Manual Payment Handling

Introduction

Cademy gives you the flexibility to accept offline payment methods such as bank transfer, cash, or on-the-day payments through the Manual Payment Handling option. This allows your customers to complete a booking and pay you outside the platform using your instructions.


How to Enable Manual Payment Handling

To activate this payment option:

  1. Navigate to Settings → Payments → Manual Payment Handling

  2. Toggle “Allow manual payment handling” to true

  3. Enter a Label (e.g. “Bank Transfer” or “Cash on Arrival”) – this appears on the checkout page

  4. Optionally, add a Notice – additional instructions displayed after the customer selects this payment option (e.g. account details or payment process)

Note: Manual Payment Handling must be used alongside at least one online payment method (such as Stripe or PayPal). It cannot be used as the only payment option on a course.


How It Works for Customers

Once enabled, customers will see your manual payment option during checkout alongside your other payment methods. They can choose this to complete a booking and follow the steps you provide to pay later via your preferred offline method.


What Customers Can Do After Booking

If a customer selects Manual Payment and then accesses their booking from the Customer Dashboard, they will see that course access is restricted until payment is made.

However, they will still be able to:

  • Pay online via card

  • Add or remove participants

  • Download the invoice

  • Cancel the booking


Controlling Payment Methods Per Course

Manual Payment Handling is enabled by default for all courses once turned on in your payment settings. If you want to remove this option from a specific course:

  1. Go to the course’s Settings → Advanced Settings → Payment Methods

  2. Uncheck “Manual Payment Handling” for that course


Booking Management

Bookings made using Manual Payment Handling are clearly marked in yellow in the admin dashboard for easy visibility.

Clicking on a booking will open a side sheet. In the Payment section, you’ll see:

  • Payment method: Manual

  • Payment status: Awaiting Payment

From here, you can:

  1. Click “Awaiting Payment” to:

    • Mark the booking as Paid or Overdue

  2. Access invoice actions:

    • Copy Payment Link

    • Edit Invoice

    • View Invoice

  3. Cancel the booking if needed

If the payment is made outside of Cademy and you manually mark the booking as paid, the customer will immediately receive a booking confirmation email and gain access to the course.


Plan Availability

Manual Payment Handling is only available on the Pro plan and higher.
