Use Favourites to keep the records and saved lists you return to in the left sidebar of the Cademy Admin Dashboard. For example, keep a particular course date one click away, or open a saved list of unpaid orders before training starts.
This guide is for course providers and their teams. Favourites are personal to you and separate for each business account you work in. Your colleagues choose their own favourites, even when you use the same saved view.
Choose what to favourite
Favourite | What it opens | Use it for |
A record | One course, course date, Contact, organisation, form, Order or Registration. | A specific item you work on often. |
A saved view | A list with its saved filters and display settings. A view favourited inside a record also opens that record and tab. | A changing work list, such as orders to chase or learners to follow up. |
A view is a named set of filters and display settings for one kind of list. It can store sorting, columns and their widths, and the layout or grouping that the list supports. Its matching records change as your information changes. It is not a frozen copy of the list.
An Order records a purchase. A Registration records one person’s place on a course. A course date is a scheduled delivery of a course; it can also be a block of several sessions. These are separate records, so choose the one you need before starring it.
You can favourite built-in views under Default, team views under Shared, and your private views under Only Me. Choosing Everyone for a view shares the view, not your sidebar shortcut. A favourite does not grant access to a record or change who can see the view.
Favourites are included in every Cademy plan. You can keep up to 50 favourites in each business account. System Admins can favourite all the supported record types. Course Owners and Facilitators can favourite the courses and dates they can access; forms require Course Owner or System Admin access. Record stars on Contacts, organisations, Orders and Registrations require System Admin access.
Individual tasks, team members, invoices, payments, memberships and settings records do not have record favourites. A saved view on a supported list, such as Tasks or Invoices, can still be a favourite.
Favourite one record
Open the Admin Dashboard in the intended business account and find the record.
On a course, Contact, organisation or form page, select the star beside the name at the end of the page’s breadcrumb. For an Order or Registration, open its row and use the star beside its reference in the panel header.
Check that the star is filled and the item appears under Favourites in the sidebar.
Select the favourite to check that it opens the intended record.
Pin a particular course date
For example, keep the First Aid at Work date you are preparing within reach. These are fictional examples from Harbour Training.
Open Courses and select First Aid at Work.
Select the particular date from the course’s date list. Check the selected date in the breadcrumb before starring it.
Select the star beside that date. The favourite uses the course name and date.
Select the favourite from the sidebar. It returns to the course with that date selected.
Starring a course and starring one of its dates creates two different shortcuts. A date favourite keeps that particular date. It does not automatically move to the next delivery of the course.
Save a useful list and favourite it
Use this when you need to return to a combination of filters, sorting or columns. To create and manage views in detail, see Filter, Sort and Save Views.
Open the list, such as Orders, and choose a suitable starting view from the dropdown that shows the current view’s name.
Use Filter to set the conditions you need. Use View for sorting, columns and the display options offered on that list. Check the matching records.
Open the view dropdown and select New View.
Enter a clear View name. Keep Start from the current filters, sort and columns selected. Choose an icon or emoji if it will help you recognise the view.
Under Who can see it, choose Only Me for your own list, or Everyone if you are a System Admin and want your team to use it. Select Create View.
Open the view dropdown again. Open the three-dot menu beside the saved view and select Add to Favourites.
Select the favourite in the sidebar and check the selected view, filters and records.
A view favourite opens the view as saved. Adding an extra filter without saving does not add that change to the favourite. Search text is not part of the saved view. Save any conditions you need before relying on the shortcut.
Favourite a view inside a course or another record
Open the record and its relevant tab first, then use the view’s three-dot menu. The shortcut remembers where you added it. For example, Not Started · Manual Handling Refresher opens that course’s Registrants tab with the saved view selected, rather than the main Registrations page.
The same view can be a separate favourite inside two courses. Each shortcut opens its own course and tab. Views inside organisation tabs, a team member’s tabs and a form’s Responses tab also keep their place.
Examples for your daily work
Choose the examples that fit your work. The names below are fictional. A saved view helps you find and review records; favouriting it does not send messages, approve orders or assign tasks.
Chase payment before a course starts
A System Admin can save Payment Chasing · Next 30 Days on Orders. Start from All Orders, then use these filters:
Status Group: select Pending and Active to leave out draft and cancelled orders.
Payment Status: select Awaiting Payment, Payment Overdue and Partially Paid.
Course Start Date: choose is within, then Next 30 days.
Check the results, create the named view using Save a Useful List and Favourite It, then add it to Favourites. Reopen the shortcut when reviewing payments before training. The relative date filter keeps the queue moving as time passes.
Use Course Start Date when you want to act before training begins. Course End Date finds a different set of orders. An Order can cover several courses; open it and check its dates, balance and invoices before deciding whom to chase. The favourite does not send a payment reminder.
Plan certificate renewals
A System Admin can save Certificates Expiring · Next 6 Months on Registrations. Start from All Registrations, then add Certificate Expiry Date, choose is within and select Next 6 months. If you want only active registrations, also set Status to Active.
