Use On set dates for a class, workshop or course with scheduled sessions. Sessions can be in-person, online or hybrid. You can offer individual dates or a block of dates booked together.
This guide takes you from a new course to a saved course with a price, capacity and dates. Publishing is a separate step at the end. If learners also need self-paced lessons, use a Blended course instead.
Permission needed: Use a System Admin account or Course Owner access to the course. Facilitators cannot open the course editor. Ask a System Admin to check your role if an action is missing.
Create the course

Open the Cademy admin dashboard and select Courses.
Select Create New.
Under Which keyword best describes this service?, choose your service keyword: the word your business uses for what it offers, such as course or workshop. Under What is the format?, select On set dates.

Open the editor of an existing course
You have two ways to open the course editor:
Open Courses and choose List View. Open the course’s three-dot menu and select Edit.
Select the course in the list to open it, then select Edit Course.
Both pictures show an older dashboard layout. The Edit menu item and the Edit Course button have the same names today.
Selecting another editor section saves a new course before opening that section. Within an existing course editor, navigating between sections automatically saves outstanding changes. Review your choices before switching; if a save error appears, resolve it and check that the course saves successfully. Saving does not itself publish a new course.
Add the title and images
In Description, enter the title where you see Add your title here. Use a clear, descriptive name. Around 6–12 words can be a useful writing guide, but it is not a product limit.
Select Add Course Images. Choose images from the media library or upload your own. If images are already present, select Manage Images.
Select Confirm in the media picker. Check that the selected images appear on the course.
Check the first image: it becomes the course cover. Use clear images; a 16:9 shape works best.

Describe what learners can expect
Replace the description placeholder with an honest explanation of what the course covers, who it is for, what learners will do and what they should bring. Use headings, lists, links and other formatting where they help someone decide whether the course suits them.

Add answers to common questions
In Description, select FAQs in the suggestions below the description editor if the course does not already have an FAQs section.
In the FAQs section, select Add FAQ. Use Search FAQs... to find and select an existing question, or select Create New FAQ.
For a new FAQ, optionally enter an Internal Name to help your team identify it. Then enter the Question and Answer / details. Select Create FAQ.
Check that the question appears in the course’s FAQs section. Select Save and wait for Course saved. The new course remains unpublished.
FAQs can be reused. Editing a reused FAQ changes it on every course that uses it. Read Add FAQs to a Course Page before changing shared answers.

Set delivery, capacity and price
Open Pricing & Delivery in the course editor.
Under Delivery Method, choose In-person, Online or Hybrid (both in-person and online).
For In-person or Hybrid, open Address → Select a location and choose a saved location. If it is missing, select Create A New Location. Enter its Name if useful, then Address line 1, any Address line 2 and Area, Postcode, City and Country. Add any useful public or internal notes, select Save Location, and check the selected address. For more on locations, see Set Course Locations and Joining Details.
For Online or Hybrid, complete the steps under “Online sessions” later in this guide before saving.
Enter Max Spaces: the total number of places.
Enter the Price for one place and check the displayed currency. Use 0 for a free place. If offer cards are already shown, select the relevant offer, edit its price, then select Update Price.
Select Save and check for Course saved.
These are the course defaults. A date or block can have different delivery details, spaces or prices. Check any date-specific settings before changing a default; do not assume every existing date uses the same values.
These default prices use the course currency. A new course starts with your account’s default currency. After saving dates, you can choose a different currency for an individual date or block. Its offers and add-ons all use that currency, without exchange-rate conversion. See Choose Currencies for Courses, Memberships and Gift Cards for the setting, saved-price effects and restrictions on dates with bookings.

For multiple price offers, add-ons and their effect on available places, follow Create Price Offers and Add-ons. In the current editor, the expanded options are under Custom Offers & Add-ons.
Set search details and organise the course
Open Settings → Advanced Settings. Search Details contains the course level, short search/social description and service keyword. Use accurate wording that helps someone understand the course.

