Understand Cademy Plans, Limits and Fees

Understand your provider plan, the limits that apply to your account and the different charges involved in using Cademy.

This guide is for course providers comparing Cademy plans or checking what their account includes. Your Cademy plan determines the features and allowances available to your business. It is separate from a membership that a learner buys from your business.

Check the plan on your account

A System Admin can check the business’s plan in the Admin Dashboard.

  1. Open Settings, then Billing & Usage.

  2. On Free, look for Choose Your Plan and the plan marked Current. On a paid plan, the Plan section shows the current plan and its billing information.

  3. To compare plans from a paid account, select Change Plan. A Custom & Enterprise account does not have this button; contact Cademy Support about changes to your agreement.

Choose a plan and billing period

The standard plan chooser lists Free, Pro and Teams, followed by Custom & Enterprise. An account on the Custom & Enterprise plan sees it named Enterprise in the Plan section. An account already on Starter can also see its existing Starter plan. Starter is not offered as a general new-plan option.

Select Pay Monthly or Pay Yearly, then the currency you want to compare: GBP, USD or EUR. The currency selection concerns your Cademy subscription, not the currency of a customer’s order.

With Pay Yearly selected, a card’s /month price is the monthly equivalent of the yearly price, not a monthly payment arrangement. Check the full charge, billing period, tax and any discount on the confirmation screen before agreeing to pay.

Free has no Cademy subscription charge. It still has limits and payment-related charges. Pro and Teams have a subscription charge and different features and allowances. For a tailored agreement, use Book a Demo under Custom & Enterprise. Single sign-on is one of the things listed there.

Compare features for your work

Use the task you need to complete to compare plans, as well as the price. The following are examples of standard plan features, not a complete feature list. Course imports are available on every standard plan, including Free.

  • Pro: private courses, custom branding, invoices and manual payments. Pro also includes Continuing Professional Development (CPD) points and hours, and Custom Labels for selected course buttons and forum wording.

  • Teams: those Pro features, plus deposits and monthly instalments at checkout, scheduled exports, custom email domains, SCORM courses (packaged online learning content), the Xero integration, automatic VAT handling and API access for integrations.

  • Custom & Enterprise: a tailored agreement. Confirm the specific features, limits and support arrangements with Cademy rather than assuming a standard contract.

Understand the main limits

The following are the standard allowances for Free, Pro and Teams. An account-specific agreement can change them.

  • Free: 1 admin, 2 Facilitators and 5 published courses.

  • Pro: 1 admin, 10 Facilitators and 20 published courses.

  • Teams: 5 admins, 50 Facilitators and 100 published courses.

System Admins and Course Owners count towards the admin allowance. Facilitators have a separate allowance. The published-course allowance counts courses that are published, not the number of course dates or customer bookings.

Archived team members do not count towards their former role’s active seat allowance. Archiving also removes their access and triggers changes to future assignments, so it is not just a billing adjustment. Read Archive and Reactivate a User or Facilitator before archiving. Reactivation checks the current allowance.

Other advertised allowances include registrations, email sending, storage and maximum file size. These measure different things: total storage is not the maximum size of one upload, and a registration allowance is not the published-course allowance. Check the current pricing comparison and your account’s agreed terms for the allowance relevant to your task.

If an action reports a limit, keep the exact message and tell Cademy Support which task you were trying to complete. Do not remove people, bookings or course content simply to make a limit message disappear.

Separate the different charges

  • Cademy subscription: the recurring charge for your business’s plan.

  • Cademy platform fee: a fee associated with qualifying customer payments. For direct course bookings, the standard rate is 5% on Free and 0% on paid plans, subject to an account-specific agreement. The same rate is used to calculate the platform fee on gift card purchases and on the payment for a learner membership that is charged once and does not renew.

  • Marketplace fee: bookings made through the Cademy marketplace can carry a separate Marketplace fee. See Cademy Marketplace Is Retiring.

  • Payment processing fee: a separate charge from the payment provider, such as Stripe or PayPal. A 0% Cademy platform fee does not make payment processing free.

  • Add-ons and usage: charges for additional services you choose, such as AI credit purchases on accounts where those options are available.

On Free, Settings > Payments > Cademy Platform Fee includes Absorb Cademy Platform Fees. This controls whether your business absorbs the Cademy platform fee. It does not change the payment provider’s processing rate.

Do not use a single fee example as a quotation for every payment. The payment method, currency, provider agreement and your account’s terms determine the applicable charges.

Check custom or older account terms

The warning You are on a custom plan means your account has custom limit settings. It does not, by itself, establish how long an agreement lasts or what happens to it when you change plans.

​

Before changing an account with agreed exceptions or older terms, ask Cademy Support to confirm the features, limits and charges that would apply after the change. Include your business name, current plan and the plan you are considering. Do not send card details.

Understand AI credits where available

AI credits are used by Cademy AI features. The credit-management pages are available only on accounts where they have been enabled; not seeing them does not mean your balance is zero.

If your account has Your Add-Ons in Settings > Billing & Usage, open AI Credits. Check Available now, the allowance reset date and the expiry dates of additional credits. Activity shows credits used or added.

​

Where offered, Top-Up is a one-off purchase, Monthly Pack provides recurring additional credits, and Pay-As-You-Go charges for use after other credits run out, up to a monthly spending cap. Check the prices, renewal and expiry terms on your account before choosing an option. These charges are separate from customer payments and your main Cademy plan.

Frequently asked questions

Does a paid plan remove all fees?
No. A paid plan’s standard 0% Cademy platform fee does not remove payment-provider processing charges, the subscription charge or separately purchased add-ons.

Does a Course Owner count as an admin?
Yes. System Admins and Course Owners count towards the same admin allowance. Facilitators are counted separately.

​

Does switching the comparison to Pay Yearly change my subscription?
No. It changes the prices shown in the comparison. Starting or changing a subscription requires completing the relevant confirmation process.
