Offering special incentives to customers through promo codes and gift cards in Cademy helps boost engagement and promote courses effectively. This guide shows course providers how to set up, create, manage, and sell promo codes and gift cards.


Step-by-Step Instructions

Promo Codes vs Gift Cards: Key differences

Use this overview to choose the right option for your goal.

  • Promo codes apply a discount to a booking. They can be a percentage discount or a fixed-amount discount and do not carry a balance.

  • Gift cards hold a preloaded amount that decreases with each use until the balance reaches zero.


Setting Up the Vouchers App

To enable the Vouchers app, please follow these steps:

  1. Go to your Cademy admin dashboard.

  2. Navigate to Apps → Vouchers.

  3. Click the green Install button to activate the Vouchers app.


Creating a Promo Code

Follow these steps to create a new promo code:

  1. From the left menu bar, click Vouchers.

  2. At the top of the page, click Promo Codes.

  3. Click + Create Promo Code.

  4. Choose the promo code type:

    • Percentage Discount – Offers a set percentage off the course price (ideal for seasonal promotions).

    • Fixed Discount – Offers a flat discount amount (ideal for referrals or welcome offers).

  5. (Optional) Restrict the promo code to specific courses.

  6. Set an expiry date if desired.

  7. Save the promo code.


Creating a Gift Card

Here’s how to create a new gift card:

  1. From the left menu bar, click Vouchers.

  2. Click the Gift Cards tab at the top.

  3. Click + New Voucher.

  4. Enter the gift card amount.

  5. Add recipient details (for your internal tracking; recipients are not notified automatically).

  6. Save the gift card.


Selling Gift Cards on Your Minisite

Once the Vouchers app is installed from the Apps page, a new Vouchers section will appear on the minisite.

  1. Customers can purchase gift cards from the Vouchers section on the minisite.

  2. Customers can choose the amount, delivery method, and include a personal message.

  3. The course provider will receive an email for each purchase.


Fulfilling Gift Card by Post Orders

If a customer chooses the Postcard delivery option, the course provider is responsible for sending it by post.

Follow these steps to fulfil a gift card by post:

  1. Once a customer purchases a gift card and selects the Postcard option, the course provider will receive an email notification.

  2. This email includes a PDF version of the gift card as an attachment.

  3. Print the attached PDF gift card.

  4. Post the printed gift card to the customer using the delivery details provided in the email.


Applying a Promo Code to a Link

Follow these steps to create a link with a pre-applied promo code:

  1. From your Cademy admin dashboard, click on a course from your course list on the home page.

  2. Click the Edit button at the top right of the course page.

  3. Go to the Share tab.

  4. Under the Course Link section, create a new promo code or select an existing one to apply.

  5. Copy the generated link and share it with customers.

  6. When customers open the link, the promo code will already be entered at checkout.


Checking Voucher or Promo Code Usage

Follow these steps to check if a booking used a voucher or promo code:

  1. From your course dashboard, click on a specific booking, or go to the Enrollments page at https://admin.cademy.io/enrollments and select the relevant booking.

  2. Under Payment Details, look for the “Promo code used” or “Voucher used” field.


Redeeming a Promo Code or Gift Card at Checkout

Here’s how customers can redeem a promo code or gift card at checkout:

  1. Enter the promo code or gift card number in the relevant field during checkout.

  2. Click Apply to activate the discount.

  3. The updated total will display before payment is completed.

How do course providers start using vouchers and promo codes?

Go to your Cademy dashboard, click Apps → Vouchers, then click the green Install button.

Can promo codes be course-specific?

Yes. To make a promo code valid only for specific courses:

  1. Go to the Vouchers page at https://admin.cademy.io/vouchers.

  2. Create a new promo code or click on an existing one.

  3. Click Edit Promo Code.

  4. Find the Allowed Courses field and select courses from the dropdown menu.

Can promo codes have an expiry date?

Yes. To set an expiry date:

  1. Go to the Vouchers page at https://admin.cademy.io/vouchers.

  2. Create a new promo code or click on an existing one.

  3. Click Edit Promo Code.

  4. Find the Expires On field and set your desired expiry date.

Can a course provider limit how many times a promo code can be used?

No, this is not currently possible.

How do customers buy gift cards?

From the Vouchers section on the minisite, which appears after the Vouchers app is installed.

What if a customer chooses postal delivery for a gift card?

If a customer selects the Postcard delivery option, the course provider must print the PDF gift card attached to the purchase confirmation email and send it to the customer by post.

How can a course provider see if a booking used a promo code or gift card?

Open a booking from your course dashboard, or go to the Enrollments page at https://admin.cademy.io/enrollments and check the Payment Details section for the “Promo code used” or “Voucher used” field.

Can a course provider offer multi-buy or volume discounts on a course?

No. Cademy does not currently support automatic volume discounts. As a workaround, create a promo code for the discount and add a note to the course description asking customers to contact the course provider for the code.

Can a course provider make a promo code valid only for one specific course date?

No. Promo codes can only be restricted by course name or a general time period. They cannot be limited to a single occurrence/date.

Can I limit how many times a promo code can be used?

No. At this stage, there is no option to limit the number of uses for a promo code.

Do recipients get notified when a gift card is created?

No. When a gift card is created manually by the course provider from the admin dashboard, the recipient is not notified automatically. The course provider must share the gift card details with the recipient manually.

What happens if a gift card balance is less than the course price?

The customer will need to pay the remaining balance using another payment method.

Can promo codes and gift cards be used together?

No, customers can only apply one voucher or gift card per booking

Does a voucher apply per ticket or per checkout session?

Vouchers in Cademy apply once per checkout session, not per ticket. This means if multiple tickets are purchased in a single booking, the voucher discount is applied to the total price of that booking.


Example: If three tickets cost £50 each (total £150) and you use a £50 voucher, the total will be reduced to £100 - not £50 off each ticket.


If you want the voucher discount to apply to each ticket individually, each ticket must be booked in a separate checkout session using the same voucher code.