Categories and tags
In Categories & Tags, choose the categories and tags that organise this course. Select Save and check for Course saved. For creating and managing these choices, follow Organise Courses with Categories, Tags and Collections.
Level
In Search Details, choose the level that fits the course, such as Beginner, Intermediate or Advanced. Select Save and check for Course saved.
When the Highlights section of the course page is auto-generated, it shows the level, for example “Beginner level”, together with details such as the delivery method. The level All appears as “All levels”.
Add the scheduled dates
Open Dates. If the course has no saved dates, the calendar opens automatically. If you see a date list, select Add dates.
Select the required day or days in the calendar. Each selected date appears in the editing list.
Check each date’s start time, end time and time zone. Additional dates in this editing batch inherit the most recently selected date’s time and duration; check them individually. For time zones, see Set Time Zones for Course Dates.
Under How are the dates booked?, select the required option described below. The block options become available after at least two dates are selected.
To change settings for the selected batch or block, open Change Default Settings, Spaces, Location or Price, or Change Defaults on smaller screens. Check delivery, spaces and price for those dates.
To change just one selected date, select its pencil icon. Change its settings in the date editor, select Save, then check that you have returned to the selected-date list.
Select Save Date or Save Dates. Wait for Updates saved, then check the dates in the returned date list. This saves the dates separately from the course’s general Save action.

Editing dates you have already saved: the steps above are for adding dates. On this tab, ticking saved dates and selecting Edit 1 date (or more), or selecting a saved block or its pencil, opens this same editor for them. Before you save there, open Change Default Settings, Spaces, Location or Price and check Visibility. It starts as Public whatever the dates had, and saving applies the value shown. A private date saved as Public loses its linked organisation and key contact. To edit a private date or block, go to the course’s own page instead, open the date’s three-dot menu and select Edit. Create a term or block
In the date editor, select at least two dates. Under How are the dates booked?, choose Block or Block or Individually. Check the Block name, review the dates and overrides, then select Save Dates and check the returned list.

Choose how customers book the dates
Individually: customers choose individual sessions.
Block: customers book the dates together as one block.
Block or Individually: customers can choose the full block or individual sessions.
For example, a six-week course may be sold as one block, while a drop-in class can allow individual sessions. Check the prices and spaces for the booking choices you offer. All sessions within one block use the block’s currency, including sessions sold individually.

Allow a block to be booked after it starts
While you are adding a block, open Change Default Settings, Spaces, Location or Price. Turn on Bookable after the start date only if you want customers to join after the block has started. Select Save Dates and check the saved block. This setting does not create more available places.
To turn this on for a block you have already saved, follow Add and Edit Course Dates and Blocks; the Visibility warning above applies if you use the editor on this tab.

Online sessions
With Online or Hybrid delivery on Pricing & Delivery, choose how to host the online session:
For an existing meeting link, select Add Join URL Manually. Enter its URL in Online Call Join Link.
For Zoom, first follow Connect Zoom for Online Course Sessions if you need to connect an account. Then choose Use Zoom App, open Select Zoom Account and select the connected account.
Select the course’s Save and check for Course saved.
Selecting a hosting option alone does not prove that a meeting or learner joining link has been created. Check the resulting course date’s joining details before the session.
In-person and online delivery
Choose Hybrid when the delivery combines in-person and online participation. A course can also use different delivery settings on different dates. Set the course defaults on Pricing & Delivery, then check the overrides for each date when you add it.
When the Highlights section of the course page is auto-generated, it shows customers how the course is delivered.
If you also need self-paced lessons
Use a Blended course to combine scheduled sessions with a Contents area for self-paced lessons. Hybrid describes in-person and online delivery; it does not add self-paced lessons. A block of scheduled dates also does not require Blended.

Follow Create and Set Up a Blended Course for that setup. Before changing an existing course’s type, follow Change a Course Type and check its existing records.
If the course has no dates

