment. The page shows Payment Received.

Pay Invoice is shown when payment links are on, the order is not cancelled, and the invoice has an outstanding amount. If the course provider has recorded a payment on the order themselves, the order page may have no INVOICES section, and then it has no Pay Invoice button. Contact the course provider and ask how they would like you to pay the remaining balance.

After the balance is paid, the order status in your account changes to Paid. If you placed the order at checkout, the order owner also receives a Payment received email, which confirms that the order is paid in full.

Balance Reminders and Overdue Balances

While the balance is unpaid, Cademy emails the order owner:

  • A Balance due soon email seven days before the due date.

  • A Balance due today email on the due date.

Each reminder shows the balance still to pay and the due date. It includes a Pay Balance button, unless the course provider has turned off payment links. If you place the order fewer than seven days before the due date, you receive only the Balance due today email.

Reminders stop when the balance is paid or the order is cancelled.

If the balance is still unpaid on the day after the due date, the order status changes to Overdue and the order owner receives a Payment Overdue email. When payment links are on and the course provider accepts online payments, that email has a Pay Now button. While the order is not cancelled, you can also still pay the balance in the ways described in “Pay the Remaining Balance”. If you cannot pay, contact the course provider.

View Your Order and Invoice

You must be logged in as the order owner. If you are not logged in, select My Account, then Log in or Sign Up, and log in first.

  1. On the course provider’s Cademy website, select My Account in the page header, then select My Courses & Bookings.

  2. Select the Orders & Billing tab, then select the order.

The order page shows:

  • SUMMARY: the order Status, the amount Paid so far while a balance remains, and the Total.

  • INVOICES: the invoice number, its due date and the outstanding amount, with a Download PDF button. After the balance is paid, the invoice is marked as paid.

Only the order owner can open the order. If somebody else booked the course for you, ask that person to check the order and the payment emails.

If the Course Page Does Not Open

On the order page, each course has a row under COURSES. While the order status is Partially Paid, selecting that row does not open the course page for this order. A page headed No Booking Found or No Order Found opens instead. It shows the email address you are logged in with. For an on-demand course, the No Order Found page also opens while the order status is Overdue. While the order status is Partially Paid, the No Booking Found page also opens when you select the card for a course with dates under Your Courses.

Your order is still in your account. It opens from Orders & Billing, and you pay the remaining balance in the ways described in “Pay the Remaining Balance”. Book Course on the No Booking Found page and Order Course on the No Order Found page open the checkout for the course. They do not open the order you already have.

Contact the course provider for your course details. Contact them too if you expected your lessons to open after paying the deposit and they do not.

If a Payment Link Does Not Work

The payment page shows a message when it cannot take a payment:

  • Your Invoice Is Being Prepared: the invoice is not ready yet. Wait a moment, then select Refresh.

  • Nothing to Pay: the balance has already been paid. No further payment is needed.

  • This Order Was Cancelled: the order can no longer be paid online. Contact the course provider if you were not expecting this.

  • This Invoice Was Voided: the invoice no longer needs to be paid. Contact the course provider if you were not expecting this.

  • We Couldn’t Find That Page: check that you opened the full link from the email, or open the most recent email about the balance and use its button.

  • A message that starts with Online payment isn't available: the course provider has no card or PayPal payment method available for this order. Contact them to arrange payment.

  • Unable to start the payment: refresh the page and try again.

  • This Payment Request Was Cancelled or This Payment Request Is No Longer Available: ask the course provider for a new link.

If your card or PayPal payment is declined, check the details you entered, or select the other payment method if two are listed.

If you still cannot pay, contact the course provider. Tell them which course you booked and send them the message shown on the payment page.

Frequently Asked Questions

Can I pay the remaining balance before the due date?
Yes. Use Pay Balance on the confirmation page or in the Deposit received email, or open the order in your account and select Pay Invoice. These buttons are shown unless the course provider has turned off payment links.

Will Cademy take the remaining balance from my card automatically?
No. Cademy does not charge your card or PayPal account again by itself. To pay the balance, use Pay Balance or Pay Invoice.

​

Can I pay a deposit and also use monthly payments?
No. The options under How would you like to pay? are alternatives, and you select one for the order. If monthly payments are offered, the option shows the number of payments, for example 3 Monthly Payments. See Pay for a Course in Monthly Instalments.

Can I pay the deposit with Klarna, by invoice or in person?
No. When the deposit option is selected, only Card / Apple Pay / Google Pay and PayPal are listed. Other methods are listed only when Pay in Full is selected and the course provider accepts them.

Why is PayPal not listed for my deposit?
PayPal is listed only when the course provider accepts PayPal for the course. PayPal is also not available for orders in Malaysian ringgit (MYR) or South African rand (ZAR). Card payments are still listed for those currencies when the course provider accepts cards.

Who receives the balance reminders?
The order owner. If somebody else booked the course for you, ask that person to check their inbox and spam folder.

​

What should I do if I cannot pay by the due date?
Contact the course provider before the due date. If the balance is still unpaid on the day after the due date, the order status changes to Overdue and the order owner receives a Payment Overdue email.
