How to Send or Resend Emails to Customers

Guide on sending or resending emails, including booking confirmations and follow-ups, using templates and mail merge tags in Cademy.

Introduction

Course providers can send or resend emails to individual customers or in bulk using Cademy's built-in email tools. This feature is useful for sending booking confirmations, follow-up emails, and promotional messages. You can compose emails from scratch or use pre-made templates with mail merge tags for personalised communication.


Sending Emails from the Course Dashboard

To send an email to customers enrolled in a specific course:

  1. Go to your Course Dashboard.

  2. Tick one or multiple contacts from the list of enrolled customers.

  3. Click the Email button.

  4. Choose one of the following options:

    • Compose a new email from scratch.

    • Select an email template from the dropdown menu (recommended for consistent messaging).

  5. Click Send.


Sending Emails via the Contacts Page

If you need to filter and send emails to a broader audience, such as all students from a specific course:

  1. Navigate to the Contacts page.

  2. Click on Filters.

  3. Select Course booked or Course enrolled is "any of", then choose the relevant course from the dropdown list.

  4. Click Apply to filter the list.

  5. Select one or multiple contacts.

  6. Click Email, then either:

    • Compose a new email.

    • Choose an existing template from the dropdown menu.

  7. Click Send.


Resending Booking Confirmation Emails

If a customer has lost their booking confirmation email, you can resend it:

  1. Go to the Course Dashboard.

  2. Locate the customer from the list of bookings.

  3. Tick one or multiple contacts from the list.

  4. Click the Email button.

  5. Choose one of the following options:

    • Select the booking confirmation email from the dropdown menu.

    • If no booking confirmation template is available, create one in the Email Templates settings before proceeding.

  6. Click Send.


Using Email Templates

Cademy provides pre-built email templates to save time and ensure consistent messaging. You can customise templates for different scenarios, such as booking confirmations, payment reminders, or follow-ups.


Personalising Emails with Mail Merge Tags

Mail merge tags help personalise emails by dynamically inserting customer details, such as names, course titles, and booking dates.

  • For example, using the tag {{first_name}} will automatically replace it with the recipient’s first name.
