This guide is for anyone who booked a course with a course provider that uses Cademy, for themselves or for somebody else, and for anyone a course provider created an order for. It shows where to find your orders, what an order page tells you, and where to download your invoices and receipts.
Orders & Billing lists the orders that belong to your Cademy account, whether you placed the order yourself or a course provider created it for you. You can be attending the course, booking for somebody else, or both.
Order: the purchase and payment record for a booking. One order can contain one or more courses, participants, payments and invoices.
Order owner: the person whose account the order belongs to. This is the person who placed the order, or the person a course provider created the order for.
Participant: the person attending the course. The order owner and participant can be the same person or different people.
Course provider: the training company, school or trainer running the course. They control the order, course availability, invoices, payments, cancellations and refunds.
Know which orders and billing details you can see
Attending a course and owning its order are two different things. Which of these cases applies to you decides what you find in your account:
You placed the order: it belongs to the Cademy account you were logged in to at checkout and appears under Orders & Billing, even if every course place is for somebody else.
A course provider created the order for you: it appears under Orders & Billing when you log in with the email address the provider used for the order.
Somebody else booked a course place for you: you find the course under My Courses, but their order does not appear under your Orders & Billing. Your course page shows Booked By with the name of the person who made the booking.
A course provider added or imported your course place without an order: you find the course under My Courses. No order for it appears under Orders & Billing.
A participant cannot open another person's order. Only the order owner can open the order page with its prices, payments and invoices.
Orders & Billing works the same on Cademy's main website and on course-provider Cademy websites. It lists your orders from every course provider, not only the provider whose website you are on.
A draft order that a course provider has not finished creating is not shown. An order that has been deleted is not shown either.
Open a recent order or the full order list
If you are not logged in or cannot find your account, follow Log In and Find Courses You Are Attending or Bookings You Made first.
To open the full list of your orders:
Select My Account at the top-right of the page, then select My Courses & Bookings. The My Courses page opens.
Select the Orders & Billing tab. It lists your orders with the newest first.
Select an order row to open its order page.
The My Courses page also has a Your Orders section when at least one order belongs to your account. It shows up to three of your most recent orders. Select one to open it, or select View All to open Orders & Billing.
Find the correct order
Each order row shows:
the name of the first course on the order, followed by its start date when the course has a scheduled date
+ [number] more course or + [number] more courses when the order contains more than one course
the order code, such as ORD-1234, or Placed and the order date when the order has no code
the course provider's name
the number of attendees and up to two of their names, when the order has attendees. Each name is shown as a first name and the first letter of the last name
the amount: the order total, or Free when the total is zero. For a partially paid order this is the amount paid out of the total, and for a refunded or partially refunded order it is the amount refunded
the order status
An order with no course left on it is titled Order placed followed by its date.
The list shows ten orders at first. If you have more, select Load More at the bottom of the list to show the next ten.
If no order belongs to this account, the page shows No Orders Yet and Orders you place will appear here with their invoices and receipts. Select Explore Courses to browse courses.
Understand the order status
The status appears on each order row and under SUMMARY on the order page:
Paid - the order has been paid.
Awaiting Payment - payment is still required.
Partially Paid - part of the total has been paid.
Overdue - an amount is still outstanding after its due date.
Awaiting Approval - the order is waiting for the course provider to approve it.
Processing - the order or its payment is still being processed.
Refunded - the paid amount has been fully refunded.
Partially Refunded - part of the paid amount has been refunded.
Cancelled - the order has been cancelled.
A cancelled order that has been refunded shows Refunded or Partially Refunded instead of Cancelled.
A checkout that you started with card, PayPal or Klarna and did not finish paying is listed as an order with Processing. If it stays unpaid, it later changes to Cancelled.
Contact the course provider if the order shows a status you did not expect or one that is not listed here, or if you need them to approve, cancel or refund the order.
Check the courses, seats and participants
At the top of the order page, select All Orders to return to Orders & Billing. The heading shows Order [order code] when the order has a code, and Placed [date] shows when it was created.
Under COURSES, each course on the order has its own row with the course name. A course with a scheduled date also shows its start date. The rest of the row depends on its seats. A seat is one place bought on that course. The Your Order card on the course page calls the same places spaces:
A course with one seat where you are the only participant stays on one line and shows 1 seat · [your name] or 1 seat.
Every other course shows [number] of [number] seats assigned, or [number] of 1 seat assigned for a one-seat course, and a list of its participants. Your own row in the list is marked (You).
[number] seat unassigned or [number] seats unassigned under the list means a seat has no participant yet.
Select Manage Participants under the list to open the course's Participants page. Follow Manage Participants and View Their Course Progress and Certificates for the complete instructions.
Each participant in the list has one of these labels:
Invited - the participant has been added but does not yet have a Cademy account.
Missing Details - required participant information is incomplete.
Not started - no course progress or attendance is recorded yet.
[number]% - the participant has started the course content. The number is their progress.
Completed - the participant's place is marked completed, or their course content progress reached 100%.
Attended - attendance is recorded for the participant on at least one session.
Select a course row to open its course page. Find Course Dates, Locations, Joining Instructions and Content explains what the course page shows.
When you open a course from the order, the line of links above the course name shows Orders & Billing / Order [order code] / [course name], so you can return to the order. It stays in place while you move between Overview and Participants. On the course forum the line shows My Courses / [course name], and the forum page has no Participants tab. Opening the same course from My Courses shows My Courses / [course name] as well.
