Book a Course for Yourself or Other People

Book a course from a course provider’s page: choose a date and spaces, enter your details and the other attendees’ details, use a promo code or gift card, pay, and check your confirmation.

This guide is for anyone booking a course with a course provider that takes bookings through Cademy. It follows one booking from the course’s public page to the confirmation, whether the spaces are for you, for other people, or both.

A course provider is the business running the course. It sets the dates, the prices, the questions on the booking forms and the payment methods. Cademy is the booking system the course provider uses. The booker is the person who makes the booking. The order is saved to the booker’s account, so other guides call this person the order owner. Attendees are the people who take the course. The booker can be one of the attendees, but does not have to be.

Checkout numbers its steps: Spaces, Sign In, Your Details, Payment and Done. Sign In is left out when you are already logged in. A booking with nothing to pay goes from Your Details straight to Done.

Before you book

Have these ready:

  • An email address you can open. The booking is saved to the account for this address, and Cademy sends the booking emails to it.

  • The details of each attendee, when the course provider asks for them. Unless the course provider has changed the form, that is each person’s first name, last name and email address.

  • Your promo code or gift card code, if you have one.

The button on the course’s public page shows how the course is booked:

  • Book starts the checkout in this guide. A course with no fixed dates has Buy, or Enrol when it is free. The course provider can replace these labels with its own wording.

  • Apply, Request a Date and Request Group Booking send an application or a request to the course provider instead of making a booking. A course that runs only on request also uses Book, but opens a different set of steps that starts with Delivery options, Dates and Message. Depending on the course, that journey sends a request or makes a booking and takes payment. This guide does not cover it.

  • Join Waitlist or Sold Out means the date has no spaces left.

  • If the button opens a different website, the course provider takes bookings outside Cademy.

  • A line that starts “Subscribe before you can”, or the line “You need a membership to book this course.”, is shown when the course is for members only, until you are logged in with an active membership for it. See Manage a Membership You Bought.

Choose your date and spaces

The Spaces step is where you choose what you are booking.

  1. On the course’s public page, select Book. When the page lists several dates, select Book beside the date you want. Checkout opens at Spaces with a card for the course.

  2. If the card shows a list of dates, select Book beside one, or Book All for a block of dates. The card then shows that date. Select Change Date to pick a different one. A course with no fixed dates shows Start anytime instead.

  3. Set the number of spaces with the plus and minus buttons beside each price option. One space of the first option on sale is already selected. You cannot add more spaces than are left. An option that is not on sale shows “Sales start on” or “Sales ended on” with the date.

  4. If the card has an Add-ons heading, add any extras you want with their plus and minus buttons.

  5. Check Your Basket. It lists each course with its price lines and the Total. Some course providers hide prices at checkout, and the basket then shows no price lines or Total.

  6. Select Continue. While a course has no date or no spaces, Continue cannot be selected and the basket shows “Pick a date and at least one space for every course to continue.”

When the course provider has discounts to show for the course, the step lists them under Available Discounts, with the note “Discounts and vouchers are redeemed in the final step.” You enter a code at the Payment step.

Add another course or date to the same booking

If the course provider allows several courses in one checkout, the Spaces step has the button + Add Another Course or Date. Use it to book more than one course, or more than one date of the same course, in a single order.

  1. Select + Add Another Course or Date, then Continue Browsing. Cademy saves your basket and takes you back to the course provider’s site.

  2. Open the other course, or the same course again for another date, and select Book. Checkout opens with your saved basket and the new course added to it.

  3. Choose the date and spaces for the new course, then select Continue.

To take a course out, select Remove on its card. Removing the only course opens Remove Course. Selecting Continue Browsing there empties the basket and takes you back to the course provider’s site.

The saved basket is kept in your browser for 24 hours after your last change to it, so return to it in the same browser on the same device. After that, selecting Book starts a new basket. If a saved basket can no longer be reopened, checkout shows “Your saved basket expired, so we’ve started a new one.”

