Understand Course Completion Status

Check a participant’s Completion, understand its first date, filter and export results, and correct the evidence behind an unexpected status.

Use Completion to understand a participant’s recorded course progress or outcome. This guide is for providers checking their Registrations, meaning each person’s individual place on a course or course date.

Status and Completion answer different questions. Status is the administrative state, such as Active, Pending or Cancelled. Completion reflects attendance and online lesson evidence; it does not by itself confirm payment, current learning access or an issued award.

Find a participant’s Completion

Cademy has two toolbars for lists, and your whole account has one or the other on Registrations. This guide calls them the View toolbar, which has a button named View beside Filter, and the Saved Filter toolbar, which has no View button. Where a step differs between them, this guide says so. Filter, Sort and Use Saved Filters gives the full steps for both.

  1. Log in to the intended provider account. A System Admin can open the main Registrations page. For a course you can access as a System Admin, Course Owner or Facilitator, select Courses, open the course and select Registrants.

  2. Find the participant and check the course and date. If the record is missing, choose All Registrations and check Search, filters and the course/date scope before assuming no Registration exists.

  3. Find the Completion column. If it is hidden, show it again: on the Saved Filter toolbar, select Columns; on the View toolbar, select View and use its Columns section. Show Completion Date in the same place when you also need the first completion date. On the Saved Filter toolbar, your current browser remembers which columns are shown; on the View toolbar, the columns shown are part of the view.

  4. Select the Registration row. In the panel that opens, expand Registration if needed, then look for Completion beside the separate Status information. If the record or controls are unavailable, ask a System Admin or Cademy Support to check your access.

Understand the four Completion statuses

  • Not Started: no required attendance outcome or completed lesson currently provides evidence for the calculation. Merely opening a lesson is not a completed lesson.

  • In Progress: some required attendance or completed lesson evidence counts, but the Registration has not reached the course’s completion requirements.

  • Not Completed: an attendance outcome has been recorded, but no required session counts as attended and no completed lesson contributes positive progress. An Absent mark is different from an unmarked session.

  • Completed: the applicable attendance and published-lesson progress requirements have been met, or a recorded historical completion is being preserved as explained below.

For example, on a two-session live course, one Attended session and one unmarked session give In Progress. Both required sessions marked Attended give Completed. An Absent mark with no attended session gives Not Completed.

How Completion works for each course type

  • Single-session classroom or live online course: before attendance is recorded it is normally Not Started; Attended makes it Completed and Absent makes it Not Completed. There is no partial attendance step for that one session.

  • Multi-session live course: every required, non-deleted session for that Registration must be marked Attended. Some attended sessions give In Progress until all are attended. If attendance has been marked but none are attended, it is Not Completed.

  • On-demand course: completion uses published-lesson progress. It normally moves from Not Started to In Progress as lessons are completed, then Completed at 100% published-lesson progress. It needs at least one valid published lesson; an empty course does not automatically complete.

  • Blended course: every required live session must be attended and published-lesson progress must reach 100%. Completing only one part normally leaves In Progress. If there are no valid published online lessons, the attendance requirements can be enough. If an attendance outcome is recorded but no session is attended and no lesson is completed, it is Not Completed.

  • On-request course: submitting a request is not completion. The participant needs a Registration for an arranged session; attendance then works as for a classroom or live online course. An unscheduled Registration has no session evidence to complete.

Draft or deleted lessons do not count towards the published-lesson requirement. In the normal on-demand flow, Completion uses Not Started, In Progress and Completed, rather than the attendance-based Not Completed outcome.

Lesson progress is a percentage rounded to the nearest whole number. On an on-demand or Blended course with 200 or more valid published lessons, it can therefore reach 100%, and meet the lesson requirement, while a lesson is still unfinished. On an on-demand course the Registration then becomes Completed, and a certificate or CPD award that the course gives automatically on completion can be issued at that point.

If a lesson holds a required form that learners can still fill in, the learner must submit it before they can complete that lesson on the learner page. Submitting the form does not complete the lesson: once the lesson’s other requirements are met, the learner selects Complete & Continue, or Mark as Completed in the last lesson. Understand Completion Date

Completion Date records the Registration’s first completion date. Ordinary attendance or lesson-progress corrections and later re-completion keep that date. It is separate from the course date, certificate issue date and CPD award date. CPD means continuing professional development.

A correction can move the current Completion back to Not Started, In Progress or Not Completed. If a first completion date exists, it stays in place. While the current status is not Completed, the registration panel shows First completed with that date beside the status, and the table shows a history icon beside the Completion badge. While the status is Completed, the panel shows the date without those words. A date alone does not mean the Registration is currently Completed.

Recent dates in the table can use relative wording; point to the date to see the full date and time. Some historical completed Registrations have no recorded completion date. Ask Support to check a missing or disputed historical date rather than changing accurate attendance or progress to obtain a different date.

Filter Registrations by Completion

  1. Open the main Registrations page as a System Admin, or the course’s Registrants tab within your access. Check the course/date scope and existing filters.

  2. Select Filter, then Add Filter.

  3. Choose Completion from the list of fields. On the View toolbar it is listed under Suggested; on the Saved Filter toolbar, under Registration. This is different from Status and Lesson Progress Status.

  4. On the Saved Filter toolbar, choose the condition, such as equals. Then choose the intended value: Completed, In Progress, Not Completed or Not Started.

  5. On the Saved Filter toolbar, select Apply; on the View toolbar, the list updates as you choose. Check the resulting rows and their course/date context. If an expected person is missing, check other active conditions and Search before treating that as their completion outcome.

