Set Up and Issue Course Certificates

Set up automatic certificates, create templates, issue awards and check certificate links, expiry and revocation.

Use certificates to recognise course completion, attendance or another milestone. Set up the course’s automatic issuing, or issue an award manually from a Registration, meaning one person’s individual place on a course or course date. A template is the reusable certificate design; issuing creates the learner’s award.

An Order records a booking or purchase. For a Registration linked to an Order, the primary contact is the person shown as Order Contact on that Order. A Registration added directly or imported without an Order has no primary contact.

​

Start in the intended provider account. Course setup and custom template settings require an authorised System Admin or Course Owner. A Course Owner or Facilitator can work with Registrations within their course or date access; the main Registrations and Contacts pages require a System Admin. If an expected control is missing, check your account, role and course assignment with a System Admin before creating another record.

​

When Custom Certificates are available, one Registration can hold more than one active certificate when each certificate uses a different template.

​

Every plan can use the Cademy default certificate. Custom designs require Custom Certificates to be available for the account. Check the account’s plan and enabled features before following the custom-template steps.

Default and custom certificates

Cademy default certificate

The default certificate is available on every plan. It uses a standard A4 horizontal design and can include the participant’s full name, course name, certificate issue date, educator name and logo, and the course’s certificate Dynamic Value.

​

Custom certificate templates

With Custom Certificates available, you can create templates with custom backgrounds, text, images, dynamic values and up to 10 pages. Standard Pro and Teams configurations include this feature; check your own account’s entitlement under Billing & Usage.

​

Custom templates can use A4, Letter or Legal paper in horizontal or vertical orientation. The paper size and orientation apply to every page in the template, while each page can have its own background and content.

Set up certificates for a course

Changes in the course editor can save when you switch sections. Check the course before changing its settings. Open Courses, select the intended course, select Edit Course, then Settings → Certificates & CPD.

​

The available settings include:

​

Review the controls you intend to change. Certificate and CPD settings are separate; changing one does not grant the other award.

  • Automatically issue certificate: turns automatic issuing on or off.

  • Email student when certificate is issued: controls the participant’s automatic certificate email. It does not switch off the email to an Order’s primary contact; see Automatic certificate email recipients.

  • Template: selects the design for future course certificates. This control can be unavailable when the account does not have Custom Certificates.

  • Dynamic Value: adds course-specific wording to the certificate, such as a result, credit value or qualification.

  • Set Certificates to Expire: adds an expiry date.

  • Duration certificate is valid for: sets the number of days before the certificate expires. The minimum is one day.

  • Award CPD: enables automatic continuing professional development (CPD) awards when the feature is available.

Certificates and CPD are separate: A course can use certificates, CPD, both or neither. Turning on Automatically issue certificate does not turn on Award CPD, and turning on Award CPD does not issue a certificate.

When expiry is enabled, enter the intended number of days in Duration certificate is valid for (minimum 1; the starting value is 365). After completing the settings, select Save, reopen the course’s Certificates & CPD section and confirm the saved template, Dynamic Value, expiry and notification choices. Do not assume an existing award has changed merely because the course settings saved.

Automatic issuing follows the Registration’s Completion evidence. For On-demand courses, this requires valid published lessons and 100% published-lesson progress. For On set dates and On-request courses, all required sessions must be marked Attended. Blended courses need both attendance and the required lesson progress; if there are no valid published online lessons, attendance can be enough. Lesson progress is a rounded percentage, so 100% does not always mean every individual lesson is Completed: on a course with 200 or more valid published lessons, progress reaches 100% while a lesson is still unfinished, and an automatic certificate can be issued at that point. Historical or imported Completion can follow preserved rules; ask Support about an unexpected result instead of toggling accurate attendance or lesson progress. If an online lesson has a required Form block whose form can still be filled in, the learner must submit it before they can complete that lesson from their course page. Submitting the form does not by itself complete the lesson or issue a certificate. See Add Forms to Lessons and Correct a Learner’s Lesson Progress.

