Record whether each participant attended the correct scheduled session. Attendance belongs to their Registration: one person’s place on a course or course date. A purchase Order is not an attendance record. A primary contact (the Order Contact) who is not attending has no attendance record either.
Use the intended provider account as a System Admin, or as a Course Owner or Facilitator with access to the relevant course, date and Registration. Recording a mark can change Completion and, when the relevant settings and eligibility conditions are met, trigger certificates, CPD (continuing professional development) awards or completion feedback requests. Check the participant and session before changing a mark.
A saved mark, whether Attended or Absent, also limits what the customer can do in their own account. For a place booked through an Order, the primary contact can no longer edit, replace, remove or transfer that participant on that course. The participant’s First Name, Last Name and course-specific answers are locked in their own details form. Changing the mark afterwards does not lift this. See Manage Participants and View Their Course Progress and Certificates for the customer’s side.
Open the attendance controls
Log in to the Cademy Admin dashboard.
Select Courses, open the intended course and select Registrants.
Find the participant’s Registration and check its course date or block. A block is a group of sessions booked together. Select the required date when useful to narrow the list.
Find the Attendance column. If it is hidden, turn it on in the column choices: select Columns, or select View and use its Columns section, whichever your list shows. Filter, Sort and Use Saved Filters explains the two list toolbars. The main account-wide and organisation Registrations tables do not include Attendance; use the course table.
A direct attendance cell uses that Registration’s own date or block. It does not require the table’s single-date filter used for bulk attendance below. If the cell is empty or still loading, check that the Registration has the correct scheduled date and wait for the session details to load. If it remains unavailable, ask a System Admin or Cademy Support to check your access and the record.
Mark one participant
Find the correct participant and check the session date. For a single session, select Attended or Absent in that row’s Attendance cell.
The choice starts saving immediately; there is no separate Save or Apply button for this cell. Read any error and allow the update to finish.
Refresh the list and check the mark is retained. If the result is uncertain or the mark changes back, contact Support before repeatedly changing it.
To correct a saved mark, select its current status to show both choices again, choose the accurate status and check the saved result in the same way.
Record what happened. Do not switch attendance back and forth simply to force a completion or award update. Choosing an already-identical mark is not a reliable way to trigger a new completion check.
Courses with several sessions
A multi-session Registration shows a summary such as Not Marked, All 3 Attended or 2 Attended, 1 Absent. The summary belongs to that participant.
Select the participant’s attendance summary.
Check each session’s name and date. Select the tick beside the intended session for attended, or the cross for absent. Each choice starts saving immediately.
Only when every session for that participant needs the same mark, use Mark all as → Attended or Absent. This changes all sessions for that one participant, not all participants.
After the updates finish, refresh and reopen the summary. Check every intended session and investigate any error or unexpected mark before continuing.
Mark several participants
Check how the rows are selected first. In the full Registrants table, bulk attendance works in one of two ways. If at least one row of the list is left unticked, Cademy marks the rows you ticked. If every row of the list is ticked, with Select All or by ticking each row, Cademy does not use the ticked rows. It sends the list’s Search text and filters, and a background step finds the Registrations again within the chosen course and date or block.
That background step reads each Registration’s own record and not the participant’s contact record. Search text, which matches details such as the participant’s name and email, and filters on contact details are therefore not applied as the list shows them. A condition the step does not recognise is ignored. The number in the Mark Attendance window is the list’s count, not a check of who will be marked.
If the list is narrowed by Search or by any filter other than the date, leave at least one row unticked and mark that participant with the individual controls above, or mark every participant individually. Ticks cover only the page shown, and changing page clears them. On a list longer than one page, repeat for each page.
From the course’s Registrants tab, select the intended single course date or block. A date-range filter or rows that merely happen to share a date may not establish the required scope.
Check the intended Registrations and the selection warning above. Select their checkboxes only when you have established the correct scope; do not use Select All as a workaround for an uncertain selection.
Select Mark Attendance. If it is disabled, read Filter by a single date to mark attendance. Choose the required single date or block and check the selection again.
Check the displayed Occurrence, meaning the session to mark. For a block with several sessions, choose the intended session. This action marks one session per selected Registration; it does not mark the whole block. A ticked Registration that is not booked on the chosen session or on its block is skipped without a message.
Under Status, select Attended or Absent. Check the participant count, session and status before selecting Apply, or use Cancel to leave without submitting.
Read the result. Bulk updates run in the background and can take a couple of minutes. Refresh shortly afterward and check the intended attendance records. A submitted request is not proof every mark was saved. If it fails or partly updates, check the existing results and contact Support before retrying.
Use the all-dates Registrants summary
The course Overview also has a Registrants Summary for On set dates and Blended courses. This is a separate selection surface from the full Registrants tab and can group selected people from different dates. It always marks the rows you ticked.
Open the course’s Overview. If a date is selected, select that date card again to return to the all-dates view. View All Dates, when shown, opens the date list; it does not itself clear a selected date.
In the date list, choose the tab for upcoming dates or the tab for past dates. The summary follows this date-tab scope.
If the Orders/Registrants switch is shown, choose Registrants Summary (the label can shorten to Registrants in a narrower view). If you do not have Order access, the Registrants list is already shown without that switch.
The summary includes Active and Pending Registrations and may show only part of a date’s participant list. Check the displayed groups and select the intended rows. For missing or historical records, open the full Registrants tab, choose All Registrations, then check the date scope, Search and filters before assuming the person has no Registration.
Select Mark Attendance. Each selected Registration is grouped with its own date. For every block group that offers an Occurrence choice, choose the intended session.
Choose Attended or Absent, check the groups, sessions and participant count, then select Apply. Use Cancel if any target is unclear.
