Use this guide to update the public business information customers see on your Cademy minisite.
A System Admin is the staff role with full access to a provider’s account. You need this role to update the business profile. Your minisite is the public website Cademy provides for your business. These are business settings, separate from your personal sign-in details.
Open Profile in Cademy Admin and check that you are in the intended business account. If Profile is hidden from your navigation, open the menu showing your business name or logo and select Update Business Profile.
Open the section you want to change. Profile Details is open initially.
For ordinary profile fields, select Save Changes when you have finished. This saves the other pending ordinary changes on this page too.
Some controls save separately. Remove Cademy Branding saves when you use its switch. Custom Brand Colour saves when you leave the colour field, and Reset saves separately. Marketplace and review visibility also have their own save actions. Saving a shared location uses Save Location before you save its selection on the Profile page.
Update your business details
If Some features are temporarily limited is shown and the About text or website and social fields are disabled, Cademy has limited those fields temporarily because the account is new. Cademy does this to reduce spam. Contact Cademy Support if the restriction does not look correct.
In Profile Details, enter your Profile Name, business Email Address and Phone Number. Profile Name and Email Address are marked as required. Changing the business email here does not change your personal sign-in email.
For your logo, select Select Logo. For the cover, select Upload Cover Image. Choose the image in the media library, check that the intended image is selected, then select Confirm.
Write your business description in About us page.
Under Website and social links, enter complete web addresses for the links you want to show. The fields are Website, Instagram, Twitter, Facebook, Linkedin, Youtube and Pinterest.
Select Save Changes. Selecting or uploading an image alone does not save it as your profile image.
The cover appears at the top of your minisite. Check it on your minisite after saving. For detailed cover-image steps, see Upload and Set Your Profile Cover Image.
Under White-labelling, use Remove Cademy Branding and Custom Brand Colour. Both are included in the Pro and Teams plans. On an Enterprise plan, ask Cademy Support whether your account includes them. If your plan does not include a control, it is shown but cannot be used. For plan information, see Understand Cademy Plans, Limits and Fees. Each control saves separately as described above. Check for an error beside the control; if one appears, resolve it before treating the change as saved.
Choose primary and secondary locations
The Location area uses the saved locations managed under Settings → Locations. Profile locations describe your business on its About page; they do not assign venues to your existing courses or scheduled dates.
If you are moving a location from Primary to Secondary or the other way round, first open the selector containing that location and choose Clear Selected Location. This clears its profile selection, not the saved location record. You can then select it under the other role.
Under Primary Location, open the location selector and choose the saved location you want to use.
If you need a new saved record, choose Create A New Location, complete the Location dialog and select Save Location.
Under Secondary Locations, select any other saved locations you want to list. A location already selected as Primary is excluded from Secondary, and vice versa.
Select Save Changes to save these profile selections.
The About page shows the Primary Location’s saved address, a Directions link and a map when address information is present. Secondary Locations appear under All Locations. An address location shows its Name, or Address line 1 if it has no Name, followed by the city. An area location shows the city.
The About page does not display a location’s Public note or Private / internal note.
Editing a saved location changes the shared record. This can affect other places where that location is used. Save Location saves the record separately from your profile selections. For course venues and shared-location changes, see Locations.
Set the time zone and opening hours
Under Time Zone, use Set Account Time Zone to choose the default for new scheduled courses. Select Save Changes. This does not reschedule your existing course dates; review a course’s own time-zone settings when changing its schedule. For course and date time zones, see Timezones.
A ticked day with no time ranges means Available all day and appears publicly as Open 24 hours. Removing the last range does not close the day: untick the day to show it as closed.
Under Opening Hours, turn on Show Opening Hours.
Select Customise Availability to open Weekly Hours. On a small screen, use the pencil button beside the available times.
For an open day, tick the day and use its plus button to add a time range. Set From and Until. Add another range if you close and reopen that day.
Untick days when you are closed. Check all days and ranges, including any initial hours already shown.
Close the Weekly Hours dialog, then select Save Changes on Profile. Check Opening Hours on the public About page.
These are your displayed business opening hours. Manage the dates and times of your courses separately.
Maintain your terms of service
Expand Terms of Service.
Enter or update your provider terms in Terms of Services.
Select Save Changes.
When provider terms are saved, that text is the provider content in Cademy checkout’s terms dialog. Where checkout shows the I accept the Terms and Privacy Policy tick box, the customer must tick it to continue; opening the terms to read them is optional. Entering policy text does not by itself apply refunds or enforce cancellation rules. Keep your booking cancellation policy and the handling of individual cancellations as separate tasks.