If the Registration already has an active certificate, automatic issuing does not create another one.

​

Automatic awards also depend on eligible records, the account features and course settings. Current Order, manually added and imported Registrations are supported paths; older booking records can behave differently. Enabling a setting is not proof that older completed records have been issued an award. Allow processing, refresh the Registration and check the actual certificate.

​

Automatic certificate email recipients

Email student when certificate is issued controls the participant’s email, which is sent when the participant has a saved email address. For a Registration linked to an Order, Cademy also sends a notification to the Order’s primary contact when the Order and that Contact still exist and the Contact has a saved email address. Turning off the participant email does not turn off the primary-contact notification. When the participant is also the Order Contact, they still receive that notification.

When both emails are due and would go to the same email address, Cademy sends only the participant’s email. No primary-contact notification is sent for a Registration added directly or imported without an Order. Automatic reissue after revocation suppresses the usual participant and primary-contact emails. If emailing is disabled for your account, the certificate is still issued but neither email is sent; the Issue Certificate window names this state Emailing is disabled, and Cademy Support can enable emailing. An issued award or successful save does not prove email delivery.

Create and manage custom certificate templates

Editing an existing template can change PDFs opened later for certificates already linked to it. Check that impact before saving a design change. Deleting a template archives the design; it does not revoke issued awards. Certificates with a recorded template assignment keep it. Some older certificates without a saved assignment follow the course’s current template, so changing the course template can affect those older certificates. Already downloaded PDFs do not change.

  1. Go to Settings > Certificate Templates in the intended account.

  2. Select Add Certificate. In Create Certificate, enter a clear template name, then select the final Create Certificate. This creates the template and opens its editor.

  3. Open the paper-size and orientation control, labelled with the current format, such as A4 Horizontal. Select the format you want.

  4. Select Select Background for the current page. Choose an existing image, or use the upload area and wait for the upload to finish. Check the selected image, then select Confirm.

  5. To add a separate image, choose Add → Image, select the image block, then Select Image. Choose or upload the intended image, check the selection and select Confirm. Add text and other content using the controls below; check every page.

  6. Select Save. After the saved message, return to the template list and reopen the template to confirm the design and all pages persisted.

To rename a template, select its name or pencil icon, type the new name, click outside the name field and select Save. Reopen it to check. The template options menu has Duplicate and Delete...: read the named template in the dialog before confirming Duplicate Certificate or Delete Certificate, then check the template list.

Deleting a template removes it from normal template selection. A course already using that template can continue using it until a different template is selected. Certificates already issued with it remain available.

​

Add content to a template

Use Add to insert:

  • Text

  • Image

  • Student Name

  • Registration ID

  • Course Name

  • Certificate Issue Date

  • Certificate Expiry Date

  • Course Dynamic Value

  • Course Facilitator

  • Course Start Date

  • Course End Date

Insert variables and choose their format

CPD variables are not listed under Add > Dynamic Values. That menu creates standalone blocks. Add CPD values and labels inside a Text block instead.

  1. Select Add.

  2. Select Text. A new Text block appears on the certificate.

  3. Select the new Text block. Its formatting toolbar appears above the block.

  4. Select Insert variable (x) in the formatting toolbar.

  5. Scroll to the bottom of the Insert variable menu to find the four CPD options.

  6. Select a variable to add it to the Text block. Repeat when the text needs both a value and its label.

The Insert variable menu includes:

  • Student name

  • Registration ID

  • Course name

  • Certificate issue date

  • Certificate expiry date

  • Course start date

  • Course end date

  • Course facilitator

  • Course specific value

  • Educator name

  • CPD points

  • CPD hours

  • CPD points label

  • CPD hours label

Course specific value is the variable-menu name for the course’s certificate Dynamic Value.

The four CPD variables appear under Insert variable (x) only when the account has the CPD feature and CPD is enabled under Settings > CPD. Check that separately from Custom Certificates.

​

For example, add CPD points, type a space, then add CPD points label. A completed Registration with 4 points can then show 4 CPD points on its certificate.

