If an order belongs to your account, you can manage who attends each course on that order and review the information shown for every participant. You can do this whether you booked for yourself, for somebody else, or for a group.
Order owner: the person whose account the order belongs to. This is normally the person who placed the order, but a course provider can also create an order for somebody.
Participant: the person attending the course. The order owner and participant can be the same person or different people.
Course place or seat: one purchased space on a course.
Participant changes do not change the number of places purchased or the order total. Removing somebody leaves an unassigned place. It does not create a refund.
Open the participant list
If you are not logged in or cannot find your account, follow Log In and Find Courses You Are Attending or Bookings You Made.
If you are already logged in:
Select My Account at the top-right of the page.
Select My Courses & Bookings.
Select Orders & Billing.
Open the order containing the course.
Under Courses, find the course you want to manage.
Select Manage Participants. If that link is not shown, select the course row and then select Participants on the course page.
If a section called Bookings appears above the participant list, you own more than one booking for that course date. Select the booking you want to manage. The selected booking controls which participants and purchased seats appear below.
If you are attending the course yourself, you can also select My Courses, open the course, then select Participants.
The Participants page shows the people assigned to that course and any course places that are still unassigned.
Understand the participant list and status labels
The page can show:
the number of seats that remain unassigned
Invite and Add when an unassigned seat is available
each participant's name, email and status labels
View Progress when the course contains trackable lessons
a three-dot actions menu beside each participant
a notice when the order owner is not attending
A participant can have more than one status label:
You - this is your own participant row.
Not Started - the participant has not started the course content.
A percentage - the participant has started the course content. The percentage shows how much is complete.
Completed - the participant has completed all tracked course content.
Attended or Absent - the course provider recorded attendance for a scheduled session.
Missing Details - required participant information has not been completed.
For a course containing several dates, participant changes apply to every date of that course in the order. The same rule applies when a blended course has both course content and scheduled sessions.
Check progress, attendance and certificates
View detailed course progress
If View Progress appears beside a participant:
Select View Progress.
The window called Progress for [participant name] shows each course section.
Select a section heading to expand or collapse its lessons.
Check each lesson's Not Started, In Progress or Completed status.
Select Close when you are finished.
The percentage beside the course name at the top of the page is your own progress. The percentage beside another person's name is that participant's progress.
Scheduled course: attendance can be shown even when there is no View Progress button.
On-demand course: course-content progress can be shown, but there may be no attendance label.
Blended course: both course-content progress and scheduled-session attendance can be shown.
Course content hosted on another website: Cademy may not be able to show lesson progress.
Open an issued certificate
Open the three-dot menu beside the participant.
Select Get Certificate.
Get Certificate is disabled until the course provider has issued a certificate. When it is available, it opens the participant's latest active certificate in a new browser tab.
The certificate action remains available on older participant records even when adding, editing or removing participants is not supported. If a certificate you expect is missing, contact the course provider.
Add or invite somebody
You can add only as many people as there are unassigned seats. Each person needs a different valid email address that is not already assigned to somebody on the same course.
Add a participant
Select Add when you know the person's details and want to complete every required field for them.
Select Add.
Complete every required field in Add Participant.
Select Add. If another seat is available, you can select Add and Add Another.
Invite participants by email
Select Invite when you know the email addresses but want the participants to complete their own missing details.
Select Invite.
Under Enter email addresses (one per line), enter one participant email address on each line.
Check the email summary under the field. Make sure there are no invalid addresses and that the number of emails does not exceed the unassigned seats.
Select Send Invite or Send Invites.
When Cademy can send the invitation, each participant receives an email with a link to view the course.
If an address is invalid, correct or remove it before sending. To add yourself, use Add Yourself as Participant instead of entering your own email as another participant.
If Cademy will not email a participant, a warning appears after they are added. Select Copy Link and send the course link to them yourself.
Edit, replace or remove a participant
Find the participant on the Participants page.
Open the three-dot menu beside their name.
Select the action you need.
Edit - update the same person's name or other requested details. Their email address cannot be changed here.
Replace Participant… - give the participant's place on this course to a different person with a different email address.
Remove - remove the person and leave their course place unassigned.
Selecting Edit opens Edit Your Details for your own row or Edit Attendee for another person. Select Save after making the changes.
If you own the order, are attending the course and your own row shows Missing Details, open the three-dot menu beside your name, select Edit, complete every required field in Edit Your Details, then select Save.
On a current order, Replace Participant… applies to every date of the selected course in that order. If the original participant is also attending another course on the same order, that other course stays with them.
On an older booking, Replace Participant… may not exist. When participant management is still available, remove the participant and add the correct person again. If the list is read-only, contact the course provider.