Allow the background updates to finish, then refresh and check the selected participants’ individual session marks. Investigate an uncertain or partial result before repeating the action.
One chosen session for a block group is not every session in that block. Show All opens the full Registrants table, where the single-date scope and selection warning above apply.
How attendance affects completion
Completion describes the learning and attendance evidence. It is separate from the Registration’s lifecycle Status, such as Active or Cancelled. Completion updates can follow the attendance save in the background.
For attendance to complete a Registration, every required session of that Registration must be marked Attended. One attended session out of several is not enough. A Blended course with published lessons also needs lesson progress of 100%. An On-demand course does not use attendance. See Understand Course Completion Status for the rules for each course type.
Changing a required session from Attended to Absent can move Completion out of Completed once the change is processed. It can become In Progress if some requirements are still met, or Not Completed if an attendance outcome is recorded but none count towards completion. Marking the session accurately as attended again can restore Completed when the other requirements are met.
Imported or historical completion can remain as recorded while there is no new local attendance or completed-lesson evidence. New evidence can change how completion is calculated. If a historical record or current result looks wrong, ask Support to check it instead of altering accurate attendance to obtain a particular badge.
Certificates and CPD
When the evidence makes a Registration Completed, Cademy can issue its certificate or CPD award if the course settings, account features and record eligibility permit it. Completion alone does not guarantee an award or email delivery. Completion feedback requests can also be queued when that feature and course setting are enabled.
Changing attendance does not automatically revoke an issued certificate or CPD award. Correct an inaccurate attendance mark first, then revoke an award separately only when that is the intended outcome. Revocation does not change attendance, lesson progress or Completion.
To revoke an award, follow Set Up and Issue Course Certificates for a certificate and Set Up and Award CPD Points and Hours for a CPD award.
If attendance and lesson progress still add up to Completed, an award can be issued again when completion is re-evaluated. Correct inaccurate evidence rather than relying on revocation to make the learner incomplete.
For a missing award, check Completion, the course’s automatic certificate or Award CPD settings and the account’s available features. CPD must be included in your account’s plan and also requires Settings → CPD → Enable CPD, suitable course points/hours and an eligible learner record. Ask the account administrator or Support to confirm your account’s actual entitlement and settings. Legacy bookings and incomplete Order links may need a separate check.
See Set Up and Issue Course Certificates and Set Up and Award CPD Points and Hours for the full setup and award procedures.
Check and correct attendance
Return to the course’s Registrants table and check the saved Attendance mark. For several sessions, open the summary and inspect each session.
If an accurate attendance mark is saved but Completion has not caught up, allow background processing and refresh. Contact Support if it remains inconsistent; do not assume a missing badge means the attendance save failed.
If the participant is missing, open the full Registrants tab, choose All Registrations and check the course/date scope, Search and filters. The Overview summary only includes Active/Pending records within its Upcoming/Past scope. Then check whether the person has their own Registration. A non-attending Order Contact does not have an attendance place. Ask a System Admin to check the Order’s participants or Support to establish the record; avoid adding a duplicate Registration.
For an inaccurate mark, use the correction procedure above, check the saved result and review any already-issued awards separately.
For finding and selecting the correct record, see Find and Manage Course Registrations.
Frequently asked questions
Why can I not see the Attendance column?
Open the course’s Registrants table and check its column choices: Columns, or the Columns section under View, whichever your list shows. The account-wide and organisation tables do not include it. If the column is present but the cell is empty, check the Registration’s scheduled date, loaded sessions and your access; ask Support if it remains unavailable.
Why is Mark Attendance disabled?
In the full Registrants table, the action requires a supported single-date or block scope. Select the intended date/block and check your selection again. A date range or a list that only happens to contain one date is not necessarily enough. The separate Overview summary follows its grouped procedure above.
Can I mark several participants at once?
Yes, using Mark Attendance, the intended session, Status and Apply. First read the full-table selection warning above: when every row of the list is ticked, Cademy finds the Registrations again from the list’s Search text and filters, and conditions on contact details are not applied as the list shows them. The all-dates Overview summary is a separate workflow; neither bulk route marks every session of a block in one choice.
Does attending one session complete a multi-session course?
No. Every required live session must be marked Attended. A Blended course with valid published online lessons also needs 100% published-lesson progress. Check the saved marks and allow the completion update to process.
Does marking someone absent cancel their Registration or order?
No. It records attendance and can change Completion. It does not cancel the Registration, Order or payment.
Does changing attendance to absent revoke a certificate or CPD award?
No. Completion can move out of Completed after the change is processed, but issued awards remain until separately revoked. Check whether revocation is actually required.
How do I revoke a certificate or CPD award?
Follow Set Up and Issue Course Certificates for a certificate and Set Up and Award CPD Points and Hours for a CPD award. Revoking an award does not change attendance, lesson progress or Completion.
Why was a certificate or CPD award not issued?
Check Completion and the separate course/account settings and record eligibility. CPD requires an account whose plan includes it, Enable CPD under Settings → CPD, and suitable course points/hours. A completed badge alone does not guarantee an award or delivery. Ask Support to inspect a missing result instead of repeatedly changing accurate attendance.
Does an on-demand course use attendance?
No. Its completion uses required published online lesson progress. Attendance records scheduled sessions.
Why is a participant missing from the attendance list?
Start in the full Registrants tab, choose All Registrations and check the date scope, Search and filters. The Overview summary shows only Active/Pending records in its Upcoming/Past date scope and can be partial. Then check that the person has their own Registration. Someone who only booked for others is not an attending participant. Ask a System Admin to check Order participants or Support to establish the existing record before creating anything else.