  • CPD points and CPD hours use the Registration’s active CPD award when one exists.

  • Before an award exists, the value variables use the course’s current CPD values.

  • If the award has been revoked, the value variables are blank.

  • CPD points label and CPD hours label use the names saved under Settings > CPD.

A points or hours variable is blank when its selected source has no value for that unit. An active award uses its saved values, even if the course values later change. Without an award, course CPD must be enabled and the relevant course value set; a revoked award leaves the values blank. Disabling CPD or losing the account’s CPD feature hides these options and renders existing CPD variables blank while that restriction applies.

Student Name blocks include these Change Name Format options:

  • Full Name

  • First Name

  • Last Name

Date blocks include these Change Date Format options:

  • YYYY-MM-DD

  • YYYY/MM/DD

  • DD/MM/YY

  • DD/MM/YYYY

  • MM/DD/YY

  • MM/DD/YYYY

  • DDth MONTH YYYY

Format and position content

Move and resize blocks directly on the certificate. Text controls include font, size, alignment, colour, bold, underline and how text fits inside its block.

The Certificate Expiry Date is blank when that certificate has no saved expiry date. Changing the course’s expiry setting does not itself change an existing certificate’s saved expiry. Course Dynamic Value is blank when the course does not have a Dynamic Value. Course Facilitator can show more than one facilitator.

​

For a Registration from an Order, or one added or imported directly, the participant’s name on the certificate is the First Name and Last Name saved on their Contact in your account. The PDF is created each time the certificate is opened. To correct a name, open the participant’s Registration, expand Contact Info, change First Name or Last Name, then open the certificate again and check it. Already downloaded PDFs do not change.

Add and manage pages

  1. Select the plus-icon Page control to add a blank page after the current page.

  2. Use the Previous Page and Next Page arrows beside the page indicator to move between pages and check each page’s background and content.

  3. Open Page Options to choose Duplicate Page, Move Left, Move Right or Delete Page. To delete, check the page in the confirmation before selecting the final Delete Page.

  4. Select Save, reopen the template and check its page count, order and content.

A template can have up to 10 pages. The final remaining page cannot be deleted. When a certificate is issued, all pages are combined into one PDF in the order shown in the editor.

Issue one certificate manually

Before issuing: If this learner has places on different courses within the same Order, ask Cademy Support to confirm the intended course before issuing or reissuing individually. An individual issue can select another eligible course on that Order; choosing a template does not select the course. Do not keep retrying an unexpected result.

  1. Open the intended course’s Registrants tab, or the main Registrations page as a System Admin. Find and open the correct learner’s Registration; check the course and date, then expand Certificate or Certificate & CPD.

  2. Select Issue Certificate to open the dialog.

  3. If Template appears, confirm the course template or select Cademy Default or another active custom template. This selects a design, not a different course.

  4. Email the certificate to the participant starts selected. Clear it if you intend to issue without any certificate email; leaving it selected also notifies the Order’s primary contact when the Registration is linked to an Order. Check the recipients before continuing.

  5. Select the final Issue Certificate. This creates or restores a real award and starts any selected notification.

  6. Wait for the result, refresh or reopen the Registration, and check the certificate’s template, issue date, expiry and status. Use Issued → View to inspect the PDF’s actual learner, course, values and every page. If the result is wrong or uncertain, read back the record and contact Support before retrying or sending another email.

The Template picker appears only when Custom Certificates are available. The course template is selected by default and marked Course Template. If Template does not appear, Cademy uses the template assigned to the course or the Cademy default certificate.

If emailing is disabled and the email option is selected, the window shows Emailing is disabled. The certificate is still issued, but the email is not delivered.

​

When Email the certificate to the participant is selected, Cademy emails the participant if they have a saved email address. For a Registration linked to an Order, it also notifies the Order’s primary contact when the Order and that Contact still exist and the Contact has a saved email address. If both would go to the same email address, Cademy sends one email. Clearing the checkbox issues the certificate without either email.

