Manage Your Personal Provider Account Settings

Change your own name, photo, profile fields and password in the Cademy Admin Dashboard, and see which details belong to your login, your Student Profile or the business.

This guide is for everyone who works in a course provider's business account in Cademy: System Admins, Course Owners and Facilitators. It explains how to change your own name, photo, profile fields and password in the Admin Dashboard, and which of these details are also used outside that business account.

Every role can open the two pages this guide uses, on every Cademy plan. You cannot change your login email address yourself, and only a System Admin can change a role. The sections “What your login, your Student Profile and each business account share” and “What only a System Admin can change” explain both.

Business account: a course provider's account in Cademy, which its team manages in the Admin Dashboard. Each person in the team is a user of the business account and has one of three roles: System Admin, Course Owner or Facilitator.

Cademy keeps three sets of details that are easy to confuse. Each one is changed in a different place:

  • Your Cademy login: the email address and the password, or other sign-in method, that you log in with. One login opens every business account you are a user of. It also opens your Student Profile, the learner side of Cademy, where the courses you attend are listed.

  • Your user profile: your details as a user of a business account: name, photo, phone number, role and profile fields such as Bio. This guide shows how to change them.

  • The business profile: the public details of the business, such as its name, logo and contact details. Only a System Admin can change it. See Update Your Business Profile and Minisite.

Update your user profile

Your user profile is on your own user page in the Admin Dashboard. You open it with My Profile.

Open your user page

  1. Log in to the Admin Dashboard at admin.cademy.io. For help with logging in, see Log In to Your Course Provider Account.

  2. Open the menu at the top of the sidebar. The sidebar is the main menu of the Admin Dashboard, and the menu at its top shows the name of the business account. When the sidebar is collapsed, that menu shows only the business's logo or initials. On a small screen, open the sidebar with the menu button first.

  3. Under User Profile, select My Profile.

Your own user page opens. The page is not headed My Profile: its top shows Users, a slash and your name. Beside your photo the page shows your name, your login email address and your role. Your profile fields are listed below them. The tabs on the page, starting with Courses, are not part of this guide.

If you are a user of more than one business account, check the name in the menu first. To open another business account, select it under Switch Account in the same menu. See Switch Between Course Provider Accounts.

Change your name, phone number and profile fields

On your user page, each field is saved on its own. There is no Save button.

​

Bio, Title and the three link fields can be shown on public course pages. Read “Where your details are shown” before you fill them in.

  1. Select the field, for example First Name, and type the new value.

  2. Press Enter, or select anywhere outside the field. In Bio, Enter starts a new line, so select outside the field to save it.

  3. Wait for the confirmation message, for example First Name saved. Title and the three link fields confirm with Custom field saved.

To leave a field without saving what you typed, press Esc.

Cademy provides these fields, in this order:

  • First Name and Last Name.

  • Email: your login email address. You cannot edit it. Selecting it copies it.

  • Phone.

  • Tags: chosen from the tags set up in the business account.

  • Last Login: filled in by Cademy. You cannot edit it.

  • Bio.

  • Title. The example shown in the empty field is “Course Facilitator”.

  • LinkedIn URL, X / Twitter URL and Website URL.

Your page can look different. A Course Owner or System Admin of the business account can add fields. A System Admin can also change their order and group them into sections. They do this in Settings, under Fields, on the Users tab.

A System Admin of the business account can open your user page and change the same fields and your photo. Course Owners and Facilitators can open only their own user page.

User Settings, the page used for the password later in this guide, also has First Name and Last Name under Personal details, with a Save Changes button. Both pages change the same name.

Add, change or remove your photo

Your photo is at the top of your user page. Until you add one, Cademy shows your initials.

  1. On your user page, select your photo or initials. A window for choosing a file opens.

  2. Choose one image. It must be a JPG, PNG or WebP file of 5 MB or less.

Cademy saves the photo as soon as the upload finishes and shows it in place of the old one. There is no Save button and no confirmation message.

If the file is another type or larger than 5 MB, Cademy shows Avatar not uploaded with the reason and keeps your current photo. If the upload fails for another reason, Cademy shows Failed to upload avatar. Choose the file again.

To remove your photo, point at it and select the x button that appears at its top-right corner. The button exists only when you have a photo. Cademy removes the photo at once and does not ask you to confirm.

Where your details are shown

Each detail has different readers:

  • In the business account: System Admins see your name, photo, login email address, role and phone number in Users & Facilitators, and can open your user page. Every other user of the business account, whatever their role, can be shown your name and photo in the Admin Dashboard.

  • On a public course page: a course page can include a section that presents the people who run the course. Its heading is Facilitators unless the business changed it. When you are listed there, the section shows your name, photo, Title, Bio and the links from LinkedIn URL, X / Twitter URL and Website URL. It does not show your email address or phone number. A programme on the same course page can also show your name, photo and Title beside the programme items you are listed on. The business decides whether a course page has these sections and who is listed.

