Introduction to Waitlists

Cademy's waitlist feature offers a streamlined way for customers to join a waiting list when courses are fully booked or upcoming dates are not yet available.


How to Enable Waitlists

Before you can start using waitlists, you need to enable this feature for your courses. Here's how:

  1. Log in to your admin dashboard.

  2. Go to the course settings.

  3. Click on the 'Booking & Availability' option.

  4. Click on Allow waitlist


When can customers join a "Waitlist"?

Customers can join a waiting list only if a course has no spaces left or if no dates are displayed for the upcoming course.


Where can I find the customers who have joined the waiting list?

You can find the Waitlist tab at the top of your Course Dashboard, which contains the contacts who have joined. It is located above your list of bookings.


Adding Customers to the "Waitlist"

If you want to add a customer to the waiting list from your side, you can do that by following these steps:

  1. Go to Course Dashboard

  2. Click on Waitlist tab

  3. Click on Add To Waitlist


Managing Waitlist Entries

Convert Waitlist Entries to Bookings

Transform waitlist entries into bookings by following these steps:

  1. Go to Course Dashboard

  2. Click on Waitlist tab

  3. Click on the three dots to open the Options menu

  4. Click on "Convert to Booking"

  5. A side sheet will open. From there, you need to select the course name, date, mark the bookings as paid or to be paid. The contact details will be automatically selected.


How to remove contacts from the "Waitlist"?

To remove a customer from the waitlist, follow these steps:

  1. Go to Course Dashboard

  2. Click on Waitlist

  3. Click on the three dots to open the Options menu

  4. Click on Remove


How to email contacts from the "Waitlist"?

If you want to announce to some contacts on the waiting list that you have spaces or dates available, you can contact them by email.

  1. Go to Course Dashboard

  2. Click on Waitlist tab

  3. Select the customer from the waitlist

  4. Click the email button

Will my waitlist contacts be notified of availability if I add additional spaces or new dates?

No, it is your choice to inform them about the new availability.

Will the waitlist be automatically updated when a waitlisted student books and pays for a course, or when an admin marks their booking as 'Paid'?

Yes, the waitlist is automatically updated when a waitlisted student either books and pays for a course or when an admin marks their booking as 'Paid'. This ensures that students on the waitlist are promptly removed when they secure a spot in the course, making the management process more efficient for both admins and students.
