Use this guide to close, cancel or permanently delete your course provider account, for example when you stop trading or retire, or when you have a duplicate business account you created by mistake. Closing the account removes your business and its profile from Cademy, including its courses, contacts, files and team access.
A System Admin is a team member with full access to a course provider’s business account. Only System Admins can permanently delete that business, from the Admin Dashboard, where courses and settings are managed.
A business account belongs to your organisation. Your login is the email address you sign in with. One login can open more than one business account; deleting one business does not delete the others.
Important: Deletion cannot be undone, and Cademy Support cannot restore the account. Export and download everything you need before confirming.
Check That Closing the Whole Account Is What You Need
Deleting the business account is permanent and affects everyone who uses it. Choose a smaller change instead if one of these fits:
To stop paying for a Cademy plan while keeping your business account, move to Free instead. Cancelling a plan does not close the account. See Manage Your Cademy Subscription.
If one person is leaving your team, remove that person’s access. See Remove a Team Member’s Access (Archive a User).
To remove only your profile or listings from the Cademy Marketplace while your business keeps trading, see Remove Your Profile or Listing From the Cademy Marketplace.
For a request about one person’s data, see the Cademy Privacy Policy. If you are a learner and want your own account or personal data deleted, see Delete Your Learner Account or Personal Data.
Close Down or Delete a Duplicate Business Account Created by Mistake
If you have two business accounts and need only one, delete the one you do not need with the steps in this guide. Before you start, check the business name at the top of the Admin Dashboard sidebar so you delete the intended account. Your login and the business account you keep are not affected. To move between the two accounts first, see Switch Between Course Provider Accounts.
Prepare Your Records and Learners Before Closing Your Account
Export Contacts, Orders and Invoices Before Deleting
Export the contacts, orders, invoices and registrations you need. A registration is one learner’s place on a course. Export or Download Your Data as a CSV File explains the available exports and where to download them.
Download the completed files and save them outside Cademy. Also save any uploaded files and certificates you need. An export link or a file left inside Cademy will not give you access after the account is deleted.
Settle Bookings and Tell Your Learners Before You Close
Review future course dates, online course access, unpaid orders and any cancellations or refunds you need to handle. Complete those actions before deleting the account. To cancel bookings, see Cancel a Booking or Part of an Order. To refund payments, see Refund a Customer in Full or in Part.
Tell learners how their courses will be delivered or cancelled, and how to contact you afterwards. Cademy does not send learners an account-deletion email. Learners lose access to this business’s courses and records when the account is deleted.
Save Your Cademy Invoices and Billing Records
Save the Cademy invoices and payment information you need before you lose access. See Manage Your Cademy Subscription. Deleting the account cancels its Cademy plan and AI credit subscriptions without a refund; you do not need to cancel the plan separately first.
Check Your Stripe or PayPal Account Before Closing
Your Stripe or PayPal account belongs to you and is separate from Cademy. Deletion disconnects the business’s payment and other integrations; it does not close your account with the payment provider. Use that provider directly for payments, payouts and refunds after leaving Cademy.
Delete Your Business Account From the Profile Page (Delete Account)
Sign in to the Admin Dashboard as a System Admin. Check the business name at the top of the sidebar so you delete the intended account.
Open Profile in the sidebar. If it is hidden, open the menu showing the business name or logo and select Update Business Profile.
Scroll to the bottom of the Profile page. In Delete Account, select Delete Account…. A window opens and checks whether the account is ready for deletion.
Delete Account Is Blocked: Active Memberships or Unpaid Instalments
If the window says Resolve these before you can delete your account., the Delete Account button is disabled. It lists the conditions you need to resolve:
Active learner membership subscriptions: select View Subscriptions to open the full subscription list. Find and cancel the active subscriptions. The cancellation options and their effects are explained in Manage Membership Subscribers.
Orders with instalments still to pay: select View Orders to open the full orders list. Find the orders with outstanding instalments and settle or cancel them. Handle any refunds separately; see Refund a Customer in Full or in Part.
After resolving the listed conditions, return to Profile and reopen Delete Account… to check again. Upcoming course bookings are shown as a warning; they do not themselves prevent deletion.
Confirm Permanent Deletion (I understand, delete account)
When the account has no blockers, the window shows what will happen. It includes the plan, connections, other team members and upcoming booked learners when those apply to your business.
Read the warning and every consequence. Check the business name again.
If you still need your records, select Export Your Data. It opens Settings > Exports in a separate tab. Finish downloading your files before continuing.
In the confirmation field, type I understand, delete account. The button stays disabled until the phrase matches. Letter case and spaces before or after the phrase do not affect the match.
Select Delete Account only when you are ready to permanently delete the business.
What Happens After You Close or Delete Your Account
The business’s website, courses and booking pages go offline straight away. Cached public pages take a short time to reflect the change.
You are switched to another business account your login can open, or signed out if there is none. The deleted business is removed from the account switcher.
Cademy removes the business’s data and files in the background. Its team loses access, and its Cademy subscriptions and connected services are stopped or disconnected.
Each active System Admin receives an email titled Your Cademy account has been deleted. It names who requested the deletion, when, and the date until which orders and invoices are retained. The email is sent while the remaining data is being removed.
People who also use another business keep that access. A learner’s shared Cademy account is kept; the deleted business’s orders and courses disappear from their learner pages, while their records with other businesses remain.
A former team member’s login is removed if they have no other business access, no learner relationship with another business and no Cademy staff access. Deleting a business is therefore different from requesting deletion of all information associated with a shared login.
Financial Records and Personal Data Kept After Deletion
Cademy keeps financial records, including orders, invoices and payments, for six years for legal and tax purposes. Billing details needed for those records remain. Account deletion does not erase every personal detail from financial records.
For Cademy’s terms and privacy information, see Find the Cademy Terms of Service and Privacy Policy. For a separate request about personal data, see the Cademy Privacy Policy.