  • On your Student Profile: your photo is the same one. See “What your login, your Student Profile and each business account share” below.

A link is shown on the course page only when its address starts with https:// or http://.

Important: Write your Bio, Title and links for public readers. Anyone who opens a course page that lists you can read them.

Change your password

Your password belongs to your Cademy login, not to one business account. After you change it, you use the changed password for every business account you are a user of and for your Student Profile.

These steps are for a login that already has a password. If the page does not match them, or you do not know your current password, see the three cases after the steps.

  1. In the Admin Dashboard, open the menu at the top of the sidebar.

  2. Under User Profile, select User Settings. The page has two sections: Personal details and Change Password.

  3. Under Change Password, enter your Current Password.

  4. Enter the password you want in New Password, then again in New Password (repeat). Use at least 8 characters, including an uppercase letter, a lowercase letter, a number and a special character such as ! ? or #.

  5. Select Change Password.

When the password is changed, Cademy shows Your new password has been set. and empties the three fields.

The same page is also in Settings, where it is named User Account.

If the password is not changed, Cademy shows why:

  • Your new password must be at least 8 characters: the new password is too short.

  • Your new passwords do not match: the two new password fields differ.

  • An error occurred while setting your password: Cademy refused the change. A second message gives the reason: Incorrect Password when Current Password is wrong, or the rule the new password misses, for example At least 1 special character. Correct that and try again.

If there is no Current Password field

If Change Password shows only New Password and New Password (repeat), your login has no password. Cademy emails you a code each time you log in.

Set the first password from your Student Profile, not with these two fields:

  1. Open the menu at the top of the sidebar and select Student Profile. Your learner pages open on the business's Cademy website.

  2. Select the Settings tab, then select Login & Security.

  3. Under Set a Password, enter the password in Password and in Confirm Password, then select Set Password.

Cademy shows Password has been set. Your login then has a password, and you change it later with the steps above. For more about the Student Profile pages, see Update Your Profile Picture, Name and Password.

If you sign in with Google, Facebook or single sign-on

Change Password shows the warning You are using an external login provider and no password fields. Cademy cannot change this password. Change it with the provider you sign in with, for example Google.

If you forgot your current password

Change Password needs your current password. If you do not know it, reset it from the login page:

  1. Open the menu at the top of the sidebar and select Log Out. The Cademy login page opens.

  2. Enter your email address and select Continue.

  3. On the password screen, select Forgot password?. Cademy emails you a reset code and opens Reset Password.

  4. Enter the new password in New Password and in Confirm New Password, enter the code in Reset Code (from email), then select Reset Password.

Then log in with the new password. For the sign-in options, see Log In to Your Course Provider Account.

What your login, your Student Profile and each business account share

One Cademy login opens every business account you are a user of and your Student Profile. Some details follow the login. Others are kept separately in each business account.

  • Email address and password: they belong to the login, so they are the same everywhere.

  • Photo: you have one photo. When you add, change or remove it on your user page, the photo on your Student Profile changes too, and the other way round.

  • First Name, Last Name and Phone: saved once for you as a user, so every business account you are a user of shows the same ones.

  • Bio, Tags, Title, the three links and any fields the business added: saved separately in each business account. To change them for another business account, open that business account first.

  • Role: set separately in each business account.

Your Student Profile keeps its own copy of your name. Changing your name in the Admin Dashboard does not change it on your Student Profile. Changing it on your Student Profile also changes it in the Admin Dashboard.

To change your name in both places at once, select Student Profile in the menu at the top of the sidebar, select the My Profile tab, edit First Name and Last Name under Personal Details, then select Save Changes.

What only a System Admin can change

A business account is not tied to one person's login. The person who creates it becomes its first System Admin, and System Admins manage who else is a user. Changing your own profile or password does not change the business or anyone's access to it.

Frequently asked questions

Can a Course Owner or Facilitator change their own details?
Yes. Every role can open My Profile and User Settings for its own name, photo, profile fields and password. Only a System Admin can open another user's page.

Does changing my details under My Profile change the business's public profile?
No. The page that My Profile opens holds your own details. The business's name, logo and contact details are on the Profile page, which only a System Admin can open. Your own details reach the public only on a course page that lists you, as described under “Where your details are shown”.

​

Who can see my phone number?
System Admins of each business account you are a user of. They see it in Users & Facilitators and on your user page. Cademy does not show it on a public course page.

​

Why is my name different in the Admin Dashboard and on my Student Profile?
The two names are saved separately, and a change made in the Admin Dashboard is not copied to your Student Profile. Change your name on your Student Profile, under the My Profile tab, to update both.
