If you want to change what the automated confirmation email on the back of the order looks like, or if you find yourself sending the same email over and over again to your contacts - you need to know how Email Templates work. An "Email Template" is simply the base email that we use in situations like automated booking confirmations.

Creating email templates
To create an email template, go into Settings → Email Templates. From there you will be able to see all of your current templates if you have any.
You can click on the + New Template button at the top right to create a brand new template.
When creating or editing templates there are a few fields available for you to configure:
Template name
The template name is a label you give your template to be able to easily identify it in the system later on when you'll need to use it. This name will never be shown to the customer.
Subject
This is where you can enter the email subject just like in a standard email client. You can use mail merge tags to personalise in the subject line.
Sender name (optional)
When the recipients see your email in their inbox, the "Sender name" you enter on your template will be shown in the "From" area of the email. If you leave this blank, we will use your account name.
☝ Please note: we append a (via Cademy) string at the end of the sender name. This means that if your school name or sender name on the email is Example School the final "From" label in the recipient's inbox will be Example School (via Cademy). This is done because the emails are sent from our domain servers and if we do not mention Cademy in the sender name, emails sent via Cademy may be considered spoofing emails and will end up in spam.
Send replies to (optional)
When the recipient hits "Reply" to your email, the address you enter in the "Send replies to" field will be used in the "To" field for their response.
Email body
This is the main body of the email. Compose your email just like you would any other standard email in Gmail or Outlook. You can use bullet points, lists, tables, rich text, links, and more. Simply highlight the text or add a new line to the body to see the formatting option pop-over appear.
Edit a template
You can edit any of your templates from Settings → Email Templates. Simply click on one of your email templates and you will see a preview of your template. If you want to edit that template, click the ✏️ Edit button.
☝ Keep in mind that changes you make to your template will reflect on all courses that use that template.
Personalise Emails with Mail Merge Tags
Mail merge tags allow you to personalise your emails. Instead of sending a generic email like this:
✉️ Add merge tags when bulk emailing.
✉️ Add merge tags when editing an email via the Settings → Email templates.
✉️ Add merge tags when editing a template via a Course → Settings → Emails
To use a mail merge tag, simply click on mail merge tags from the list to add them to your template. You will notice that in your actual template we will add a string that looks a {{a_bit_like_this}}
. This is a special notation that allows us to look up and pull the right values into the email at the point when it is processed and dispatched.
☝ If we don't find any information for the tag you're trying to use, we'll leave the value blank.
To send and create an email template as in the example above you would set up your email template with the First Name
and the Course Name
tags. Then, your template would look something like this:
Change booking confirmation template
You can change the confirmation emails sent to customers when they place an order. To do this:
Go to the course for which you want to edit the booking confirmation email
Click on the
✏️ Edit
buttonClick on the
Settings
tab at the topClick on the
Emails
sectionIn the "Email Template" dropdown search for the template, you want to use and select it.
Save the course to apply the change.