​

After a certificate is issued, the Registration lists its template, issue date, expiry date or Never, and status. Open its Issued menu for View or Copy. Read the immediate-action warning below before using Revoke.

​

Opening an individual certificate’s Issued menu and selecting Revoke starts revoking that certificate immediately, without another confirmation. Check the exact template, learner and course first. Its public link stops working; emails and downloaded PDFs are not recalled. A certificate can be shared by several Registrations for the same learner and course on one Order, so other dates may also be affected. The three-dot Registration actions menu offers Revoke Certificate… or Revoke Certificate & CPD… as applicable. This route revokes only the latest active certificate, together with the CPD award named in the action. It does not select a particular template or revoke every certificate. If several active certificates are listed, ask Support to confirm the scope first. Read the confirmation’s learner, course, awards and any shared-certificate warning before selecting the final Revoke. If the participant has another Registration for the same course on the same Order that is not cancelled, the confirmation shows a notice headed This certificate is shared, which says that revoking this certificate revokes it for that Registration too. Then refresh and check every remaining award. Revoking does not change Completion, attendance or lessons; a later completion check can restore an eligible revoked award.

To add another certificate without replacing the first one, follow Issue more than one certificate for the same Registration below.

​

Reissuing is immediate: opening a certificate’s Revoked menu and selecting Issue Certificate or Issue & Email starts the action without another confirmation. Check the individual-issue course warning above first. This restores the existing certificate using its original template and issue date; current course expiry settings are applied. Then refresh and inspect the restored certificate and its expiry. The bulk route below can use a new issue date when restoring a revoked award.

Issue more than one certificate for the same Registration

Use this when one participant needs different certificates for the same course, such as an attendance certificate and an accredited certificate.

One Registration, several certificates: Each active certificate must use a different template. Issuing another certificate adds it to the Registration without replacing the certificates already there.

Issue another certificate for one participant

Read Before issuing at the start of Issue one certificate manually first. It applies here too.

  1. Open the intended course’s Registrants tab. A System Admin can also use the main Registrations page.

  2. Open the participant’s Registration and expand Certificate or Certificate & CPD.

  3. Select Issue Another.

  4. Under Template, choose a different active custom template or Cademy Default.

  5. Leave Email the certificate to the participant selected to send it, or clear it to issue without any certificate email. Leaving it selected can also notify the Order’s primary contact; check that recipient scope before the final action.

  6. Select Issue Certificate.

After the success result, reopen the Registration and check that the additional certificate appears beside the existing certificates. Each entry shows its template, issue date, expiry date or Never, and status. View its PDF to confirm the course and design. Each certificate has its own Issued or Revoked menu; the immediate revoke/reissue cautions above apply.

The same active template cannot be issued twice. A template already used by an active certificate is marked Already issued and cannot be selected. If the matching certificate was revoked, reissuing restores that certificate instead of creating another copy.

Issue an additional certificate in bulk

Open the course’s Registrants tab, select the required Registrations and select Issue Certificates. Choose a different template to add another certificate. If a selected Registration already has an active certificate using that template, Cademy includes the existing certificate in the ZIP and selected email delivery instead of creating a duplicate.

When available and a matching award exists, the learner’s Get Certificate action opens the most recently issued active certificate. The control’s visibility is not proof that a certificate has been issued. Use the specific certificate’s Issued → Copy link when you need to share a particular template.

​

If Template is not shown, Custom Certificates are not available for the account. Cademy uses the course template or Cademy Default, and it does not create a duplicate when that active certificate already exists.

Issue certificates in bulk

Bulk certificate issuing is available from an individual course’s Registrants tab.

​

The current bulk route supports eligible Order, manually added and imported Registrations. Older booking-source records are not supported by this bulk job. If the action is missing, check your role and course/date access; if a record fails, do not create a duplicate Registration to bypass it.

  1. Open the intended course and select Registrants. Check the course/date scope, Search and filters before selecting people.

