Update Your Personal Details in My Profile

Change your name, profile picture, the phone or address a course provider holds, or your marketing emails, and find out how to change your email address.

Written by Artur Binzaru

This guide is for learners and customers who have a Cademy login, the account you use to book courses and to open the courses you attend. It explains how to change your profile picture and the name on your account, how to get your email address changed, how to update the contact details a course provider holds for you, and how to stop or start that provider's marketing emails.

To reset a forgotten password or change your password, see Forgot Your Password? Reset or Change It.

Your personal account holds your picture, account name, email address and Cademy login. A course provider also holds a separate contact record for you. You can update the contact fields that provider enables on My Profile. Neither is the provider’s public business profile. To edit a provider profile, follow Update Your Business Profile and Minisite.

What You Can Change in My Profile

  • Profile picture: upload, replace or remove it.

  • Account name: change the first name and last name on your personal Cademy account.

  • Email address: you cannot change it yourself. Contact Cademy Support to ask for the change, as described in “Change the Email Address on Your Account” below.

  • Details held by a course provider: update the contact fields they enable, such as Phone, Address or dietary requirements. If the provider enables it separately, change your marketing email preference.

My Profile holds your picture, account name and any provider-enabled contact details. Your password is on a separate page, Login & Security. Changing your account name is separate from correcting the name a provider uses for your course place or certificate.

Open My Profile in Your Account

My Profile is a tab on your My Courses page. You need to be logged in to open it. When you open it from a course provider's website, the page shows that provider's name and logo.

  1. Go to cademy.io/profile. If you are not logged in, the login page opens first. Log in as described in Log In to See Your Courses and Bookings. After you log in, Cademy opens My Courses.

  2. The My Courses page has a row of tabs: My Courses, My Profile, Orders & Billing and Settings. Select the My Profile tab.

The page starts with Profile Picture and Personal Details. Below them, a card named after a course provider appears when that provider has enabled contact fields or a marketing email preference for your linked contact record.

My Profile on Harbour Training’s site, with Profile Picture, Personal Details and the provider’s contact card. The card shows Phone, Address, Emergency contact phone and Marketing Emails. Edit Details is outlined.

If the page you are on has My Account in its header, for example a page on your course provider's Cademy website, you can select My Account, then My Courses & Bookings, instead of step 1. Cademy's public pages, such as the cademy.io home page, show Log in in the header even when you are logged in.

Upload, Change or Remove Your Profile Picture

The Profile Picture card on My Profile shows your current picture. If you have no picture, it shows your initials. The card describes the picture as “Shown on your profile and alongside your bookings.” Your picture also appears in the My Account menu and beside your posts and comments in course forums, where other people in the forum can see it.

To upload a picture, or to replace the one you have:

  1. Select Upload Photo and choose one image file. The card recommends a JPG, PNG or GIF, and says that a square image of at least 200×200px looks best.

  2. Wait for the upload to finish. The card shows a preview of the new picture and a progress bar. Save becomes available only when the upload is complete.

  3. Select Save. The message Profile picture has been updated appears.

To discard the new picture, select Cancel instead of Save when the upload has finished. Any picture you saved earlier stays in place.

If the upload fails: the card shows Profile Picture Upload Failed with the reason, such as a network problem or an upload that took longer than two minutes. Select Cancel, then select Upload Photo and try again.

To remove your picture, select Remove. This button appears only when your account has a saved picture. Cademy removes the picture as soon as you select the button, without asking you to confirm, and shows Profile picture has been removed.

Add a Profile Picture From a Course Forum

When you open a course forum and your account has no picture, Cademy shows a prompt titled Update Profile Picture, unless you closed that prompt during the last week. The prompt contains the same Profile Picture card. To find your forum, follow Read and Post in Your Course Forum.

  1. Select Upload Photo and choose an image.

  2. Wait for the upload to finish, then select Save.

Saving the picture closes the prompt and updates your picture in the forum. You can also select your own picture in a forum to open My Profile.

Change the Name on Your Account

The Personal Details card on My Profile holds your personal account’s first name, last name and email address.

The name on a course certificate is taken from the first and last name saved in your details with that course provider. To check or correct that name, see the certificate name section of Find or Download Your Course Certificate.

  1. Edit First Name and Last Name. Both fields are required.

  2. Select Save Changes. The message Your details have been saved appears, and the My Account menu shows your new name.

If you also use this login in a course provider's Admin Dashboard, saving your name here changes your name there too. For your settings in the Admin Dashboard, see Manage Your Personal Provider Account Settings.