Not every course can share a basket. See “If a course cannot be added to your basket” below.

Sign in or enter your email

If you are not logged in, the Sign In step asks “How should we contact you?”. The address you give here is the booker’s: the order is saved to its account, and Cademy sends the confirmation to it.

Enter your email address and select Continue, or select Google or Facebook to continue with one of those accounts. What happens next depends on the email address:

  • No Cademy account yet - Cademy creates an account for the address and moves you to Your Details. You are not asked for a password.

  • An account with a password - enter the password and select Log in & Continue. Email me a code instead and Forgot password? are there if you do not have the password to hand.

  • An account without a password - Cademy emails you a 6-digit code. Enter it and select Log In.

If you are already logged in, this step is skipped. Your Details then shows “You are logged in as” with your email address, and a Log out link in case you need to book with a different address.

Enter your details and the attendees’ details

Your Details collects the booker’s details and, when the course provider asks for them, the details of each attendee. The course provider chooses the questions, so the forms differ between course providers and between courses.

Say whether you are attending

When the course provider collects details for every attendee, the page asks “Do you wish to register yourself into this course?”.

  • Yes, register me - one of the spaces is yours. This option is selected to begin with.

  • No, I’m registering others - you are the booker only, and every space is for someone else.

If the question is not shown, the course provider collects only the booker’s details at checkout. You can still book several spaces. The other attendees’ details are not asked for at this point. To add them after booking, see Manage Participants and View Their Course Progress and Certificates.

Fill in your own details

Under Your Details, answer the course provider’s questions about you. Unless the course provider has changed the form, it asks for First Name, Last Name and Email. The Email field cannot be changed here. To book with another address, use the Log out link on this page.

If you chose No, I’m registering others, questions the course provider has marked as only for attendees are hidden from your form.

Some forms ask “Registering as a:”. Choose Person to book as an individual, or Business to book for an organisation. Business shows the organisation questions. Other forms show a Business Details section without asking.

Fill in each attendee’s details

Each course that needs attendee details has a card showing the course name, the date and the number of attendees.

  • If you are attending, the first row is yours. It reads Attendee 1 with your name and a You label, and has no form to fill in.

  • Every other space has its own numbered row, such as Attendee 2. Open each row and enter that person’s details.

  • For a course with no fixed dates, the rows say Participant instead of Attendee.

When a form asks for an attendee’s email address, each attendee on the same course needs a different address, and none of them can use yours. If you type your own address for someone else’s space, the form tells you that it is your email address and asks you to select yourself for the space instead.

For a course with no fixed dates, or one that combines dates with online lessons, the email field explains that the attendee uses that address to sign in and open the course content. Enter an address each attendee can open.

If you are attending and booked one space on each course, no attendee cards are shown, because there is nobody else to enter.

When your basket has more than one course that collects attendee details:

  • An empty row offers Enter or search people... once you have entered someone for another course. Select the person under On This Order to copy their details into the row, or select Enter Someone New. Choose Someone Else clears the row.

  • You can attend some of the courses and not others. Select Remove Yourself on a course card to give your space on that course to someone else. To take a space back, select Enter or search people... on an empty row and choose You.

Accept the terms and continue

The page ends with Consent & Terms. The tick box about receiving emails from the course provider is optional. The tick box for accepting the Terms and Privacy Policy is required. Select the link in its label to read the terms. If a tick box is not shown, the course provider does not use it.

Select Continue. If an answer is missing, the page moves to the first form that needs attention. Without the terms box ticked, it shows “Please accept the Terms and Conditions to continue”.

Pay for the booking

The Payment step shows your billing details, the ways to pay and a place to enter a code.

  1. Check Billing Details. When Same as contact details is shown and ticked, your own details are used. Untick it, or use the form when the tick box is not shown, to enter a Full Name and Billing Address. A business enters a Business Name and Billing Email in place of the full name, and can add a tax number and a PO Number.

