Managing Enrollments: Search, Filter, and Export

Learn how to search, filter, sort, and export your enrollments - ideal for tracking bookings and preparing reports.

Introduction

The Enrollments page helps course providers find and manage enrollment records. You can search, filter, sort, and adjust the table to keep track of payments and participants, or to prepare reports.


Features and How to Use Them

Each section below helps you get more out of the Enrollments table - whether you're quickly finding someone, creating reports, or tracking payments and course data.


1. Quick Search

Quickly locate specific enrollments without opening the full filter menu. Ideal for finding individuals or checking recent records.

  • Use the search bar to find enrollments by name, email, booking reference, or invoice reference.

2. Using Filters

Use filters to narrow down your enrollments list based on specific fields. Helpful for finding patterns, preparing reports, or managing tasks.

  • Every filter starts with a Where condition, which sets the field you're filtering by.

  • Click the Filter button at the top of the table.

  • Apply filters based on fields like:

    • Approval Status

    • Course

    • Course Start/End Date

    • Created At

    • Payment Method

    • Payment Status

    • Invoice Reference

    • Tags

    • Voucher Applied

    • Contact fields (e.g. name, email, phone, company)

    • Certificate expiry/issue date

    • Notes


Filter Examples:

  • Where → Payment Status→ equals → Overdue

  • Where → Course → is any of → [Cours Name]

  • Where → Certificate Expiry Date → after → [date]


You can also use "and" and "or" conditions to compile multiple filters:

  • Where → Tags → is any of → First Aid,
    andWhere → Created At → before → [date]

  • WherePayment Status → equals → Overdue
    orWherePayment Method → equals → Invoice

To group filters, click Add Group, then add one or more filters inside that group to apply combined logic.

Click Apply to see results.

3. Saving Filters

Save filters you use often. Great for daily, weekly, or monthly reporting workflows.

  • After applying filters, click the dropdown next to the filter button and select Save Filter.

  • Enter a name and save to easily return to this view later.

  • Example: Save a filter called "Overdue Payments This Month".


4. Sorting Results

  • Click any column heading (e.g. Created Date, Payment Status) to sort.

  • Click again to reverse the sort order.


5. Adjusting Columns

  • Click the Columns button above the table.

  • Choose which fields to show or hide:

    • Name

    • Email

    • Payment

    • Invoice Reference

    • Course

    • Tags

    • Contact Tags

    • Any contact or system fields


6. Exporting Data

  • Click Export to download your table view as a CSV file.

  • Exports include all visible columns and respect any filters you've applied.

Where do I find the Enrollments page?

What is an enrollment?

It’s a booking someone has made for one of your courses.

How do I search for someone?

Type their name, email, booking reference, or invoice reference into the search bar.

Why can’t I see the field I want in the table?

Click the Columns button and add that field to the table.

Can I search for guests, not just the main booker?

Yes. The search works for both bookers and guests.
