Use price offers to give customers different ways to book your course, such as General Admission, Student or a two-person offer. Use add-ons for optional extras, such as equipment hire. An offer reserves course places; an add-on does not add attendee places.
A course can have one simple price, or several offers and add-ons. The video above was published in 2021, so its screens may differ from yours; follow the written steps where they do.
You need to be a System Admin or a Course Owner with access to the course to edit its prices. Start in the Admin dashboard. Viewing the resulting order through Orders requires System Admin access.

Create or edit an offer
The Pricing & Delivery tab holds the defaults for your course. For an On set dates or Blended course these are the delivery method (In-person, Online or Hybrid), Max Spaces, your price offers and your add-ons. Options set here are defaults. You can set a different price, location and availability for each date when you create your dates.
The picture shows these defaults in an earlier version of the course editor, where the section was headed Delivery Details and the places field was called Spaces. The Price Offers list, the Add-ons list and the Add Price button are the ones used in the steps below.
On-request pricing models: Free, Price on enquiry and Show the customer a price range are separate choices. Select Set pricing when you intend to configure fixed offers. Changing pricing models can reset the offer and add-on lists; do not switch away and back simply to inspect existing prices.
A course with one offer and no add-ons shows a single Price field with a Custom Offers & Add-ons button. If one price is all you need, enter it in that field and save the course. For several offers, or to name and describe an offer, follow these steps.
Select Courses, open the course, then select Edit Course.
Open Pricing & Delivery. For an On-request course, its Pricing section must use Set pricing under How do you price this? to show offers. Read the pricing-model note above before switching models.
If the offer list is not already visible, select Custom Offers & Add-ons.
To create an offer, select Add Price, then Create an Offer. To change an existing offer, select it in the Price Offers list.
Enter the Name, such as General Admission, and a useful Description. Enter the Price in the currency shown. The price is for one selected offer, including all the places that offer covers.
If needed, use More Options for its sale window or number of places, as explained below.
Select Create Price for a new offer or Update Price for an existing one. Then select the course editor’s outer Save to save the course.
Wait for Course saved. Reopen the same course’s Pricing & Delivery and check the offer’s name, price and any optional settings. If a save fails or its result is unclear, check what was saved before trying again.
At checkout, customers see each offer’s name, description and price, with buttons to choose how many they want.
The picture shows offers in an earlier checkout design. The headings and the summary on the right have changed since: the “Service fee” line and the “Free cancellation 14 days prior” line in the picture are not part of today’s standard checkout. Offers are still listed as rows with a name, a description, a price and quantity buttons.
The price is in the currency whose symbol is shown in the Price field. Course defaults use the course currency; a saved scheduled date or block can use another currency. All offers and add-ons on that date share one currency, so you cannot give individual ticket types different currencies. Changing currency keeps the numbers rather than converting them. See Choose Currencies for Courses, Memberships and Gift Cards.
For an On-demand online course, use the same Pricing & Delivery offer controls; you do not need a scheduled date. For courses sold on scheduled dates, these are the course’s defaults. An existing date can have its own prices, so also check the date you intend to sell.
A description explains the offer to the customer. Writing “students only” or “maximum two” does not by itself create an eligibility or quantity restriction. Arrange any eligibility check you need separately.
For paid offers or add-ons, check that you have an appropriate payment method configured. If Cademy shows a payment-method warning, a System Admin can follow its Settings - Payments link. If you are a Course Owner without System Admin access, ask your System Admin to check this. Creating a price does not itself collect a payment.
This guide covers the prices you set. For what Cademy charges, see Understand Cademy Plans, Limits and Fees. For VAT on your prices, see Set Up VAT for Course Sales. To give money off, see Create and Apply Discounts. On Teams and Enterprise plans you can also let customers pay an order in monthly instalments instead of all at once: see Offer and Manage Monthly Instalments.
Offer a free place
If your course is free, set the price to 0. On the course page the price is then shown as Free.
The picture shows the single Price field set to 0, with the Custom Offers & Add-ons button, in an earlier version of the course editor.
For a free offer, follow the offer steps above and enter 0 in Price. Complete Create Price or Update Price, then the course’s Save, and check the saved value. A zero-priced option can appear as Free on a course page, while checkout can display a numeric zero.