Edit, Replace Participant…, Remove and transfer actions become unavailable after attendance has been recorded or the participant has started course content. Progress, attendance and an issued certificate can still remain visible. Contact the course provider if the participant must be changed.
Manage your own course place
If you own the order but are not attending, the Participants page can show:
You are the owner of this order but you are not on the list of expected participants.
If an unassigned seat is available, select Add Yourself as Participant.
If you are already listed as a participant, open the three-dot menu beside your own name. Depending on the booking, you can select:
Transfer Your Spot - give your place to somebody else while keeping access to the order as its owner.
Remove Yourself as Participant - stop attending while leaving the purchased place unassigned.
A one-seat booking made only for yourself normally has no Participants tab. Before the course starts, Transfer Your Spot can instead appear on the Overview page beside the order information.
For a scheduled or blended booking, Transfer Your Spot is available only before the first course date begins. It also becomes unavailable after your attendance or course-content progress has been recorded.
These changes apply to every date of the selected course. They do not change the order total or create a refund.
If somebody else booked the course for you
You are a participant, not the order owner. You cannot open their order, manage the participant list or see their prices, payments and invoices.
You can still open the course from My Courses, check your own course-content progress and select Get Certificate after your certificate has been issued. You cannot view another participant's progress or certificate.
If information is missing, Additional details required opens when you visit the course page:
Complete every field marked as required.
Check that the information is correct.
Select Save.
Your email address cannot be changed in this window. Ask the person who booked the course or the course provider to correct the email assigned to your place.
If participant controls are missing
No Participants tab: this is normal for a one-seat booking where you are the only participant. It is also hidden when somebody else owns the order.
No Invite or Add: every purchased seat may already have a participant, or the participant list may be read-only.
No View Progress: the course has no lesson progress that Cademy can show. Attendance labels can still appear for scheduled sessions.
Get Certificate is disabled: the course provider has not issued an active certificate for that participant.
Transfer Your Spot is missing: the first scheduled course date may already have started, or your progress or attendance may already be recorded.
Edit, Replace Participant or Remove is unavailable: attendance may have been recorded or the participant may have started course content.
Participant information is read-only: some older orders and registrations added manually by a course provider cannot be changed from this page. Available progress, attendance and certificates can still be viewed.
The order or course is missing: check that you logged in using the email address connected to the order, then follow Find and Open Orders You Placed or That Were Created for You.
If you still cannot make the required change, contact the course provider. The course provider is the training company, school or trainer running the course.
Frequently asked questions
Why can I not see the Participants tab?
The tab is shown only to the order owner when there is something to manage, such as more than one seat, another participant or an unassigned seat. It is not shown to somebody who was booked by another person.
What is the difference between Add and Invite?
Add lets you complete every required participant field yourself. Invite lets you enter email addresses so the participants can complete their own missing details.
Can I add more people than I paid for?
No. You can assign only the number of places purchased for that course. Add and Invite stop being available when every seat is assigned.
Why can I not see View Progress?
View Progress appears only when the course contains trackable lessons in Cademy. A scheduled course can show attendance without lesson progress. Content hosted on another website may not report progress to Cademy.
Why does a participant have both progress and attendance labels?
They measure different things. Progress shows completion of course content. Attended or Absent shows the attendance recorded for a scheduled session. A blended course can use both.
Why is Get Certificate disabled?
The course provider has not issued an active certificate for that participant. Contact the course provider if you believe the certificate should be available.
Which certificate does Get Certificate open?
It opens the participant's latest active certificate in a new browser tab. A revoked certificate is not opened.
Why can I not change the email in Edit Attendee?
Edit updates the same participant's details. On a current order, select Replace Participant… to give the place to a different email address or person. On an older editable booking, remove the participant and add the correct person again.
Does replacing somebody affect their other courses?
No. It replaces their place only on the selected course. If that course has several dates, the replacement applies to every date of that course.
What happens when I remove a participant?
The person loses that course place and the seat becomes unassigned. The order total, payment and invoice do not change, and no refund is created.
Why are Edit, Replace Participant or Remove unavailable?
The participant may already have recorded attendance or may have started the course content. You can still view any available progress, attendance and certificate. Contact the course provider if a participant change is still required.
Why did the participant not receive an email?
The course provider's email settings may prevent Cademy from sending it. When the warning appears, select Copy Link and send the course link to the participant yourself.
I own the order but I am not attending. Can I add myself?
Yes, if an unassigned seat is available. Open the Participants page and select Add Yourself as Participant.
Somebody else booked me onto the course. Can I change my email?
No. Complete any other missing details in Additional details required, then ask the person who booked or the course provider to correct the email.
