Add Welcome Information and Files for Learners

Add shared welcome text and files to a course, and help learners and bookers find them in Extra Details.

This guide helps course providers add welcome information and files for their learners. Course Welcome Content appears under Extra Details on the private course details page. It is separate from the public course sales description.

Use shared course information. The same saved welcome content applies across this course, including its different dates. There is no separate welcome-content field for an individual date or learner. Anyone who can open their private course details page for a booking, order or registration on this course sees it. The welcome content has no payment, approval, cancellation or access-expiry rule of its own, so that page can show it before a place is paid for or approved, after a cancellation and after course access has expired.

Attached files use shareable links. Someone receiving a file link can open it without using the surrounding private course page. Do not upload confidential or learner-specific information here. Removing an attachment from this course does not revoke its file link or remove copies already downloaded.

The welcome text and files are shown on the course details page. Cademy’s standard email templates do not include them.

Add or change Course Welcome Content

You need Course Owner or System Admin access to the intended course. If Edit Course is missing, ask a System Admin for your provider account to check your role and course access.

  1. Select Courses, open the intended course, then select Edit Course.

  2. Select Settings, then Advanced Settings.

  3. Find Course Welcome Content and enter the information that applies to everyone using this course. The heading follows the course’s service keyword, the word chosen under Which keyword best describes this service? on the same page: for example, Workshop Welcome Content.

  4. To add files, under Attachments select Select Files. Select existing files, or upload the files you need. You can select more than one, and the picker accepts any type of file.

  5. In the file picker, check the selected files, then select Confirm to apply that selection to the course editor.

  6. Select the main Save and wait for Course saved. Reopen the same course through Edit Course > Settings > Advanced Settings to check its saved welcome text and attachments.

Uploading a file adds it to the media library before you Confirm the selection or Save the course. Closing the picker does not undo an upload. Moving between tabs inside an existing course editor also saves pending course changes, so do not use a tab change to discard edits.

Your plan can limit the size of each file you upload. The file picker does not show that limit; a file above it is not uploaded. For plan limits, see Understand Cademy Plans, Limits and Fees.

Remove or replace a course attachment

  1. Open Courses > course > Edit Course > Settings > Advanced Settings and find its welcome-content section.

  2. Under Attachments, select Select Files. Deselect the file you want to remove. Select or upload a replacement if needed.

  3. Select Confirm, then the main Save. After Course saved, reopen the same settings to check the selection.

This changes which files the course links to. You do not need the media library’s Delete action to remove a course attachment. A file used by another course remains a shared file.

After you save, learners see only the files that are still selected, numbered again from Attachment 1. A replacement you upload is a separate file with its own link, so a person who kept the earlier link still opens the earlier file.

Where learners find it

Learners should sign in with the account connected to their place on the course. The course provider is the organisation running the course and controls its welcome information and learner records.

  1. Select My Account, then My Courses & Bookings. This opens the My Courses page.

  2. Under Your Courses, select the intended course. Use View All if it is not in the short list. Your Saved Courses contains favourites, which do not give access to a booked place.

  3. If an on-demand course opens its Content page, select Course Overview in the side panel of that page to open the course details. A course with a booked date opens its course details directly. For a registered learner with access to an externally hosted on-demand course, the details open directly.

  4. Select Overview on the private details page and find Extra Details. For a course with dates, select the applicable booking or date first if asked.

If the Content page shows Please Complete Payment or Your Place Is Awaiting Approval in place of the lessons, the learner cannot open the lessons yet. On an on-demand course, View Details under Please Complete Payment is the link to the course details. Your Place Is Awaiting Approval has only View Course, which opens the public course page. If a learner cannot reach the page that shows Extra Details, give them the welcome information another way.

A person who booked for others but is not attending should use My Account > My Courses & Bookings, then select the relevant order under Your Orders. Select View All if needed, open the intended course row in that order, then select Overview and find Extra Details. That course need not appear under their Your Courses list.