A free offer still reserves the places it covers. Optional paid add-ons or other paid selections can make the order chargeable. For an On-request course with no fixed offers, Free is also a separate choice under How do you price this?; changing to that model is different from setting one offer to zero.
Open More Options
Open a new or existing offer using the steps above, then select More Options at the bottom of the offer window. It contains the sale-window fields and Spaces to block. These options apply to offers, not add-ons. If you only inspect the values, select Cancel to leave the offer without updating it.
Set a sale window
A sale window limits when an offer can be bought. Use it for limited-time offers such as an Early Bird price.
The picture shows Available from (optional) and Available until (optional) in an offer’s More Options. The note under each field says the offer will be hidden. At checkout the offer stays listed but cannot be added, as explained below the steps.
Check your browser’s local time zone before entering the window. It can differ from the course date’s scheduled time zone.
In the offer’s More Options, set Available from (optional) to the date and time when sales should start. Leave it empty if you do not need a start restriction.
Set Available until (optional) to the date and time when sales should end. Leave it empty if you do not need an end restriction. Check both time fields as well as the dates.
Select Create Price or Update Price, then the surrounding course editor’s Save. Reopen the offer and check both saved boundaries.
For example, give an Early Bird offer an end date and time, and give a Standard offer the start date and time you intend. Check each offer separately; changing one does not automatically change the other.
Outside its sale window, an offer cannot be bought. It can remain visible at checkout with Sales start on or Sales ended on, so visibility alone does not mean it is available. Date visibility, remaining places and other booking restrictions still apply.
Sell more than one place per offer
Spaces to block means the number of attendee places reserved by one selected offer. It defaults to one. It does not mean a block of scheduled sessions.
The picture shows Spaces to block at the bottom of an offer’s More Options, set to 1.
Open the offer and select More Options.
Enter the intended number in Spaces to block. For a two-for-one, couple or two-person family offer, enter 2.
Check the offer’s Name, Description and Price so the customer can tell how many people the price covers.
Select Create Price or Update Price, then the course’s Save. Reopen the offer and check its saved price and Spaces to block.
For example, a £40 offer covering two places costs £40 for one offer and reserves two places. Selecting quantity 2 of that offer costs £80 before other adjustments and requires four places. Two ordinary one-place offers use two places: if six were available, four would remain. For a couple or family offer, you can set the price a little lower than two single places.
For a whole-session offer covering six people, set Spaces to block to 6 and use the intended total price, which can be lower than six single places. It requires six available places; if only four remain, there is not enough room for that offer. This setting does not make the date private or remove other offers. To check how many places a date has, see Add and Edit Course Dates and Blocks.
Create an add-on
Add-ons suit extra items you sell with a course, such as kits, recordings or materials.
Open the course’s Edit Course > Pricing & Delivery. If needed, select Custom Offers & Add-ons. For On-request, use the fixed-offer Set pricing model described above.
Select Add Price, then Create an Add-on.
Enter its Name, Description and Price in the displayed currency. Explain what is included and how the customer receives it.
Select Create Price, then the course editor’s Save. Reopen Pricing & Delivery and check the item in Add-ons. To edit it later, select it, choose Update Price after your changes, then save the course again.
Customers can select optional extras alongside their offers at checkout, where add-ons are listed under the offers. Add-ons do not reserve extra attendee places. For example, equipment hire can have its own quantity and price, but an additional person needs an offer covering their place. Describing delivery or an email in an add-on does not itself automate fulfilment.
The picture shows add-ons under the offers in an earlier checkout design. The headings and the summary on the right have changed since: the “Service fee” line and the “Free cancellation 14 days prior” line in the picture are not part of today’s standard checkout.
Use different settings for a date
For a scheduled course, a date or block can have its own offers and add-ons. A block groups sessions into one booking. Use the whole block’s settings for a whole-block offer; use a session’s settings when that session is sold separately.
When you add new dates
Open the course’s Edit Course > Dates and select Add dates. Choose the days in the calendar, then select Change Default Settings, Spaces, Location or Price (on a small screen the button reads Change Defaults).