Change the Email Address on Your Account

Your email address is your Cademy login, so you cannot change it yourself. On My Profile, Email Address is shown in the Personal Details card but cannot be edited. Under the field, the card says To change your email address, please contact support.

To change it, for example because your employer changed your work email address, contact Cademy Support. Tell them the email address you log in with now and the new address you want to use. The ways to reach Cademy Support are listed in Contact the Right Team for Help.

Until the change is made, log in with your current email address. Courses and bookings connected to that address appear only when you log in with it.

If you also log in to a course provider's business account, you use the same login and the same email address there. In that case, read Change the Email Address Used for Your Business Account.

Update the Phone, Address or Other Details a Course Provider Holds for You

Each course provider keeps its own contact record for you. The provider chooses which details you can see and update on My Profile. These can include Phone, Address and custom questions such as dietary requirements. The card shows only the fields that provider enables, rather than everything they hold about you.

On the main Cademy website, your profile can show cards for several providers. On a course provider’s Cademy website, it shows only that provider’s card. A card appears only when the provider has enabled at least one contact field or the marketing preference, and their contact record is linked to the Cademy account you are using.

  1. Open My Profile using the steps above. Below Personal Details, find the card with the course provider’s name.

  2. Select Edit Details. A window titled Your Details with followed by the provider’s name opens.

  3. Change the available fields and select Save Changes. If a field shows an error, correct the stated problem and save again.

  4. The window closes after a successful save. Check Your details have been saved on the provider’s card, then check the displayed values. Reopen Edit Details to check the saved details if needed.

Select Cancel to close the window without saving your changes.

Your changes are saved to that course provider’s contact record and are used wherever those contact details appear. They do not rewrite answers saved on an order or a course Registration, change another provider’s record, change your account name or login email, or correct a certificate name.

You can use these enabled contact fields after attending or completing a course. You can also use them when your place was added or imported by the provider and the course page’s editing action says Provider only. This does not unlock your name, course-specific answers or other unavailable controls on the course page. For those tasks, see Manage the People on a Course You Booked.

Your first name, last name, login email, uploaded files and organisation details cannot be changed through these provider contact fields. A provider can enable a custom email question, such as an emergency contact’s email; that answer is separate from your Cademy login email.

Your Details with Harbour Training opens over My Profile. Phone, Address and Emergency contact phone are editable, with Cancel and the outlined Save Changes button at the bottom.

Stop or Start Marketing Emails From a Course Provider

The provider chooses whether to show Marketing Emails on its card. This setting is separate from the contact fields in Edit Details.

  1. On My Profile, find the card named after the course provider.

  2. Under Marketing Emails, select Unsubscribe if the status is Subscribed, or Subscribe if it is Not subscribed.

  3. Check that the status changes to Not subscribed or Subscribed. If an error appears, the change has not been confirmed; follow the message and try again.

This updates the marketing consent saved with that provider. It does not automatically stop every email: the provider must use that preference when selecting recipients. Booking and course messages are separate, and changing this preference does not withdraw messages already queued to send.

If a provider enables only the marketing preference, its card has Subscribe or Unsubscribe and no Edit Details button.

A Course Provider's Card or a Field Is Missing From My Profile

  • If you are on one provider’s Cademy website, use the cademy.io/profile route in “Open My Profile in Your Account” to check for other providers.

  • Check that you are using the Cademy account connected to the details the provider holds for you. If you have a course place, check the email address connected to that place. A contact record must be linked to the Cademy account for its provider card to appear.

  • If the provider has not enabled any contact fields or marketing preference, its card is absent. If one detail is missing, ask the provider whether it is an eligible field they can enable here.

  • Ask the course provider to check the linked contact record and enabled fields. Give them the email you used to log in and say which detail you need to update. For your personal login email or a software error, contact Cademy Support through Contact the Right Team for Help.

Frequently asked questions

Why is Save unavailable after I choose a profile picture?
Wait for the upload progress to finish. Save becomes available only after Cademy has uploaded the selected image. If an error appears, select Cancel and try the upload again.

Why can I not see Remove under Profile Picture?
Remove appears only when the account already has a saved profile picture.

Does changing My Profile update a course provider's public business profile?
No. My Profile contains your personal account details and the contact fields providers enable for you. A provider’s public business profile is managed separately.
