Find and Open Orders You Placed or That Were Created for You

Use Orders & Billing to find course orders that belong to your account, open their courses, and check their status, payment summary and invoices.

Written by Artur Binzaru

Orders & Billing shows current orders that belong to your Cademy account, whether you placed the order yourself or a course provider created it for you. You can be attending the course, booking for somebody else, or both.

Order: the purchase and payment record for a booking. One order can contain one or more courses, participants, payments and invoices.

Order owner: the person whose account the order belongs to. This is normally the person who placed the order, but a course provider can also create an order for somebody.

Participant: the person attending the course. The order owner and participant can be the same person or different people.

Course provider: the training company, school or trainer running the course. They control the order, course availability, invoices, payments, cancellations and refunds.

If you are not logged in or cannot find your account, follow Log In and Find Courses You Are Attending or Bookings You Made first.

If you are already logged in, start from My Account at the top-right of the page.

  1. Select My Courses & Bookings.

  2. To open a recent order, stay on My Courses, find Your Orders and select an order. This section shows up to three recent orders. Select View All to open the full list.

  3. To go directly to the full list, select Orders & Billing.

Orders & Billing shows orders that belong to your account across all course providers, with the newest first.

Find the correct order

Each order row can show:

  • the first course name and its date when the course has a scheduled date

  • + [number] more course or + [number] more courses when the order contains several courses

  • the order code, such as ORD-1234, or the date it was placed

  • the course provider's name

  • the number of attendees and up to two names

  • the total, Free, the amount paid so far, or the amount refunded

  • the order status

  1. Find the order by its course name, order code, course provider, attendees, amount or status.

  2. If the order is not shown, select Load More at the bottom of Orders & Billing.

  3. Select the order row to open it.

If there are no current orders for this account, the page shows No Orders Yet and Orders you place will appear here with their invoices and receipts. Select Explore Courses to browse courses.

Understand the order status

The status appears on the order list and under Summary on the order page:

  • Paid - the order has been paid.

  • Awaiting Payment - payment is still required.

  • Partially Paid - part of the total has been paid.

  • Overdue - an amount is still outstanding after its due date.

  • Awaiting Approval - the order is waiting for the course provider to approve it.

  • Processing - the order or its payment is still being processed.

  • Refunded - the paid amount has been fully refunded.

  • Partially Refunded - part of the paid amount has been refunded.

  • Cancelled - the order has been cancelled.

Contact the course provider if the status is unexpected or you need them to approve, cancel or refund the order.

Check the courses, seats and participants

At the top of the order page, select All Orders to return to Orders & Billing. The heading shows Order [order code] when the order has a code, and Placed [date] shows when it was created.

Under Courses, each current course on the order has its own row. Scheduled, on-demand and blended courses can all appear. A scheduled course can also show its start date.

  • When the order owner is the only participant on a one-seat course, the course stays on one line and can show 1 seat · [participant name] or 1 seat.

  • A course with several seats, another participant or an unassigned seat shows [number] of [number] seats assigned and a participant list.

  • [number] seat unassigned or [number] seats unassigned means a purchased place still needs a participant.

  • Select Manage Participants to open the course's Participants page. Follow Manage Participants and View Their Course Progress and Certificates for the complete instructions.

A participant row can show:

  • Invited - the participant has been added but does not yet have a Cademy account.

  • Missing Details - required participant information is incomplete.

  • Not started - no course-content progress or recorded attendance is shown yet.

  • [number]% - the participant has started the course content.

  • Completed - the participant completed the tracked course content or the registration is complete.

  • Attended - the course provider recorded attendance for a scheduled session.

Select a course row to open its course page. When you open it from the order, the breadcrumb shows Orders & Billing / Order [order code] / [course name]. It stays in place when you switch between Overview, Participants and Forum. Opening the same course from My Courses instead shows My Courses / [course name].

When you are viewing one course provider's Cademy website, a course run by another provider can open that provider's Cademy page in a new tab.

If Courses says This order has no active courses., the order record still exists but none of its course rows is currently available. Contact the course provider if you think a course should still be active.