The picture shows that button in an earlier version of the window. What you set under it is used for the dates you are adding:
the delivery method: In-person, Online or Hybrid;
the location, for In-person or Hybrid delivery;
the online joining link, for Online or Hybrid delivery;
Max Spaces for the date or block;
the price offers and add-ons for the date or block.
Select Save Date or Save Dates to finish. Use this window for new dates. It is not the place to change a saved date: it opens with Visibility set to Public and saving applies that to the dates in it. For the full steps for adding dates, see Add and Edit Course Dates and Blocks. For locations and joining links, see Set Course Locations and Joining Details.
Change a date you have already saved
In Edit Course > Dates, select the pencil on the row of a single date. Do not use a block’s pencil for this, or tick dates and select the button that then reads “Edit 1 date” (with the number you ticked): those open the shared window described above, which starts with Visibility set to Public. The date’s editor opens from the single date’s pencil. Its Pricing section lists that date’s offers and add-ons; change them there, then select Save.
The animation shows the pencil and the date’s editor in an earlier design, where the button read Confirm. It is now Save.
You can also work from the course dashboard, which is the route to use for a block or a session inside a block. Use View All Dates if needed, find the date or block, open its three-dot menu (Date actions) and select Edit. For a session inside a block, select Expand sessions first. Its Pricing section is available when the session is individually bookable.
When editing an offer inside a date, Create Price or Update Price changes the offer within that editor. The date’s outer Save is still required. Reopen the same date to check it. For an On-request date, use its separate request workflow; it does not have the same scheduled-date Pricing section.
This is how dates look on the admin side and on the customer side:
The picture compares the Dates list in the course editor (left), where each row shows the date’s price range, delivery and places, with the public course page (right). Both are earlier designs.
Choosing a different date currency saves copies of its current offers and add-ons. Returning to the course currency does not reset those saved lists. For how course defaults and saved date prices interact, see Set Course Prices and Places: Defaults and Date Overrides. Check the actual date’s settings before assuming a course-default change will appear there. In checkout, a selected date’s non-empty offer list is used instead of the course offer list. Add-ons are checked separately: an empty date add-on list can fall back to the course’s add-ons. Do not rely on deleting every date add-on to guarantee that no add-ons will be offered.
Check purchased places and add-ons
Once a customer places an order, the order panel in the Admin dashboard shows what they selected. A System Admin can inspect it:
Open Orders in the Admin dashboard and select the relevant order row.
In the order side panel, expand Details if it is collapsed. Find the relevant course and date.
Review the participant or unnamed-space rows and any selected add-ons. The columns are Item and Amount; add-ons have an Add-on label and show a quantity when more than one was selected.
The picture shows an earlier design of the order panel, which listed the selected offers with a quantity and a price. The current panel is organised around people and places.
One two-place offer can produce two participant or unnamed-space rows. Offer names are not shown in every case, including some single-offer and older orders; do not assume a missing name means no offer was bought.
An Amount beside a participant can be that place’s allocated share of the order, including adjustments. It is not necessarily the offer’s unit price or proof that payment settled. These details come from the saved order; check them here rather than using today’s course price to reconstruct a past booking.
Get help
If an offer is missing or a saved price does not match what you expected, email Cademy Support with the course link, intended date or block, offer name and the setting you checked. For an order question, include its reference and the difference you see. Keep personal and payment information out of public screenshots.
Frequently asked questions
Does every offer reserve one place?
One place is the default. Spaces to block changes how many places one offer reserves. Multiply that setting by the selected quantity to work out the places needed.
Does a free offer make the entire order free?
Not necessarily. The offer price is zero, but paid add-ons or other paid selections can still create a charge.
Why does an ended offer still appear at checkout?
An offer can stay visible with Sales ended on while it is unavailable to buy. Check the saved date and time rather than relying on whether the offer is visible.
Will changing the course’s prices replace every date’s prices?
Do not assume so. A date can have its own offer list. Check the intended date or block, save changes in that editor if needed, and reopen it to confirm.
Can I use an add-on for an extra attendee?
No. Add-ons do not reserve attendee places. Use an offer covering the additional person.
Why does Details show two people for one purchased offer?
An offer can cover more than one place. Details shows those places as participant or unnamed-space rows, rather than always showing one row per purchased offer.
