Course View Options: List, Date, Week, Month & Timeline

Introduction

Cademy provides multiple views to help you manage your courses and sessions with ease. Whether you're scheduling new dates or reviewing published listings, you can switch between detailed lists and calendar layouts, and use sorting options to stay organised. All tools are located within the Courses page of your Admin Dashboard.

Accessing Views and Sorting

How to Switch Views

  • Go to your Admin Dashboard

  • Click on the Courses page

  • In the top-right corner, use the six view buttons to choose a layout.

  • Click any of the buttons to switch views instantly

The buttons are List View, Date List View, Week View, Month View, Year View and Timeline View, in that order.

Course Views Explained

๐Ÿ—‚๏ธ List View

Displays all your courses in a structured, sortable list.
โ€‹Best for:

  • Reviewing and editing course settings

  • Checking visibility, prices, and publishing status

  • Performing quick admin actions (e.g. edit, archive, duplicate)

๐Ÿ“… Date List View

Sorts your courses by next upcoming date.
Each course card shows:

  • Delivery method (e.g. Online, In-person)

  • Assigned facilitator (if any)

  • Number of bookings and remaining availability

Best for:

  • Planning upcoming sessions

  • Monitoring course activity at a glance

Shows your sessions on a 7-day calendar layout.

  • Short-term scheduling

  • Reviewing sessions coming up this week

Shows all sessions scheduled in the current month.
โ€‹Best for:

  • Spotting gaps or overlaps across a 4โ€“5 week period

  • Mid-range planning

Year View

Use Year View to look across the months of a year. Open Courses in your Cademy dashboard and select the Year View button.

  1. Select the settings icon labelled Year View Options.

  2. Under Group By:, select Facilitators / Owners.

  3. Clear Show facilitators not assigned to any date to hide empty facilitator rows.

  4. Select Save Settings.

When the view is grouped by facilitator and Show facilitators not assigned to any date is off, each month shows only facilitators with a date in that month. A facilitator assigned in another month does not create an empty row in this one.

๐Ÿ“Š Timeline View

A powerful, Gantt-style layout showing sessions across a horizontal timeline.

Select the settings icon labelled Timeline View Options to customise the display. The dialog uses Group By: to choose the grouping. Select Save Settings after changing the options. Available settings include:

  • Group By:

    • No grouping

    • Facilitators / Owners

    • Location

    Timeline Options:

    • Show weekends

    • Show facilitators not assigned to any date

    • Group facilitators by User Group

    Highlight Public Holidays For:

    • USA

    • England & Wales

    • Scotland

    • Northern Ireland

    Each option adjusts the timeline to reflect the selected configuration.

Scroll across months and assign facilitators or locations directly.

  • Large teams

  • Complex, multi-course schedules

  • Quickly identifying unassigned sessions

Pop-up Features (Timeline, Week, and Month Views)

Each calendar view offers interactive pop-ups for every session. Click any event to:

  • View full session details

  • Edit the date directly

  • Use the "View Date" button to access the full course date setup

Grouping Memory

When using the Timeline view, your grouping preference (by facilitator, location, or course) is remembered automatically when you return to the view.

Colour Indicators for Availability

Each course session includes a badge indicating current availability:

  • ๐ŸŸก Yellow โ€“ No bookings

  • ๐ŸŸข Green โ€“ At least one booking

  • ๐Ÿ”ด Red โ€“ Fully booked

These indicators appear across both calendar views and the Date List View to provide instant visual insight.

Colour Coding Your Courses

Courses can be colour-coded to help visually distinguish them across views:

  • Set a default colour for each course in Advanced Settings

    • To do this, go to the course settings โ†’ Advanced Settings โ†’ Calendar View Color

  • Override colours at the date level for more flexibility

    • To do this, click on the date from the Course Dashboard โ†’ click Edit Date โ†’ Calendar Color

Export courses and dates

Exports are available from List View and Date List View.

Export Courses from List View

  1. Open Admin dashboard > Courses.

  2. Select List View.

  3. Apply any search or filters needed for the export.

  4. Click Export.

The CSV contains one row per matching course and uses the complete course column set.

Export Dates from Date List View

  1. Open Admin dashboard > Courses.

  2. Select Date List View.

  3. Select the required upcoming or past view and apply any search or filters.

  4. Click Export.

  5. For an immediate export, select Now, then Export Now. Download the CSV when it is ready.

The CSV contains one row per matching course date and uses the complete date column set.

Exports are not shown in Week View, Month View, Year View or Timeline View. Course-list exports run immediately. Course-date exports from Date List View can run immediately or on a schedule when your account includes Scheduled Exports.

To schedule a date export, select On Schedule in the export dialog. Choose Daily, Weekly or Monthly, set the day and time, add at least one recipient and select Schedule Export. Date exports use the complete date column set.

Sorting Your Courses

Click the Sort button in the top-right corner of the Courses page to organise your course list.

โ€‹


โ€‹Sorting Options Include:

  • Name

  • Level

  • Published

  • Delivery

  • Description

  • Price

  • Date Created

  • Date Archived

  • Collection

  • Course Owner

  • Last Updated

  • Created Time

Sorting Direction:

  • Ascending (Aโ€“Z, oldest to newest)

  • Descending (Zโ€“A, newest to oldest)

Note: Sorting is available in List View only