When you are on one course provider's Cademy website, a course run by a different provider opens on that provider's Cademy website in a new tab.
If COURSES says This order has no active courses., no course is left on the order. The order page still shows its summary. Contact the course provider if you think a course should still be on the order.
Check the payment summary and invoices
Under SUMMARY, Status shows the order status. Subtotal and Total always appear. The other rows appear only when they apply:
Subtotal - the course prices before the other adjustments shown.
Discounts - the amount removed by discounts.
VAT or VAT (included) - the VAT amount and whether it is included in the price.
Booking fee - the booking fee charged to you on the order.
Paid by gift card - the amount paid using a gift card.
Paid so far - the amount already paid. It appears when a payment has been made and the amount paid is different from the total.
Refunded - the amount refunded.
Total - the order total, or Free when the total is zero.
Download an invoice or receipt
The INVOICES section is below SUMMARY. It lists each invoice the course provider has issued for the order as Invoice [number], with one of these lines:
Void - the invoice has been cancelled and cannot be paid.
Issued [date] · Paid · [amount] - nothing is left to pay on the invoice. If no issue date is available, the line starts with Paid.
Due [date] · [amount] outstanding - payment is still due. If no due date is available, the line shows only the outstanding amount.
Select Download PDF beside an invoice to open the document in a new tab. There is no separate receipt document. When nothing is left to pay on the invoice, its PDF is titled Receipt instead of Invoice.
For the other places where you can download the document, see Pay an Invoice from Your Course Provider.
The INVOICES section is not shown in two cases:
The order has no issued invoice. An invoice the course provider has not issued yet is not listed.
The order's payment is recorded as arranged directly with the course provider. This applies when you chose the provider's own payment option at checkout, which the provider sets up and names. It applies when a course provider created or imported the order for you without requesting payment through Cademy, for example a free order or an order recorded as already paid. It also applies after the provider records a payment on the order that was made to them outside Cademy.
In both cases, contact the course provider if you need an invoice or receipt for the order.
Pay an invoice from the order page
Pay Invoice appears beside an invoice only when all of these are true:
the invoice has an amount outstanding
the invoice is not void and not already paid
the order is not cancelled
the course provider has not switched off online payment links for its customers
Pay Invoice opens the payment page for that invoice. Follow Pay an Invoice from Your Course Provider for the payment steps and the messages the payment page shows.
A paid or void invoice still has Download PDF. Contact the course provider if an invoice, payment or refund appears incorrect.
If an order or action is missing
The order is missing: select My Account and check the email address at the top of the menu. An order you placed belongs to the account you were logged in to at checkout. An order a course provider created for you belongs to the account with the email address the provider used. If you have more than ten orders, select Load More for older ones.
You are attending but cannot see the order: somebody else owns the order, or the course provider added your place without an order. Open My Courses to find your course.
A link to an order shows a page-not-found message: the order does not belong to the account you are logged in to, or it has been deleted. Log in with the account that owns the order.
No INVOICES section: the order has no issued invoice, or its payment is recorded as arranged directly with the course provider. “Download an invoice or receipt” lists when that applies. Contact the course provider if you need an invoice or receipt.
No Pay Invoice: the invoice is paid or void, has nothing outstanding, belongs to a cancelled order, or the course provider has switched off online payment links. Contact the course provider if payment is still due and you need a payment link.
No Manage Participants: the course has one seat and you are its only participant, so the order page shows no participant list for it. It is also missing on a course row that has no arrow at its end.
The course row does not open: a row without an arrow at its end has no course page to open from the order. Contact the course provider.
A course row opens No Booking Found or No Order Found: the course page did not open for this order. The page shows the email address you are logged in with. If that is the account that owns the order, contact the course provider for your course details. The order page still opens from Orders & Billing. Book Course on the No Booking Found page and Order Course on the No Order Found page open the checkout for the course. They do not open the order you already have.
Contact the course provider for changes to an order, invoice, payment, cancellation, refund or course place. They are the organisation running the course.
Frequently asked questions
I booked a course only for somebody else. Where is it?
The order is under Orders & Billing because you own it. It is also under Your Orders on the My Courses page while it is one of your three most recent orders. The course does not appear under Your Courses because you are not attending it.
A course provider created an order for me. Can I see it?
Yes, when the provider created it with the email address of your Cademy account. Log in with that email address, then open Orders & Billing. A draft the provider has not finished creating is not shown.
Somebody else booked me onto a course. Why can I not see the order?
The order belongs to the person who made the booking. Open My Courses to find the course you are attending. Its course page shows that person's name under Booked By. You cannot see their prices, payments or invoices.
Why does one order show more than one course?
One order can contain several courses. Open the order, then select the course you want to view.
Where is my receipt?
Open the order and select Download PDF beside the invoice. There is no separate receipt document: when nothing is left to pay on the invoice, the PDF is titled Receipt. If the order has no INVOICES section, contact the course provider.
Can I cancel an order or request a refund from the order page?
No. The order page has no cancel or refund action. Contact the course provider.
Can I use Orders & Billing on my course provider's Cademy website?
Yes. Orders & Billing works the same on Cademy's main website and on course-provider Cademy websites, and it lists your orders from every course provider.