Configure minisite page options
Expand Profile Page Options to find the following settings.
Choose a collections layout
Choose Carousel or Grid, then select Save Changes. Collections group courses together on your public course listing. This preference changes their presentation; it does not create or publish a collection. To create a collection, see Course Collections.
Fewer than five displayed collections use a grid. Check the main course listing with no individual collection selected; selecting a collection changes that part of the page to its name and any description.
Add contact-form subjects and recipients
Use Contact form dropdown to add subjects customers can choose under Enquiry Type on the public contact form. The recipients are members of your staff team. A User Group is a group of staff users, not a group of customers.
Select Add Dropdown Option and enter a clear subject name.
If the person-icon dropdown is available beside the subject, open it and use Search users to choose the staff users or groups responsible. The selector is hidden when the account has fewer than two users and groups in total.
Repeat for other subjects. Check each subject name and its selected recipients, then select Save Changes.
After saving, select View Your Public Site, open Contact Us and check the Enquiry Type choices. You do not need to send an enquiry simply to inspect the choices.
For general profile enquiries without assigned recipients, notifications use the account’s admin email recipients, then System Admin users if none are set. Course-linked enquiries can instead use the course’s or account’s notification recipients. The business Email Address field is not the recipient selector.
Choose the main course keyword
Under Main Course Keyword, choose the word you use most often for your service, then select Save Changes. This sets the starting word, called the service keyword, under Which keyword best describes this service? when you create a new course. You can choose another word for that individual course. Existing courses are not renamed.
Keep marketplace visibility separate
The separate Cademy Marketplace Visibility section controls marketplace visibility. Its controls do not hide or close your minisite. To hide or show your marketplace profile, or to choose its categories and tags, see Cademy Marketplace Is Retiring.
Keep review visibility separate
The Reviews section contains Hide Public Reviews. This switch saves when you use it, separately from Save Changes. It is a display setting; it does not delete reviews. When it is on, your minisite does not show the Reviews page or the star rating beside your business name, and course cards do not show star ratings. Customers can still leave reviews, and course-specific review blocks can still be shown. Save and check your minisite
For ordinary Profile Details, Terms of Service and Profile Page Options changes, select Save Changes and check for Changes saved. or any error. Remember that the branding and visibility controls described above save separately.
Select View Your Public Site to open your minisite in a new tab. On a narrow screen, use the eye button.
Check the business information and locations on About, your opening hours, the contact-form choices and the public course listing, as relevant to your changes.
Opening your minisite does not save pending edits or preview unsaved changes. If the old details remain, confirm the relevant save completed and refresh the page. Public pages can take a short time to update; contact Cademy Support if the saved information still does not appear.
The Profile page displays your minisite address under Your site is on. It has no control for changing that address. Contact Cademy Support before changing an address already used in links, emails or advertising.
Frequently asked questions
Who can update the business profile?
A user with the System Admin role can open Profile and update these settings. The business profile is separate from your personal sign-in details.
Where does the Primary Location appear?
It appears on the public About page when address information is present, with the address, a Directions link and a map.
Where do Secondary Locations appear?
They appear under All Locations on the public About page. Address locations show the saved Name, or Address line 1 if there is no Name, followed by the city. Area locations show the city.
Are a location’s Public note and Private / internal note shown on the About page?
No. Neither saved location note is displayed on the provider’s About page. This describes that page, not every place a location is used.
Does selecting a profile location assign it to my existing courses?
No. Selecting a profile location does not reassign venues on your existing courses or scheduled dates. Save profile selections for the About page, and manage existing course venues separately. Editing the shared location record itself can affect its linked uses. See Locations.
Why can I not select the same location as Primary and Secondary?
The selectors exclude a location already chosen in the other role. Open the selector containing that location and choose Clear Selected Location, then select it under the other role and select Save Changes. Clearing the selection does not delete the saved location record.
Why are some profile fields unavailable?

How do I change my minisite address?
Profile displays the current minisite address but has no control to change it. Contact Cademy Support before changing an address you already share.
Why are my changes not visible?
Check that the relevant save completed. Ordinary fields use Save Changes; Remove Cademy Branding, Custom Brand Colour, Reset, marketplace visibility and review visibility save separately. Save Location updates the shared record, while Save Changes saves its profile selection. Refresh the public page after saving and allow a short time for it to update. If the saved details still do not appear, contact Cademy Support.