You can leave the Dates tab empty, for example while dates are still being arranged. When a course has no dates that can be booked, the course page shows other buttons in place of the booking button, according to Settings → Booking Options:
Allow Waitlist: the page shows Join Waitlist.
Date requests set to Allow alternative date requests: the page shows Request a Date.
Group requests set to Allow group requests: the page shows Request Group Booking.
A new On set dates course made with Create New starts with the waitlist and date requests allowed, so without dates it shows both Join Waitlist and Request a Date. If none of the three is allowed, the page shows No upcoming dates.
To deal with the requests you receive, from the notification email or from Inbox, follow Handle Course Requests and Applications. For people who join the waitlist, see Manage Course Waitlists. Notification emails depend on email settings and delivery; a submitted request is not proof an email arrived.
If customers should always choose or request their own time instead of booking scheduled sessions, follow Create and Set Up an On-request Course.
Review the course settings
Open Settings in the course editor. Review the options that matter for this course before publishing.
Bookings and requests
Use Booking Options to choose the available booking, application, request and waitlist options. These are different customer journeys; accepting a request is separate from approving an existing order. For the setup, follow Choose How Customers Book or Apply. To handle the requests and applications you receive, follow Handle Course Requests and Applications.
If you complete bookings in another system, select Handle bookings on an external website under External Bookings and enter its secure web address. Supported booking actions will open that website instead of Cademy checkout. See Send Customers to an External Booking Website.

Forms and participant details
Open Settings → Forms & Participants to choose the information collected from the Order Contact (the person who booked) and from participants. The forms can differ for primary and guest participants. Follow Create and Use Checkout Forms for selecting or customising them; do not assume every participant is always asked for the same details.
Unless you choose another form, the Cademy Default Form asks the person booking for their name, email address and phone number. For most course providers, the default booking form is sufficient.

Attendance
After people are registered, you can record whether they attended. Attendance is recorded against their Registrations, which are their places on the course. Follow Record Attendance for the recording procedure.

Emails
Open Settings → Emails to review automatic course emails. A template supplies the content; it must also be assigned to the appropriate email before that setup is complete. Creating a template does not send it. Read Create and Reuse Email Templates and Set Up Automatic Course Emails.

Private welcome information
Course Welcome Content is private course-wide information and optional attachments that learners see after they enroll. It is not shown on the public course page.
Open Courses and select the course.
Select Edit Course.
Select Settings, then Advanced Settings.
Find [service keyword] Welcome Content and add the information learners need. The heading follows the service keyword set for the course, so it may say Workshop Welcome Content instead.
To add files, use Attachments and select Select Files.
Select Save. Cademy confirms the update with Course saved.
Everyone who can open their private page for this course sees the same current welcome content. For the full provider setup and learner route, see Add Welcome Information and Files for Learners. For the wider learner course page, see Find Course Dates, Locations, Joining Instructions and Content.
Course owners and notification recipients
Open Settings → Course Owners; the first heading follows your service keyword. Course Facilitators / Owners controls assignments, while Admin Email Recipients controls which team members receive course admin notifications. Assigning an owner is not the same as choosing the admin email recipients.

Save and check before publishing
Review the title, description, images, price, currency, capacity and delivery details.
Open Dates and check that the intended dates and blocks appear with the right times and settings.
Review the forms, booking options, emails and welcome content needed for this course.
Select Save and wait for Course saved. Resolve any displayed validation error before continuing.
When ready to make the course available, follow Publish and Share a Course. Share appears after the course has been saved. Check the account allowance (see Understand Cademy Plans, Limits and Fees), any required payment setup and intended visibility before publishing.
A saved course is not proof that a customer can book it. Check the published page, then follow Test a Course Before Launch for the intended customer journey. Testing can create records and send emails; use the test guide before starting.
Frequently asked questions
Can the same scheduled course run online and in person?
Yes. Choose the appropriate delivery defaults and check the settings for each date. Hybrid is a delivery method; Blended is for scheduled sessions plus self-paced lessons.
Can customers book a whole term or single sessions?
Yes. With at least two dates, choose Block for the full set, or Block or Individually to offer both choices. Check the applicable prices and spaces before saving.
Does saving publish my new course?
No. Saving creates or updates the course. Publishing and visibility are managed separately through Share.
Can I publish a scheduled course without dates?
Yes. With no dates that can be booked, the course page shows Join Waitlist, Request a Date or Request Group Booking, according to its Booking Options. With none of them allowed, it shows No upcoming dates.
Does adding a Zoom option prove the joining link is ready?
No. A connected account, saved setup and the resulting date’s joining details must be checked separately.
Can I add private instructions for everyone enrolled?
Yes. Use Course Welcome Content under Settings → Advanced Settings. It is shared course-wide information, not a private note for one participant.
