Cademy Fees Explained: Understand pricing, payment processing for course creators on Cademy.

Introduction

Cademy offers pricing plans for course providers at different stages, from free listings to bespoke plans for larger organisations.

Prices shown for Pro and Teams are annual billing prices, discounted by 20%. Monthly billing prices are PRO (£119/month) and TEAMS (£599/month).


Quick Plan Summary

Free

Best for testing Cademy with a small course catalogue and no monthly subscription.

Free includes the core Cademy features and has a 5% platform fee on payments processed through the booking system.

Pro

Best for course providers with regular direct bookings where removing the platform fee matters.

Pro is the first paid plan with no platform fee. It also adds features such as private courses, course imports, web analytics and pixels, custom brand colours, invoices and manual payments, and Zapier integration.

Teams

Best for growing teams, higher usage, and advanced course operations.

Teams includes higher limits, more System Admins, more Facilitators, unlimited forum history, scheduled exports, custom email domains, SCORM courses, Xero integration, automatic VAT/tax handling, API access, and premium support.

Custom & Enterprise

Best for organisations that need a tailored setup, integrations, security, and implementation support.

Custom & Enterprise plans can be tailored around an organisation’s systems, support needs, reporting, security, integrations, and operational requirements.

For organisations with internal processes, multiple teams, or specific technical requirements, Custom & Enterprise is usually the best place to start.

Custom & Enterprise

Custom & Enterprise plans are designed for organisations that need a bespoke Cademy setup.

Custom & Enterprise plans include:

  • Platform fee: 0%

  • Single Sign-On (SSO)

  • Advanced security

  • Custom Service Level Agreements (SLAs)

  • 99.99% uptime guarantee

  • Custom features

  • Custom APIs

  • Custom integrations

  • Onboarding and training

  • Migration and implementation support

  • Dedicated Developer as Account Manager

Platform Fees

  • FREE Plan:

    • Platform Fee: 5% on all payments processed via Cademy’s booking system. This includes transactions through your Cademy minisite or embeds on your own website.

  • PRO, TEAMS and Custom & Enterprise Plans:

    • Platform Fee: 0%. Paid plans remove the platform fee entirely, allowing you to keep more of your earnings.

A payment processing fee applies to all plans, regardless of your subscription level.


Payment Processing

Cademy integrates with Stripe, PayPal, and Klarna to securely handle payments. Here’s what you need to know:

  • Stripe: Standard Stripe fees range from 1.5% to 3.4%. For the most accurate and up-to-date costs, please check Stripe’s website: Stripe Pricing.

  • PayPal: Standard PayPal fees range from 1.5% to 3.4%. For the most accurate and up-to-date costs, please check PayPal’s website: PayPal Merchant Fees.

  • Klarna: Klarna instalment payments incur a 4.99% + £0.35 transaction fee. For the most accurate and up-to-date costs, please check Klarna’s website: Klarna Pricing.

In addition to these fees, if you are on the Free plan, Cademy charges a 5% platform fee on all payments processed via our booking system, including payments through your minisite and embeds on your website. Paid plans allow you to reduce this platform fee to 0%.

Important: Payment processing fees cannot be absorbed by the course provider and will always be passed to the customer at checkout. This applies to all transactions, regardless of whether you are on a Free or Paid plan.

Refunds: Processing fees apply to refunds as well. If you issue a refund, the processing fees will be deducted from your payment processor balance. Please consider this in your pricing decisions.


User Roles and Seat Limits

Cademy has three user role types:

  • System Admin

  • Course Owner

  • Facilitator

Course Owners count toward the System Admin seat limit.

For example, if a plan includes 1 System Admin seat, the course provider can have either 1 System Admin or 1 Course Owner within that limit.


What’s a “Custom Plan” and why does it appear?

If you’re seeing Custom Plan in your account, it’s because you either joined Cademy before we launched the current plans or you’re on an old plan that’s no longer available.

You’re on what we call a Legacy plan, which means you got grandfathered in with the features and limits you had when you signed up - even if they’re beyond what today’s Free, PRO, TEAMS and Custom & Enterprise plans include.

If you’re thinking about upgrading, keep in mind that switching will apply the new plan limits, so make sure those fit your needs before changing.

How can a course provider upgrade or manage billing?

Existing users can upgrade, downgrade, or manage billing from Settings > Plans & Billing:

Does a Course Owner count toward the System Admin seat limit?

Yes. Course Owners count toward the System Admin seat limit.

Are there any payment processing fees?

Yes. Payment processing fees apply to all plans.

The Free plan also has a 5% platform fee on payments processed through the booking system. Pro, Teams, and Custom & Enterprise plans have no platform fee.

Can a course provider import courses?

Yes. Course imports are available on Pro, Teams, and Custom & Enterprise plans.

Course providers can import courses from Settings > Imports:

Course providers can also import course dates, orders, registrations, contacts, and organisations from the same imports area.

Does Cademy support payments in instalments?

Yes. Cademy supports instalment payments via Klarna or PayPal Pay in 3. The course provider can activate Klarna or PayPal by installing the relevant app in the Cademy Admin Dashboard
