Use the Registrations page to find and manage each participant’s place on a course. It shows Registrations across the account and provides search, filters, sorting, table columns, exports and selected bulk actions.
Open Admin dashboard > Registrations, or go directly to https://admin.cademy.io/registrations.
Choose which Registrations to view
The view selector controls the starting list:
Active Registrations includes Registrations with Active or Pending status.
All Registrations includes every status.
Saved filters created by the course provider also appear in the selector.
The system views show the most recently registered participants first. Filters and sorting can change this order.
Search for a Registration
Use Search for a quick lookup across the selected view. Search can match:
Participant first name
Participant last name
Participant email address
Registration Code or Registration ID
When more than one word is entered, each word must match part of one of these fields. Use Filter when the list needs to be narrowed by course, course date, status, tags or another field.
Filter, sort and save views
Filter Registrations
Select Filter, then select Add Filter. Registration filters are grouped by the information they use:
Registration: Status, Role, Course, Course Collection, Course Start Date, Course End Date, Registered At, Last Updated, Lesson Progress, Lesson Progress Status and Registration Tags.
Certificate: Certificate Issue Date and Certificate Expiry Date.
Contact: First Name, Last Name, Email, Contact Tags and the account’s Contact fields.
Registration Fields: the account’s custom Registration fields.
The available conditions depend on the selected field. Combine rules with And or Or. Select Add Group when nested conditions are needed, then select Apply.
Sort Registrations
Select Sort, choose a field under Sort by, select Ascending or Descending, then select Apply.
Save a filter
After changing the filter or sort, select Save Filter, then Create New Saved Filter. Enter a Saved Filter Name and select Create.
To change an existing saved filter, open it, make the changes, then select Save Filter > Update Current Saved Filter. System views such as Active Registrations and All Registrations cannot be overwritten.
Choose and arrange table columns
Select Columns to show or hide fields in the table. Available columns can include:
Name, Email, Registration Code, Status, Role and Created
Course, Course Start Date and Course End Date
Organisation, Registration Tags and Contact Tags
Lesson Progress, Certificate Issue Date and Certificate Expiry Date
Contact fields and Registration fields created for the account
Offer, line-item, order and payment information when the admin can view Orders
The main Registrations page does not show Attendance. A course’s Registrants tab shows Attendance and hides the Course column because every row belongs to that course.
Columns can be dragged into a different order and resized. Column visibility, order, width and the selected page size are remembered in the current browser.
Open, add or import Registrations
Select a row to open the Registration side sheet. The side sheet shows the Registration details and the actions available for that record.
Select New Registration to add one participant without creating an order, invoice or payment. New Registration is available from the main Registrations page and from a course’s Registrants tab. See Adding a Registration Manually for the complete process.
A course’s Registrants tab also includes Import for adding Registration data to that course. When the tab is opened for a specific course date, the import stays scoped to that date.
Export Registrations
Follow these steps to export matching Registrations as a CSV file.
Open the main Registrations page, an organisation’s Registrations tab or a course’s Registrants tab.
Apply the required saved view and filters.
Select Export.
Choose All Columns, Visible Columns or Choose Columns.
Select Now, then select Export Now.
The export includes all Registrations matching the filters and the current course, course-date or organisation scope. It is not limited to the current table page.
Quick Search is not applied to the export. When an export must match a quick search, recreate the requirement with Filter before exporting.
The export dialog stays open while the file is generated. Download the CSV there, or close the dialog and use the copy sent by email. Export files are also available under Admin dashboard > Settings > Exports.
Where On Schedule is available, a Registration export can run Daily, Weekly or Monthly and be sent to selected recipients. See Exporting Data and Scheduling Exports in Cademy for the complete export guide.
Select Registrations for bulk actions
Select the checkbox beside one or more Registrations. The action bar shows how many are selected.
Select Select All to include every Registration matching the current view and filters, not only the rows on the current page. Select Deselect All to clear the selection.
The main Registrations page supports Email across courses. A course’s Registrants tab also provides Mark Attendance and Issue Certificates.
Email selected Registrations
Select the required Registrations.
Select Email.
Choose an email template or enter the Subject and Email body.
Add attachments if required.
Select Preview to check the message for the selected recipients.
Select Send.

Mark attendance
Mark Attendance is available from a course’s Registrants tab. Filter or open the table for a single course date, select the required Registrations, then select Mark Attendance and choose Attended or Absent.
When the table is not scoped to one course date, Mark Attendance is disabled and shows Filter by a single date to mark attendance.
Issue certificates
Follow these steps to issue certificates from a course’s Registrants tab.
Select up to 500 Registrations.
Select Issue Certificates.
Where Custom Certificates are available, select the Template. The course’s template is preselected and marked Course Template. Cademy Default and other active custom templates can also be selected.
Choose the Delivery option.
Select Issue Certificates.
One template is used for the whole job. A Registration that already has an active certificate using the selected template is skipped. Selecting a different template issues an additional certificate. The completed job reports issued, skipped and failed totals.
Course providers without Custom Certificates do not see the Template selector. Cademy uses the template assigned to the course, or the Cademy default certificate.

Frequently asked questions
Finding Registrations
What is a Registration?
A Registration is one participant’s place on a course or course date.
Why can I not see a cancelled or completed Registration?
Active Registrations only includes Active and Pending records. Select All Registrations or create a filter for the required Status.
Can Search find a course, order or invoice reference?
No. Quick Search matches participant names, email addresses and Registration identifiers. Use Filter to find a course. Use the Orders area for order or invoice records.
Can I search for guests as well as the main booker?
Yes. Each participant has their own Registration and can be found by their name, email address or Registration identifier.
Why can I not see a field in the table?
Select Columns and turn on the required field. Contact fields and Registration fields are available as separate columns.
Views and exports
What does a saved filter remember?
A saved filter remembers its filters and sorting. Column visibility and layout are remembered separately in the current browser.
Does an export include only the current table page?
No. It includes every Registration matching the applied filters and page scope.
Why did my export include more records than Quick Search?
Quick Search is not applied to Registration exports. Use Filter to define the records before selecting Export.
Bulk actions
Does Select All include records on other pages?
Yes. Select All includes every Registration matching the current view and filters.
Can I email Registrations from more than one course?
Yes. Select the Registrations on the main Registrations page, then select Email.
Why is Mark Attendance disabled?
The table is not limited to one course date. Filter or open the Registrants table for the required date, then try again.
Where can I issue certificates in bulk?
Open a course’s Registrants tab, select the required Registrations, then select Issue Certificates. Bulk certificate issuing is not available from the main Registrations page.
Can I choose a certificate template for one Registration?
Yes. From the course’s Registrants tab, select one Registration, select Issue Certificates, then choose the template. The Registration side sheet does not offer template selection and uses the course’s assigned template or the Cademy default.
Why was a Registration skipped when issuing certificates?
It already has an active certificate using the selected template. Choose another template only when an additional certificate is needed.
Can I issue certificates to more than 500 Registrations at once?
No. Select up to 500 Registrations for each certificate job.