  2. Select between 1 and 500 intended Registrations. Check whether the selection covers visible rows or all matching results; do not assume the current page is the whole selection.

  3. Select Issue Certificates. Check the selected count, template and delivery option. One template is used for the whole job; Issue only (no email) is the default.

  4. If using Issue & email a manual address, enter and check the intended recipient. For other email options, check the intended participant and primary-contact scope before starting.

  5. Select the final Issue Certificates only when that award and delivery scope is intended. This starts a real background job. Closing the dialog or selecting Cancel after it starts does not cancel the job.

  6. When processing finishes, review issued, already issued and failed results. Select Download ZIP for available certificates, inspect the contents and check the learner, course and template on each intended award. A certificate success count is not confirmation that every email was delivered.

  7. If any entry failed or the outcome is uncertain, inspect the affected Registration first. Successful awards remain in place even if others fail; ask Support about the failure before rerunning a job that can send emails again.

With Custom Certificates, the certificate picker includes Cademy Default and active custom templates. The course’s current template is identified and selected by default. Search for a template when the list is long. One template is applied to the whole bulk job.

The delivery options are:

  • Issue only (no email): creates any missing certificates and makes one ZIP available in the results, including certificates already issued with the selected template.

  • Issue & email registrants: sends each participant their own certificate email.

  • Issue & email registrants and primary contacts: sends participant emails, and grouped ZIP links to the Orders’ primary contacts.

  • Issue & email primary contacts only: sends grouped ZIP links to the Orders’ primary contacts.

  • Issue & email a manual address: sends one ZIP link to the email address entered.

The results show how many certificates were issued, already issued or failed. Certificates already issued with the selected template are included in the ZIP and chosen email delivery. Their original issue details are kept and no duplicate certificate is created. Selecting a different template creates an additional certificate. A revoked certificate does not block reissuing that template.

You can download or send a complete set even when every selected Registration already has the chosen certificate. Choose Issue only (no email) if you only want the ZIP, then follow the issue and download steps above. Review any failures in the results before treating the set as complete.

View certificate activity on a contact

Open the contact and check Activity to see when a certificate was issued and whether it is valid, expired or revoked. The expiry date itself is shown with the certificate on the Registration.

Send or copy a certificate link

Use the Certificate Link mail merge value

Use Certificate Link in a suitable email template with the intended learner and Registration context. It can open the latest active certificate for that context, rather than a named template. Confirm an award actually exists and check the recipient/context before sending; adding a mail merge value does not itself issue a certificate. For a particular certificate, use Copy below.

  1. Open Courses, select the intended course and open Registrants. Check each intended learner’s name, email, course and date, then select only the intended row checkboxes and choose Email or Send Email, whichever your list shows. Check the selected count; selecting all matching results can include more people than the visible page.

  2. Enter the Subject and Email body. Place the cursor where the link should go, open the toolbar’s Mail Merge menu (the { } icon) and choose Certificate Link.

  3. Select Preview. Check the learner named in Preview for, the subject and message. Use Back and Next when available to review the shown recipients. For all matching results, this is only a sample from the visible page; the preview is not a complete recipient-address list.

  4. Check that the intended certificate actually exists and that the selected recipients and message are correct. The preview does not issue a certificate or prove that its link can open an award. Send starts the real email action; use it only when ready to send, then check the resulting email activity rather than treating a queued message as delivered.

Copy a link to a specific certificate

Open the Registration, find the certificate, open its Issued menu and select Copy. This link opens that specific certificate.

Revoking a certificate disables its public link. An expired certificate remains viewable and downloadable. The Registration shows its expiry date, and Contact Activity shows whether it is valid, expired or revoked.

How learners download certificates

A learner can open a certificate from the link in a certificate email, from a link you send them, or from their own course page: My Account → My Courses & Bookings → My Courses → the course. The course page has Get Certificate on two tabs, and they do not behave the same way:

  • Overview tab: in the side panel, Get Certificate opens the learner’s most recently issued certificate that is not revoked, in a new tab. It works for a certificate issued automatically or manually. A participant whose place was booked by somebody else sees the action before a certificate exists, but cannot select it until one is issued.