Files appear as Attachment 1, Attachment 2 and so on, in the selected order. Selecting a link opens a new tab; the browser and file type determine whether it displays or downloads. Add a short explanation to the welcome text if those numbered labels need context.

Other tabs, including Participants and a Forum, depend on the person’s role and course setup. Welcome information stays under Overview. A forum can use a custom name; seeing welcome content does not itself grant access to the forum.

Choose useful welcome information

Use information suitable for the course’s shared audience. For example:

  • what learners should bring or wear

  • shared arrival, building-access or check-in instructions that are safe to pass on

  • the course provider’s emergency contact details

  • travel, parking, food or accommodation suggestions

  • links to a welcome video, preparation guide or other resource

  • instructions for participants to open the course forum when one is enabled

Keep date-specific venues and joining instructions in the relevant date or location settings. Welcome content is course-wide, so a change here is not limited to one date. Do not include private access codes or another learner’s personal information in shared text or files.

If the welcome content is missing

If you manage the course

  • Confirm that you opened the intended course through Courses > course > Edit Course > Settings > Advanced Settings. Look for the welcome heading matching its service keyword.

  • Check that the text editor or Attachments contains the intended information. For files, open Select Files, check the selection and choose Confirm.

  • Select Save and wait for Course saved. Reopen the same settings to check the result. If saving reports an error, check what was saved before repeating an upload or change.

  • Ask the learner to refresh or reopen the relevant private course details. Do not check only the public course sales page.

  • If the saved information is still missing, contact Cademy Support with the course name, affected booking or registration, the route used and the exact error or missing information. Do not send confidential attachment contents.

If you are a learner

  • Sign in with the email address connected to your booking, order or registration.

  • Open My Account > My Courses & Bookings. If you are attending, choose the course under Your Courses. If you only booked for others, open its order under Your Orders, then the course row.

  • If an on-demand course opens its Content page, select Course Overview in the side panel. On the private details page, select Overview and look for Extra Details.

  • If the course, details route or welcome information is missing, contact the course provider with the course name, date if relevant and the message you see.

Frequently asked questions

Which course types support Course Welcome Content?
It is available for all four formats: On set dates, On-request, On-demand online course and Blended course. Your plan can limit the size of each uploaded file; see Understand Cademy Plans, Limits and Fees.

Can people see it before they enroll?
It is not shown on the public course sales page. It appears on eligible private booking, order or registration details. Do not rely on payment, approval or cancellation status to withhold it from someone who can open those details. Attached file links can also be shared outside that page.

Do order owners and participants see the same content?
Yes. They see the same current welcome text and attachments when they can open the relevant private course details. Their entry routes and other available actions can differ.

What happens if I leave it blank?
The Extra Details card is hidden when no welcome text or attachments are saved. An attachment alone is enough to show it. To remove the information, open the course through Edit Course > Settings > Advanced Settings and clear its welcome text. Under Attachments, open Select Files, deselect all files and select Confirm. Then Save the course and check the result. If an empty-looking card remains, ask Cademy Support to check it.

Can I attach files?
Yes. Under Attachments, use Select Files, select or upload the files, then Confirm and Save the course. Learners open the numbered Attachment links. These are shareable file links, not confidential storage for individual learners.

Can I create one default for every course?
There is no account-wide Course Welcome Content default. Duplicating a course copies its current welcome text and selected file links. Later text and attachment-selection changes are separate, but the copies still refer to the same files; duplication does not create independent copies of those files.

Can I update it after learners have enrolled?
Yes. Existing learners see the current saved version when they next open or refresh the private details. Saving welcome content does not itself send learners an update email. Contact them separately if they need to know about an important change.

Is Course Welcome Content the same as Content Access Details?
No. Welcome content supplies shared information under Extra Details, including for externally hosted courses. Content Access Details explains how to use an on-demand or blended course hosted elsewhere and appears separately under Course Access. See On-Demand Courses - Self-Paced E-Learning.

Why can I not see Edit Course?
You need Course Owner or System Admin access to the intended course. Ask a System Admin for your provider account to check your role and course access.