Use View → Sort, choose Certificate Expiry Date, then Oldest first. Check the records, save the named view and add it to Favourites. The shortcut opens the current renewal list when you need to plan follow-up.
The Registration list’s certificate dates use the most recently issued certificate that has not been revoked. If a Registration has several certificates, this view does not check every certificate’s expiry. Open the Registration to review its other certificates. Certificate expiry is also separate from the learner’s Access Expires date and the course’s end date.
Follow up with learners who have not started
Open Courses, choose Manual Handling Refresher, then select Registrants. On that tab, start from All Registrations and add Status → Active and Completion → Not Started.
Check the list, create a view named Not Started and favourite it from that course tab. Its sidebar label includes the course name. When you return, it opens this course’s learners, rather than learners across every course.
Use the list to decide whom to follow up with. For the meaning of Completion, see Understand Course Completion Status. A favourite does not send a learner reminder.
Other useful shortcuts
Your task | What to favourite | What to check |
Work with an employer often. | The Kelburn Bay Logistics organisation record, or a view in its Contacts or Tasks tab. | The shortcut opens that employer and tab. Its Orders and Registrations tabs use linked Contacts, not every invoice billed to the company. |
Return to your own task list. | The built-in My Tasks view on Tasks. | It includes tasks assigned to you and to groups you belong to. Use Overdue for tasks past their deadline. |
Review bookings waiting for a decision. | The built-in Awaiting Approval view on Orders. | Approval status and payment status are separate. The shortcut does not approve an Order. |
Review feedback waiting for publication. | A saved Reviews to Approve view inside Course Review → Responses, filtered by Review Status → Awaiting Approval. | The shortcut keeps this form’s waiting reviews in reach. It does not publish them or identify unanswered private messages. See Read and Manage Form Responses for the response workflow. |
To favourite one of the built-in views, open its list, open the view dropdown, then choose Add to Favourites from the three-dot menu beside that view. You do not need to create a copy first.
Organise and remove favourites
Open the three-dot menu beside a favourite in the sidebar. It offers Open in New Tab, Rename and Remove from Favourites.
Choose Rename, enter a short label that helps you recognise the shortcut, then press Enter. This changes your favourite’s label, not the original record or saved view.
To return to the original label, rename the favourite again, clear its name and press Enter.
On desktop, drag favourites into the order you want. Cademy remembers the order for your user in this business account.
Choose Remove from Favourites to remove a shortcut. You can also remove a record favourite by selecting its filled star, or remove a view favourite from the view’s three-dot menu.
Removing a favourite does not delete the record or saved view. If you rename the original item, a favourite without your own custom label updates when you next open that item. Your custom label remains until you change or clear it.
Select the Favourites heading to fold or unfold the section. With the sidebar collapsed, favourites appear as icons; hover over one to see its name. On a phone, open the dashboard’s menu button to use your favourites. You can open, rename and remove them there; drag-to-reorder is a desktop action.
Find favourites in Search
Select Search at the top of the sidebar, or press ⌘K on a Mac or Ctrl+K on another computer.
Before you type, look for Favourites above Recent. Type part of a favourite’s displayed name to narrow it down.
Choose the matching favourite to open its record or saved view.
If you gave a favourite your own label, search for that label. Search matches the name displayed in Favourites.
Frequently asked questions
Will my colleagues see my favourites?
No. Favourites belong to your user in this business account. A shared view can be visible to the team, but each person chooses whether to favourite it.
Can I favourite a built-in view?
Yes. Open the view dropdown and choose Add to Favourites from the three-dot menu beside the built-in view.
Why does my favourite open the list without my latest filter?
The favourite opens the saved view. Save the filter change, or create a separate view containing it, before using the shortcut. Unsaved changes and the search text are not saved by favouriting a view.
Does renaming a favourite rename the record?
No. Rename in Favourites changes your shortcut label only. It does not rename the original course, Contact, organisation or saved view.
What happens when a record or view is deleted?
A deleted Contact or saved view cannot be reopened. After you try to open it, its favourite turns grey and remains removable. If a selected course date has been removed, its shortcut can open the course without that date selected. Remove the old shortcut and favourite the correct record or view again. An archived course is different: its favourite can still open the archived course page.
Why is a Contact favourite no longer working after a merge or email change?
A merge or a change to the Contact’s email can change the record’s address. Remove the old favourite, find and open the current Contact, then select its star again.
Why is a favourite missing or opening a page I cannot access?
Check that you are in the intended business account and that your role and course assignments still allow the page. Favourites do not grant access. If your role changed, a shortcut inside a record can still point to a tab you can no longer open; remove that shortcut or ask a System Admin to check the required access.
Why can I not add another favourite?
You can keep up to 50 favourites in this business account. Remove one you no longer need, then add the next item.
Will favourites follow me to another browser?
Yes. Your favourites, their custom labels and order are saved for your user in this business account. Another business account has a separate favourites list.