  • Content tab: for a course with online lessons, the side panel shows a Certificate line and its own Get Certificate only when the course has Automatically issue certificate turned on. This action can be selected once the learner’s rounded lesson progress reaches 100%, whether or not a certificate exists, so it can open a page headed Certificate not found. When automatic issuing is off, the Content tab has no certificate action, even after you issue a certificate manually. On an on-demand course, the Congratulations window that opens when a lesson takes progress to 100% has the same Get Certificate, under the same rule. An on-demand course opens on the Content tab, so tell the learner to select Course Overview in the side panel, or the Overview tab.

An expired certificate remains viewable and downloadable. If the learner has more than one active certificate for the Registration, Get Certificate opens the most recently issued one. A link copied from the Registration continues to open the specific certificate it belongs to.

The Order’s primary contact, called the order owner in the learner guides, can also open the course’s Participants section, open the participant’s three-dot menu and select Get Certificate. The order owner is the person whose account the order belongs to, whether they placed it or the course provider created it for them.

​

Send the specific certificate’s copied link (Issued → Copy) when the learner cannot reach the action. Two cases to know: after a learner’s access to an on-demand course has ended, opening the course from My Courses shows Access Expired with no certificate action; and while an Order is Partially Paid, the learner’s course page and Participants page can show No Booking Found or No Order Found instead. The copied link and the link in the certificate email do not depend on course access or on the Order’s payment status.

If Get Certificate is missing, opens Certificate not found or opens a different certificate than expected, check the Registration and send the specific certificate’s copied link. Do not change accurate lesson progress just to expose the action. For the complete order-owner participant route, see Manage Participants and View Their Course Progress and Certificates.

Preview a certificate

There is no separate preview of an unissued certificate with real learner values. A test issue is a real award and may send real emails. Only proceed with an authorised test Registration and addresses you control, after checking any primary contact and the individual-issue course warning.

  1. Open the authorised test Registration and expand Certificate or Certificate & CPD.

  2. Follow the complete individual issue procedure above: choose the template, check and normally clear participant emailing for a no-email check, then select the final Issue Certificate.

  3. After the award appears, select its Issued menu and View. Check every page, background, image, text block, learner/course detail, dynamic value and expiry.

  4. If the test award should be revoked, first review the immediate and shared-certificate cautions above. Revoking will not recall downloaded files or messages, and a later automatic completion check can restore an eligible award.

Go to Settings > Billing & Usage to review plans that include Custom Certificates. The Cademy default certificate remains available on every plan.

Frequently asked questions

Templates and design

Can I issue certificates without a custom template?
Yes. The Cademy default certificate is available on every plan.

​

Which plans include custom certificate templates?
Standard Pro and Teams configurations include Custom Certificates. Check your account’s actual entitlement under Billing & Usage; a plan name or the separate CPD feature does not by itself prove custom templates are available.

​

How many pages can a certificate have?
Up to 10 pages. Select + Page in the template editor to add a blank page after the current page.

​

Can each certificate page have a different background?
Yes. Backgrounds and content belong to individual pages. Paper size and orientation apply to the whole template.

​

Why is a dynamic value blank on the certificate?
Certificate Expiry Date is blank when that certificate has no saved expiry date. Course Dynamic Value is blank if the course does not have a Dynamic Value. Older certificates without a linked Registration may have a blank Registration ID.

​

Can I add the course location or venue to a certificate?
Not automatically. Certificate templates do not have a location, venue, address, Public note or Private / internal note value. In a custom template, select Add > Text and type a fixed venue or address. The same text appears on every certificate that uses that template. The course's Dynamic Value can appear through Add > Course Dynamic Value or Course specific value inside a Text block, but it is saved on the course. It does not use the location from the learner's Registration and does not change for different dates or venues. If one course runs at different venues, leave fixed location text off automatically issued certificates. When issuing certificates manually, you can choose a separate custom template for the correct fixed venue if Custom Certificates are available. For location setup and note visibility, see Locations.