Check the payment summary and invoices

Under Summary, Status shows the order status. The financial rows appear only when they apply:

  • Subtotal - the course prices before the other adjustments shown.

  • Discounts - the amount removed by discounts.

  • VAT or VAT (included) - the VAT amount and whether it is included in the price.

  • Booking fee - the booking fee charged on the order.

  • Paid by gift card - the amount paid using a gift card.

  • Paid so far - the amount already paid when it is less than the total.

  • Refunded - the amount refunded.

  • Total - the order total, or Free when the total is zero.

If the order has invoices, Invoices shows each Invoice [number] and one of these lines:

  • Void - the invoice is no longer active.

  • Issued [date] · Paid · [amount] - the invoice has been paid. If no issue date is available, the line starts with Paid.

  • Due [date] · [amount] outstanding - payment is still due. If no due date is available, the line shows only the outstanding amount.

Download PDF opens the invoice document. Pay Invoice appears only when the invoice has an outstanding balance and neither the order nor invoice is cancelled, void or already paid.

The Invoices section does not appear when the order has no invoice, such as some free orders. Contact the course provider if an invoice, payment or refund appears incorrect.

Know which orders and billing details you can see

  • You placed the order: it belongs to your account and appears under Orders & Billing, even if every course place is for somebody else.

  • A course provider created the order for you: it appears under Orders & Billing when they made your account the order owner.

  • Somebody else booked a course place for you: the course can appear under My Courses, but their order does not appear under your Orders & Billing.

A participant cannot see another person's prices, payments or invoices. Only the order owner can open the full order and its billing information.

The same order list and order pages work on Cademy's main website and on course-provider Cademy websites. The list can include orders from more than one course provider.

Some older booking records are not full orders and may not appear under Orders & Billing. Find the course under My Courses instead and open its course or booking information.

If an order or action is missing

  • The order is missing: check the email address under My Account. It must match the address used for the order. Select Load More for older orders.

  • You are attending but cannot see the order: somebody else may own it. Open My Courses to find your course instead.

  • An older booking is missing: open it from My Courses. It may not have a full Orders & Billing page.

  • No Pay Invoice: the invoice may be paid, void, have no outstanding balance, or belong to a cancelled order.

  • No Manage Participants: there may be only one seat for the order owner, the participant list may not be available for that course record, or the course may no longer be active. Open the course and check for Participants, or contact the course provider.

  • The course row does not open: its current course page may no longer be available. Contact the course provider.

Contact the course provider for changes to an order, invoice, payment, cancellation, refund or course place. They are the organisation running the course.

Frequently asked questions

I booked a course only for somebody else. Where is it?
The order remains under Your Orders and Orders & Billing because you own it. The course may not appear under Your Courses because you are not attending.

A course provider created an order for me. Can I see it?
Yes, when the provider made your account the order owner. Log in using the email address they used, then open Orders & Billing.

Somebody else booked me onto a course. Why can I not see the order?
The order belongs to the person who made the booking. Open My Courses to find the course you are attending. You cannot see the order owner's prices, payments or invoices.

Why does one order show more than one course?
One order can contain several scheduled, on-demand or blended courses. Open the order, then select the individual course you want to view.

What does This order has no active courses mean?
The order record still exists, but none of its course rows is currently available. Contact the course provider if you believe a course should still be active.

Why is there no Invoices section?
The section appears only when the order has an invoice. It may be absent from a free order or another order that does not need an invoice.

Why can I download an invoice but not pay it?
Pay Invoice appears only for an active invoice with an outstanding balance on an order that is not cancelled. A paid or void invoice can still have a PDF record.

Can I cancel an order or request a refund from the order page?
The full order page does not provide a general cancel or refund action. Contact the course provider. A separate Cancel Booking action can appear on an eligible scheduled course page when the provider allows self-cancellation.

Can I use Orders & Billing on my course provider's Cademy website?
Yes. The same order pages work on Cademy's main website and on course-provider Cademy websites, and the list can include orders from several providers.

Why is an older booking missing from Orders & Billing?
Some older booking records do not have a full order page. Open My Courses and select the course to see the available booking information.