  2. If you have a promo code or a gift card, enter it before you choose a payment method. Select Apply promo code or gift card, which comes after the payment methods, type the code and select Apply. “Voucher applied successfully!” confirms the code, and Your Basket shows the new total.

  3. If How would you like to pay? is shown, leave Pay in Full selected, or choose the deposit or monthly payments option. Those two options have their own guides: Pay a Course Deposit and the Remaining Balance and Pay for a Course in Monthly Instalments.

  4. Under Select Payment Method, select how to pay. Only the methods the course provider accepts are listed.

Each payment method finishes in its own way:

  • Card / Apple Pay / Google Pay - enter the payment details and select Pay.

  • PayPal - select the PayPal button and follow PayPal’s steps.

  • Klarna - select Continue and follow Klarna’s steps.

  • Invoice - select Confirm Booking. You pay nothing at checkout. The invoice comes by email. If the course provider approves invoice orders first, it comes after the approval. See Pay an Invoice from Your Course Provider. The course provider can give this option a different name.

  • In-person Payment - select Confirm Booking and pay the course provider directly, following the message shown with the option. The course provider can give this option a different name.

With Card / Apple Pay / Google Pay, Klarna, Invoice or In-person Payment, checkout shows Missing billing details when a required billing field is empty. Fill in the fields it lists, then select Pay, Continue or Confirm Booking again.

Use a promo code or a gift card

  • Checkout uses one code at a time. Applying a second code replaces the first, so a promo code and a gift card cannot be combined.

  • A gift card is taken off the total, and you pay the rest with the payment method you choose. If a code covers the whole total, checkout shows “Discounts applied, no payment required to complete your registration.” Select Continue to finish.

  • If you apply a code after selecting a card, PayPal or Klarna payment, checkout shows “Discount applied! Please re-select your payment method to apply the discount.” Select the payment method again.

  • A code that cannot be used shows a message under the box, such as “Invalid voucher code” or “Voucher code has expired”. A gift card in a different currency from the course is refused when you apply it.

  • Discounts that need no code are listed under Discounts Applied: at the start of the step.

  • If a code changes the total so that a deposit or monthly payments option no longer applies, the choice returns to Pay in Full.

If a date fills up while you are booking

Spaces are not held while you fill in the steps. Cademy checks them when it creates your order, which for a paid booking happens at the Payment step. If a date no longer has enough spaces, the step shows “Some dates no longer have enough spaces” and names the course, the date and the number of spaces left.

Select Remove beside a course to take it out of a basket that holds other courses. Checkout returns to Spaces, and you select Continue to go on from there. To change the date or the number of spaces instead, select Edit Basket, which takes you back one step, then Back to reach Spaces.

Check your confirmation

The Done step shows Order Confirmed, the line “Check your inbox for your confirmation email.” and your Order ID.

  • Each course has a card with a button for your course page. It reads Access Course unless the course provider uses another word for its courses. A course with a date also has Add to Calendar. If the button opens a page headed No Booking Found or No Order Found while you are logged in with the email address you booked with, your order is still listed under Orders & Billing. Contact the course provider for your course details.

  • Your Basket stays on the page as a summary and gains buttons. Pay Balance, after a deposit, or Pay Invoice, after choosing Invoice, is shown when the course provider shows online payment links. Pay Invoice also needs the course provider to accept an online payment method. Download Receipt, or Download Invoice if you chose Invoice, opens the document. A free booking and an In-person Payment booking have no download button, and some course providers do not offer Download Invoice here. View All Orders opens your account.

  • If your account has no password yet, Create a Password lets you set one. It is optional. Enter a password and select Set Password.

Cademy sends the booking emails to the booker’s email address. The first email depends on how you paid: an order confirmation for a booking that is paid in full, free or paid in person, the invoice for an Invoice booking, and a deposit or payment plan confirmation for those two options. When the course provider approves orders before confirming them, the first email says that your order is being processed, and the next email follows the approval. To ask the course provider a question, reply to the order confirmation or the invoice email.