Why are the CPD variables missing or blank?
The account must have the CPD feature and CPD must be enabled under Settings > CPD. An active award uses its saved points and hours, even if the course values later change. If no award exists, values come from the current course settings only when course CPD is enabled. A unit without a value in that selected source is blank. Revoked awards leave both values blank. Disabling CPD or losing the feature makes existing CPD variables blank while that restriction applies. Labels use the account’s CPD settings.

What happens if I change the course’s certificate template?
Future certificates use the new selection. Certificates with a recorded template assignment keep it. Some older certificates without a saved assignment follow the course’s current template, so check those before changing the setting. An already active award is not automatically duplicated because you changed the template.

Will an issued certificate change if I edit its template?
Yes. Later views render the linked template, so edits can change already issued certificates. Check that effect before saving. Previously downloaded PDFs do not change.

What happens if I delete a custom template?
It disappears from normal template selection. Courses already using it can continue until another template is selected, and certificates already issued with it remain available.

Issuing and emailing

Can I choose a different template when issuing one certificate?
Yes, when Custom Certificates are available: use Template in the Issue Certificate dialog. Without it, the course template or Cademy Default is used. Choosing a template does not select the course: read Before issuing in Issue one certificate manually first.

What does “already issued” mean in the bulk results?
The Registration already has an active certificate using the selected template. Cademy includes that certificate in the ZIP and selected email delivery, keeps its original issue details and does not create a duplicate. Choose Issue only (no email) if you only want the ZIP.

Can one Registration have more than one certificate?
Yes, with Custom Certificates: use Issue Another and choose a different template, after following the individual-issue course check above. An already active template cannot be issued twice. Each award has its own menu; the Registration actions menu only revokes the latest active certificate, not every template. Certificates can be shared across dates for the same learner and course on one Order.

Can I reissue a revoked certificate?
Yes, subject to the individual-issue course warning above. In its Revoked menu, Issue Certificate or Issue & Email acts immediately without another confirmation. It restores the original certificate/template and issue date, applying current expiry settings. Bulk restoration can use a new issue date. Refresh and verify the actual result before retrying.

How do I email a certificate to one learner?
Follow the full individual issue procedure and its course warning, then leave Email the certificate to the participant selected before the final Issue Certificate. The Order’s primary contact may also be notified; see Issue one certificate manually for the recipient conditions. For an already active award, Copy gives that specific certificate link; Certificate Link in a suitable email context can select the latest active award. Issued does not prove delivered.

Who receives automatic certificate emails?
Email student when certificate is issued controls the participant email. It does not switch off the notification to an Order’s primary contact, including when the participant is that primary contact. Automatic reissue after revocation suppresses the usual participant and primary-contact notification. See Automatic certificate email recipients for the full conditions.

Viewing, expiry and revocation

Which certificate appears on the learner’s private course page?
On the course page’s Overview tab, Get Certificate opens the learner’s most recently issued certificate that is not revoked, whether it was issued automatically or manually. The separate action on the Content tab appears only when the course issues certificates automatically, and follows rounded 100% lesson progress, not a check that an award exists. See How learners download certificates. To share one particular certificate, use its Issued → Copy link.

Can learners still open an expired certificate?
Yes. An expired certificate remains viewable and downloadable. The Registration shows its expiry date, and Contact Activity shows it as expired. A revoked certificate’s public link no longer works.

How do I revoke a certificate?
Follow the revoke guidance in Issue one certificate manually. In short: Revoke in an individual certificate’s Issued menu revokes that certificate immediately, without another confirmation. The three-dot Registration actions menu revokes only the latest active certificate, together with the CPD award named in the action, after a confirmation.

How do I check whether a certificate was issued?
Open the Registration and expand Certificate or Certificate & CPD to see each certificate and its status. The contact’s Activity also shows that a certificate was issued and whether it is valid, expired or revoked.
