What are contact fields?
When you look at a contact record, you will see their contact and personal information in what we call "Contact fields". Example fields include First Name, Last Name, Phone, Email, and Address β all of these are contact fields.
Creating contact fields
By default, if your account is still new, you may see a handful of contact fields like name, email, phone, address and marketing consent. These fields are created by Cademy by default when you create an account as we assume that most people will need them.
If you need to capture and collect additional details about your contacts like their date of birth, dietary preferences, interests, accessibility requirements, etc - you will need to create new fields.
To create new fields, go to Settings β Contact Fields. You will be able to see all your existing contact fields and create new ones using the + New Field
button at the top right.
When creating a new field, you will first be prompted to pick the field "type" from a set of options. This helps us determine how to format the date inside the field, and what's the best way to input that data. For example, if you want to collect the "Date of Birth" from contacts, you would create a new field and pick the type as "Date". This way, when editing that field in the system, or when prompting contacts to enter this information, we will present the user with a calendar picker and we will make sure to format the entered value as a date for consistency.
When creating a new field, you will be prompted to enter the following:
Label
A label would be something like "Date of Birth". It tells you what information is stored in that field and if you'll use this field in a booking form, it will also tell the customer what information they should be entering in it.
Description
The description text will show under the label if you ever use this contact field on a booking form.
Items
Some fields, like the Multiple Choice Checkboxes, Single Choice Options and the Dropdown field will require the user to select from a list of items. For those field types, you will need to enter the options from which the user can pick in the "Items" text when creating or editing the field. Add each item as a new line in the text of your item input.
Using contact fields
After creating a contact field, you can use it whenever you edit or create a contact. You simply click on a field to enter the value into it.
If you want to capture contact details directly from your customer, you can simply update your booking form to include your desired contact fields. To update a form go into a course, click edit, and then go to the last step by clicking on the Settings
tab at the top. In the course settings, click on the "Booking Form" section, and click the βοΈ edit icon next to the selected form. You can now customise which fields are shown on the booking form.