The other attendees receive their own confirmation email only when the course provider has switched on emails to attendees for that course. For an Invoice booking, attendees are emailed when the booking is confirmed. Unless the course provider confirms invoice bookings before payment, that is when the invoice is paid.

To return to the booking later, log in, open My Account and select My Courses & Bookings. Courses you are attending are under Your Courses. Bookings you made are under Orders & Billing. See Find Your Orders, Invoices and Payment Details.

To correct your own details, or to add, replace or correct attendees after booking, see Manage Participants and View Their Course Progress and Certificates. To change the date, cancel the booking or ask for a refund, contact the course provider.

If a course cannot be added to your basket

A basket holds courses that can be booked and paid for as one order. When you have a saved basket and select Book on a course that cannot join it, checkout shows one of the messages below. They appear only when the course provider of the course you selected allows several courses in one checkout.

  • “[Course name]” must be booked separately - the course is booked by request or application, or the course provider has set it up differently from the courses in your basket: different booking questions for the booker, different invoice settings, or no payment method in common. Select Back To My Basket to return to the basket without this course, or Book This Course Separately to book it in its own checkout. Your saved basket is kept either way.

  • “[Course name]” is from a different educator - a basket holds courses from one course provider only. “Educator” here means the course provider. Select Keep My Basket to return to your basket, or Start A New Basket to begin again with this course. Starting a new basket discards the saved one.

  • “[Course name]” uses a different currency - a basket holds courses priced in one currency. Select Keep My Basket or Start A New Basket. Start A New Basket discards the saved basket.

  • An error message above your basket - the course was not added and your basket is unchanged. The message gives the reason, for example “Course uses incompatible payment settings”. In that case, finish the booking in your basket first, then book the other course on its own.

A message with two buttons stays open until you choose one. A checkout opened with Book This Course Separately has no + Add Another Course or Date button. To reopen your saved basket afterwards, select Book again on a course and date that is already in it.

If the course provider of the course you selected does not allow several courses in one checkout, checkout opens for that course on its own with no message, and your earlier saved basket is no longer reopened. Finish one booking before you start another with a different course provider.

Frequently asked questions

Do I need a Cademy account to book?
You need an email address. If it has no Cademy account, checkout creates one when you enter the address, without asking for a password. The Done step offers Create a Password, so that you can log in with a password next time.

Can I book for other people without attending myself?
Yes. When checkout asks “Do you wish to register yourself into this course?”, select No, I’m registering others and enter each attendee’s details. You still fill in your own details as the booker, and the order stays in your account. If the question is not shown, the course provider does not collect attendee details at checkout.

​

Why is there no button to add another course?
​+ Add Another Course or Date is shown only when the course provider allows several courses in one checkout. It is also left out of a checkout that you opened with Book This Course Separately. Book each course in its own checkout.

​

Can I use a promo code and a gift card on the same booking?
No. Checkout applies one code at a time, and a new code replaces the one before it. Discounts that the course provider applies without a code stay in place.

​

The other attendees did not get an email. Why?
Booking emails go to the booker. An attendee receives their own confirmation email only when the course provider has switched on emails to attendees for that course and an email address was entered for that attendee. For an Invoice booking, attendees are emailed when the booking is confirmed, which is when the invoice is paid unless the course provider confirms invoice bookings before payment. If neither explains it, ask the course provider to check.

I left before the Done step. Do I have a booking?
Only if your payment went through, or you selected Confirm Booking. Before you book again, check your inbox for a booking email, then log in and open My Account, My Courses & Bookings and Orders & Billing. An order marked Paid, Partially Paid or Awaiting Payment is a booking. Processing means Cademy has not recorded a payment for the order. It changes when a payment is recorded, or to Cancelled when none arrives. Book again only when the order is Cancelled or is not listed.