Use the separate Completion Date filter to find first completions within a date range. It does not mean those participants are still Completed; add a Completion condition if you need both. Older records can display a historical Completed badge even when a filter or export has no matching stored completion value. If the badge and results disagree, ask Support to check the existing record; do not alter learning evidence just to make a report match.

Export Completion information

Check the export scope first. Export uses the page’s scope and applied filters. Ticked row checkboxes do not limit it on either toolbar. On the Saved Filter toolbar, the text typed into Search does not limit it either; on the View toolbar, it does. It can include more records than the current table page. If you cannot establish the intended scope with filters, ask Support before exporting.

  1. Open the main Registrations page, an organisation’s Registrations tab or a course’s Registrants tab that you can access. Confirm the provider, course/date or organisation and apply the required filters.

  2. Select Export. On the View toolbar, Export can instead be an item in the menu button marked with three dots, where its name starts with Export and, once the list has loaded, gives the number of Registrations. Then select Choose Columns.

  3. In the Registration group, include Completion Status and Completion Date. Keep suitable participant and course identifiers so you can recognise each row, and check any other selected columns. The export label is Completion Status; the table label is Completion.

  4. Select Now, then Export Now.

  5. Wait for Your export is ready, then select Download CSV. Open the downloaded file and check the intended records, identifying fields, completion values and dates. If it errors or the result is unexpected, check what was produced and contact Support before repeating the export.

Populated Completion Status values use the four labels above. A historical record without a stored value can export a blank even if its badge uses an older completion record. A blank date is not proof the participant never completed. Compare uncertain rows with the Registration and ask Support to investigate.

Correct an incorrect Completion status

Completion is calculated; it is not a dropdown to change directly. Check the participant, course and date first, and correct only inaccurate evidence. A saved correction can trigger completion updates, eligible awards or configured feedback requests.

  1. For a classroom or live online course, check each required session and correct attendance using Record Attendance. Before any group change, check exactly which Registrations are selected; Search or selecting all matching rows does not prove the intended attendance targets.

  2. For an on-demand course, use Correct a Learner’s Lesson Progress to correct the relevant lesson record. Lesson-progress editing is unavailable for cancelled Registrations and does not change quiz answers or SCORM results.

  3. For a Blended course, check both: Record Attendance and Correct a Learner’s Lesson Progress.

  4. Read any confirmation and the saved result for the correction. Allow background processing, then refresh and reopen the Registration to check both the evidence and Completion. If accurate saved evidence and Completion still disagree, ask Support before repeatedly changing it.

Imported or historical completion can be preserved while there is no new local attendance or completed-lesson evidence. New evidence can cause the current calculation to take over. This does not mean every imported Registration is Completed or that a historical status can never change.

Certificates and CPD

A Completed Registration can receive a certificate or CPD award when the separate course settings, account features and record eligibility allow it. Completion alone does not guarantee an award or email delivery. An existing active award is not automatically issued again simply because the status returns to Completed.

Changing attendance or lesson progress does not automatically revoke an issued award. Correct the evidence first. If an award should also be revoked, that is a separate action: follow Set Up and Issue Course Certificates for a certificate and Set Up and Award CPD Points and Hours for a CPD award, and check what the action will remove before you select it. Revoke in a certificate’s Issued menu takes effect at once, without a confirmation.

Revocation does not change attendance, lesson progress or Completion. If the evidence still completes the Registration, an award can return on a later completion check. Check the actual awards separately from the status and its first date.

Frequently asked questions

Can I manually change Completion?
No. Correct inaccurate attendance or lesson progress using the linked procedure, then check the saved evidence and refreshed Completion. Do not change accurate records simply to force a badge or award.

What is the difference between Status and Completion?
Status is the administrative state, such as Active, Pending or Cancelled. Completion reflects course attendance and lesson evidence. Neither a Completed badge nor its date alone confirms payment, current access or an issued award.

​

Why does a Registration have a Completion Date when it is not currently Completed?
The first date stays through ordinary attendance or lesson-progress corrections. The current status can return to Not Started, In Progress or Not Completed while First completed still shows the earlier date.

​

Why did opening a lesson not change the Registration to In Progress?
Opening a lesson does not count as completing it. At least one required published lesson must be completed to contribute online learning evidence. On a live or Blended course, attendance can also contribute.

​

Can an on-demand Registration become Not Completed?
The normal on-demand calculation uses Not Started, In Progress and Completed. Not Completed describes an attendance outcome with no positive completion evidence. If an older or imported record looks inconsistent, ask Support to check it rather than rewriting its history.

Why is a blended Registration still In Progress after the participant attended?
Check that every required live session is marked Attended. If the course has valid published online lessons, published-lesson progress must also reach 100%. With no valid published online lessons, the required attendance can be enough. Allow the saved update to process, then check Completion.

​

Why does the participant still have a certificate or CPD award after Completion changed?
Awards are not automatically withdrawn when attendance or lesson progress changes. Revoke an award separately only when intended, following the certificate and CPD guides linked above. Revoking does not lower Completion, and an award can return if a later check still finds the Registration complete.

​

Why does an imported or historical Registration already show Completed?
Cademy can preserve a previously recorded completion, sometimes without a known date. New local attendance or completed-lesson evidence can make the current calculation take over. Not every import is complete; ask Support about an unexpected result.

​

Why can I not see the Completion column?
It may have been hidden. On the Saved Filter toolbar, select Columns and turn on Completion; your current browser may remember a layout that hides it. On the View toolbar, select View and show Completion in its Columns section. Completion Date is shown separately in the same place. If you cannot access the intended Registration, ask a System Admin or Support to check your access.
